3 INTRODUCTION When you are expecting a baby we appreciate that you may have lots of questions, especially if this is your first pregnancy. We want to help you to enjoy your pregnancy by being clear about what this means for you at work. This guide explains what you need to do and what you can expect to happen, once you have told your manager that you are pregnant. You can also access this information and other useful resources online. Login to OurTesco and go to People Polices in the Working at Tesco section. If you have any queries after reading this guide, your manager will be happy to talk to you about them. 4 5

4 THE KEY STUFF You can take up to 52 weeks maternity leave. How much maternity pay you get depends on how long you have worked for us and your salary level. Pages 16 to 17 tell you how to work this out. You can decide how long you take off but you must take at least two weeks off straight after the birth of your baby. The earliest you can start your maternity leave is 11 weeks before your due date. We need to know when you want to start your leave at least 15 weeks before you are due. Your MatB1 is an important form that your midwife will give you after your 20 week scan. As soon as you get this you need to give it to your Personnel Manager as payroll will need it to confirm your pay. You get paid time off for antenatal appointments just let your manager know so they can record it accurately on payroll. You can come back to the same job if you return to work within 26 weeks; if it s after this we will aim for you to come back to your previous job, but if this isn t possible we will find you a similar role with the same terms and conditions. 6 7

While this may be news that you wish to keep to yourself for a while, it is important that you let your manager know to ensure they don t ask you to complete any tasks which may put you or your baby s health at risk. 6 You re Pregnant Health & safety risk assessments We want you to look after yourself and be honest with your manager about your health and capabilities. Most women enjoy their pregnancies without complications; however if your doctor or midwife have any concerns, please share these with your manager so that we can support you. When you tell us that you re pregnant, your manager will carry out a health and safety risk assessment with you to identify any potential hazards or concerns that we need to consider. We may need to adjust your role e.g. change your shift pattern/working hours or ask someone else to complete certain tasks for you e.g. heavy lifting, while you are pregnant. Most colleagues stay in their current role until they start their maternity leave. However, some roles may not be best for you while pregnant (e.g. you may not want to travel excessively during the later stages of your pregnancy) and we will work with you to find a solution. As your pregnancy progresses your health situation can change so it s important that you let your manager know if it does, and you review your risk assessment with them regularly. Time off to attend antenatal appointments Antenatal is a term used to describe the period of time you are pregnant (before you give birth). You are entitled to paid time off for antenatal care. Your manager might ask to see a copy of your appointment card for any antenatal appointments, so they can record it correctly on payroll. If possible, please try and arrange your appointments for times outside your working hours. Your Mat B1 form and why it s important You ll receive a medical form called a Mat B1 from your midwife after your 20 week scan. It s important that you give this to your Personnel Manager as this form is used to calculate your maternity pay. If you don t receive this automatically, just ask your midwife as we need this to confirm your expected week of childbirth and your Statutory Maternity Pay. Please give it to your Personnel Manager as soon as you receive it. Telling us when you want to start maternity leave Your manager will need to know when you want to start your maternity leave, as they will need to plan for your absence. Please give them the Notification of Maternity Leave Form at the end of this guide as soon as you are able to and no later than 15 weeks before your due date. You can work right up to the day your baby is born if you want to, in which case your maternity leave will start the day after you give birth. If your baby arrives early and you are not able to give us this much notice, please let your manager know as soon as you can. You will receive a letter from payroll a few weeks before your maternity leave, which will confirm your maternity leave dates and maternity pay entitlements

7 You re Pregnant MATERNITY PAY Start How much maternity pay you can get depends on how long you ve worked for us and your salary level. The next 2 pages will help you work out what you may be eligible for. Payroll will confirm your actual entitlement in writing shortly after you start your maternity leave. Yes Is your answer to question 5 more than the 2014/15 statutory lower earnings limit of 111 per week before tax and NI deductions? (See note) No 1. What date is your baby due? 2. Write the date of the Sunday before this. 3. Now count back 15 Sundays from this date and write the date here. (This is the date we use to work out what pay you are eligible for). 4. Work out how long you will have worked for Tesco by this date. 5. Work out what your average weekly pay will be for the first two pay periods directly before the date you ve given for question 3. / / / / / / Any pay from us will start on the day you go on maternity leave and will be paid to you in the normal way through payroll, subject to Tax and NI deductions. years weeks Do you have 2 years continuous service or more? Yes You are entitled to Tesco enhanced maternity pay which means you will get full pay for 12 weeks and then the lower rate Statutory Maternity pay for the remaining 27 weeks. This is per week for 2014/15. On the 5th April 2015, this changes to 14 weeks full pay plus 25 weeks at lower rate Statutory Maternity Pay even if you re already on Maternity leave. No Have you worked for us for 26 weeks or more? (See your answer to Q4 on pg 16.) Yes You will not be eligible for maternity pay from us. However if you have worked for us for more than 26 weeks (see your answer to Q4 on pg 16) then we will pay you two weeks full pay in recognition of this. You may also be able to get maternity allowance from your local Job Centre. No You are entitled to Statutory Maternity Pay which is 6 weeks at 90% of your average weekly pay and then for 33 weeks at the lower rate Statutory Maternity Pay. This is per week for 2014/15. You will not be eligible for maternity pay from us. However you may be able to get maternity allowance from your local Job Centre. Note: If your answer to this is No, speak to your Personnel Manager asap to discuss if anything can be done 12 13

8 You re Pregnant What to do in your final few weeks at work If you re not entitled to maternity pay from us If you don t qualify for Statutory Maternity Pay, Payroll will write to you and include a SMP1 form. Please ask your Personnel Manager to give you your Mat B1 back as you need to take the letter, the SMP1 form and your Mat B1 to your Job Centre to discuss your claim for Maternity Allowance. Risk Assessments As your bump gets bigger, you might find that moving around and doing some of the things you used to do become more awkward. Please make your manager aware of any difficulties you are experiencing and ask for your Risk Assessment to be updated. You can do this at any time; don t wait for a scheduled meeting. Handover Please discuss any handover with your manager in plenty of time before you leave. They will guide you but some of the things you may need to think about could include: Introducing the colleague covering your role to your team; Informing them where they can find relevant information and support if they need it (e.g. procedures, manuals and guidelines specific to the job); Introducing them to key people they will be working with; Providing history and any problems (resolved or on-going) that might have occurred; Progress Reviews and Career Discussions Things carry on as normal so remember to book some time with your manager for a Progress Review and a Career Discussion before you start your maternity leave. It is important that your achievements and contributions are recognised and that you have the opportunity to discuss your career with your manager. Your Performance Rating will not change while you are on maternity leave and you will continue to be included in talent discussions. progress review JUN JUL handover 14 15

We ve added this to your Notification of Maternity Leave Form to make it easy for you to tell us your preferences. Staying in touch If you have equipment we will try to let you keep it while you re on leave, if no-one else needs it, so please speak to your manager about whether you can keep this while you re on leave. If you have a Tesco address, you can log onto your account at any time on mvi.ocset.net Please remember that you re still part of the Tesco team while you re on maternity leave so all the usual policies apply. 10 You re Pregnant If you re unwell while you re pregnant If you leave Tesco while you re pregnant Process Pregnancy-related time off Other sickness If you become unwell for any reason when you re expecting a baby, please follow your usual absence reporting procedures as outlined in your colleague Handbook. If you are unwell due to pregnancy-related reasons, please let us know as we ll make sure that your pregnancy-related illness isn t considered when we look at your attendance record. Your entitlement to company sick pay (as outlined in your colleague Handbook) won t change as a result of your pregnancy. If you re off work ill in the 4 weeks before you re due, your manager will talk to you about whether to start your maternity leave early. If you are unwell due to other reasons e.g. you have flu, then you ll receive your normal sick pay entitlement. Please see your Colleague Handbook for details of your sick pay entitlement. If you have been signed off work due to ill health, and you ve told us when you would like to start your maternity leave, we will start your maternity leave on the date you ve specified. If you decide to leave us while you are pregnant, and you ve qualified for Statutory Maternity Pay, you will receive this from Tesco as a lump sum payment in your last pay. You won t be entitled to receive any enhanced maternity pay. If you leave Tesco before you ve qualified for your Statutory Maternity Pay then you will receive your normal salary until the day you leave

11 You re on maternity leave Maternity leave You can take up to 52 weeks off work as maternity leave. You can choose how long you take off but you must take the first 2 weeks immediately after the birth off. The more information you are able to give to your manager about how long you re likely to be off work, the easier it will be for them to plan your maternity cover. We will assume that you re going to take your full entitlement to maternity leave. If you would like to come back to work before the end of 52 weeks please give us eight weeks notice so we can arrange your smooth return. Additional Paternity Leave If your baby is due before 5th April 2015, once you have taken 20 weeks maternity leave you can choose to return to work and your partner can take up to 26 weeks Additional Paternity Leave (maternity leave plus Additional Paternity Leave can t be any more than 52 weeks). If you have any maternity pay left, this will be transferred to your partner. Give us 8 weeks notice of your return date. Shared Parental Leave If your baby is due on or after 5th April 2015, you may be able to opt out of maternity leave and into Shared Parental Leave. This is time off work that s designed to give parents more flexibility in how to share the care of their baby in the first year as you can share your 52 weeks to: be off work at the same time; or take it in turns to have time off to look after your baby. To be eligible for Shared Parental Leave: - You must have at least 26 weeks service as your answer to question 4 on page 14; Your partner must have worked for at least 26 weeks in the 66 weeks before your due date (and earned over 30 in 13 of those weeks); and Your partner must earn over 111 a week (if they were to answer question 5 on page 14). You can opt into Shared Parental Leave anytime. You inform us (by completing the Notification of Shared Parental Leave form) and give us at least 8 weeks notice. Any maternity leave that you haven t taken can then be used as Shared Parental Leave. You can take the Leave in any way you want as long as you stop/start your leave no more than 3 times. Keeping-In-Touch with work (KIT days) There may be times when you d like to attend work while you re on maternity leave e.g. to attend training or meetings. You are able to use 10 KIT days for this if you want to. Your KIT days can be taken as single days or a block of days, as agreed between you and your manager. You ll need to agree the work you carry out with your manager. If you use a KIT day while you are receiving full pay, then we won t pay you anything extra. If you use a KIT day while you are receiving the lower rate Statutory Maternity Pay, we will top this up to your normal daily rate. If you use a KIT day while you are not receiving any pay, we will pay you a full day s pay. KIT days will be paid in your next pay. Any work carried out while you re on maternity leave will be classed as KIT days. This means that, if you attend work for a 1 hour meeting, you have used 1 of your 10 KIT days. You can t request to work 20 half days. Your career and development You can continue to have discussions about your career and development while you re on maternity leave. Your career and development is important to us so please be open and honest with your manager about your preferences for returning to work so we can plan better for your return. If you change your mind later, that s ok. Working elsewhere while you are on maternity leave You can return to work for us while receiving maternity pay from another employer (as long as you were working for us during the 2 pay periods before your 25th week of pregnancy)

12 Returning to work Planning your return We will always assume that you will take the full 52 weeks maternity leave unless you tell us otherwise. If you d like to return before 52 weeks, please give your manager at least 8 weeks notice before the date you d like to return. The job you return to may be affected by when you choose to return: If you return within 26 weeks you can return to the same job you were doing before your leave, unless you were moved to a different job for pregnancy-related reasons, in which case you ll return to the job you were doing before the move. If you return after 26 weeks, we will always aim for you to come back to your previous role. If this isn t possible, we will find you a similar role with the same terms and conditions and rates of pay. Some mums see returning to work after having a baby as a great opportunity to try a new role. We usually give colleagues early previews of vacancies on job-training/ and then we advertise them externally on Think about how you want to use up your holidays when you return (as described on page 28). You can apply to work a different work pattern. The flexible working application process can take up to three months so it s a good idea to start it as soon as you can. Your Guide to Flexible Working is on OurTesco which explains this. Sometimes we re not able to agree to flexible working requests but your manager will arrange a meeting to discuss your application with you before making a decision. You can extend your time off with parental leave, or Lifestyle or Career Break. If you would like to do this, please discuss it with your manager. Your return to work We understand that if you have had a long break from work, coming back can feel a bit daunting. We want to help you feel as welcome and comfortable as possible and your manager will help you to ensure you have a smooth return. It s inevitable that some things will change while you re away from work. It could be that your role has changed slightly, there could be new technology, different team members or maybe even a different manager. We ll help you to settle back in. This could include: Updating you on what s changed Agreeing any training you might need Job shadowing A handover from your maternity cover 22 23

13 Returning to work Things to consider Health and Safety Risk Assessment If you return to work within 6 months of giving birth or are still breastfeeding, please speak to your manager about conducting a further Risk Assessment to ensure there are no health and safety risks to you or your baby. You are entitled to have paid time off work to attend any post-natal care appointments for either you or your baby until they are 42 months old. Simply let your manager see your appointment card as soon as you know that you have an appointment. Requesting flexible working You may decide that you want to come back to work, under a different working pattern e.g. change your hours of work/times of work/ days of work/reduced hours etc. We are committed to providing a balanced approach to home and work life, providing flexibility while respecting the circumstances of others and business needs. If you want to explore flexible working options, please refer to Your Guide to Flexible Working which is available from your Personnel Manager or on OurTesco. Remember if you return to work on a different pattern e.g. you now work 3 days a week instead of 4, then you will start to earn holidays based on your new pattern. Childcare vouchers If you would like to save money on your childcare (and pay less Income Tax and National Insurance Contributions) then childcare vouchers are a great way to do this. You sacrifice up to 55 a week from your pay (depending on your Income Tax rate) and we will allocate you up to 55 a week in childcare vouchers. For more information on the scheme visit remember We can t approve your application until you have returned from maternity and are on payroll, so make sure you apply as soon as you return to work and allow up to eight weeks for your application to be processed. If you want to have more time off If you decide you don t want to come back to work when your maternity leave ends, speak to your manager about taking Parental Leave or a Lifestyle Break as an alternative to leaving us completely. Make sure you allow at least 8 weeks to discuss this with your manager as they are expecting you back after 52 weeks. Log on to OurTesco for more information. If you decide not to return to work If you decide not to return you will need to resign in the normal way, giving your manager your contractual notice

14 Your benefits BUY AS YOU EARN If you participate in BAYE the Trustees will continue to buy shares for you during your maternity leave, as long as there is money paid to you. While you re earning the lower rate Statutory Maternity Pay, 10% of your actual pay will be used to buy shares. If you are not receiving maternity pay, your BAYE will stop until you return to work when the payments will automatically start again. If you want to stop buying shares, or adjust the amount of salary deducted for each 4 weekly period, you must contact Equiniti or complete a BAYE changes form available on OurTesco You will not be able to make up any missed payments. Car allowance or lease car If you are currently in the Car Allowance Scheme and receive a cash allowance, you will continue to receive this while you are on maternity leave (subject to any company-wide reviews). If you have a lease car, you will be able to keep this while on maternity leave. If you have a fuel card, make sure you complete the Mileage Log while you re on maternity leave in order for this to remain a tax free benefit, even if you have completed no business miles. During your maternity leave, your fuel card contributions will continue. If your business mileage is less than 20,000 miles over the year, any high business mileage supplement may be stopped. The year starts from the point you start receiving the supplement. We will review this and will get in touch in writing to give you notice of any changes we are proposing. It normally takes around 30 days from date of receipt for any changes to be implemented. If you decide not to return to Tesco at the end of your maternity leave, the shares that have been bought for you will be transferred out of the Trust and into your name. Please note that if your shares have been in the Trust for less than five years, you will need to cover any tax and national insurance contributions due. CHILDCARE VOUCHERS If you re already in the childcare voucher scheme and want to stay in during your maternity, your contributions will continue to be taken as normal from your maternity pay while you earn anything above Statutory Maternity Pay, e.g. if you re being paid a car scheme allowance or Enhanced Maternity Pay. You won t be able to change the amount you contribute while you are on maternity leave. If you are receiving Statutory Maternity Pay or no pay, we ll credit your care-4 account in each pay period on your behalf with the tax exempt amount you paid into the scheme the week before you went on maternity leave. You can then continue to use your care-4 account as normal. If you choose to stop your contributions you can do this online at

15 Your Benefits COLLEAGUE DEALs Holidays You can continue to access colleague deals by logging into OurTesco COMPANY LOAN If you have a company loan (e.g. for a car or the cycle to work scheme) the instalments will continue to be deducted from your maternity pay. GIVE AS YOU EARN If you participate in Give As You Earn, your donations will continue while you are receiving any kind of maternity pay. This doesn t change If you re not receiving any pay then the instalments will be deferred until you return to work when they will start again. The term of the loan will be extended accordingly. When your maternity pay stops, your donations will also stop and can be restarted when you return to work by completing the form on OurTesco You will continue to earn holiday and bank holidays at your normal rate while you are on maternity leave. Any holidays that have not been taken by the end of the holiday year (31st March) will automatically be paid to you in your April payslip. You will then start earning holiday again from the 1st April. Personal Days Personal Days (as outlined in your colleague handbook) should be taken in the normal way. Personal Days will only be paid to you if you are on maternity leave at the end of March. COLLEAGUES ON ANNUALISED HOURS Your holiday will continue to include Personal Days and will be paid as normal while you are receiving Enhanced Maternity Pay. Holiday for the period after this will be paid when you return to work, or at the end of March if you are still on maternity leave. This does not change. If you would prefer to take your holiday instead, you can do this in one of the following ways: 1. Take holiday before your maternity leave to allow you to leave work sooner. This can include any holiday that you have already earned and the holiday that you will earn while on maternity leave. 2. Take holiday at the end of your maternity leave to give you longer off before you return to work. 3. Use your holiday to help you phase your return to work, for example, work 4 days a week instead of 5 by taking a day s holiday each week over several weeks (this would need to be agreed with your manager). 4. Use them in the normal way after your return. 5. Carry over holiday to the next year. If you would like to carry over any holiday you must agree this with your manager before the beginning of March so we can stop the automatic payment. LIFE ASSURANCE If you are a member of the pension scheme, this means you have Life Assurance to the value of three times your salary. This remains in place while you are on maternity leave. This doesn t change If you are not a member of the pension scheme then you will have Life Assurance to the value of your annual salary. This also remains in place whilst you are on maternity leave

16 Your Benefits LONG SERVICE AWARDs PENSION When you re on maternity leave, you may reach a long service anniversary! When you celebrate your 15 or 25 year anniversary of joining Tesco, we recognise this with a gift, celebration meal and an award. This doesn t change If you re a member of the pension scheme you will remain a member while you are on maternity leave. Your pension and contributions are affected in the following ways: When you are earning less, the pension contribution will be less too. We ll send all the information you need about the gift and meal to your home address around the time of your anniversary. Your manager will keep your award safe and present you with it at the earliest opportunity, either during your leave or on your return. While you are receiving pay, your pension contributions will continue as normal If you usually sacrifice your pay to be in the Tesco Pension Scheme, your Maternity Pay will be based on your gross pay (before pension deductions) and there is no difference to the amount you sacrifice. PAY REVIEW You are included in any pay reviews which take place during your maternity leave. Some colleagues have performance-related pay reviews and if you are one of them, it will be based on your performance up to the start of your maternity leave. This doesn t change Even though you may be paying less into your pension, the way your benefits build up will not change, as your pension is based on your normal pay. When you return to work, you will not have to pay any extra contributions even if you have paid less while you are on paid maternity leave. Equiniti Employee Scheme, Spencer Road, Lancing, West Sussex, BN99 6DA If your pay is increased as a result of the pay review, this will take effect from the date you started receiving maternity pay and your maternity pay will be recalculated. You will receive a back payment

17 Your Benefits PRIVATE healthcare Save as you earn If you have private healthcare through the Tesco Healthcare Trust, your cover will remain unchanged while you are pregnant or on maternity leave. This means you are also covered for the birth of your baby. Your baby will also be covered from birth. Please remember to register your baby within 12 weeks of their birth - if you forget to do this any claims relating to health problems in their first 12 weeks won t be covered for 2 years. Any deductions from your pay for your dependants will still continue. privilegecard You can continue to use your Privilegecard while you are on maternity leave. If there is not enough salary to take deductions, the arrears payments will be recovered from your salary when you return to work, in instalments, as agreed with your Personnel Manager. If you want to remove your husband/partner/ family from your health-care scheme (and stop the deductions from your pay) please notify Aviva who will change your cover and inform payroll. Aviva Claims Helpline Aviva have been appointed to administer the scheme on our behalf, contact them on: If you re on maternity leave when your card expires, and you work in a store, dotcom centre or distribution centre, your new card will be sent to work. Please contact your Personnel Manager to obtain your new card 2-4 weeks before your current card expires. If you re an office colleague, your new card will be sent to your home address. Save As You Earn deductions will carry on as normal unless you are on lower rate Statutory Maternity Pay. If a Save As You Earn scheme opens while you are on maternity leave, and you are eligible, you will be invited to join as normal. Shares in Success If you qualify for a free share award under our Shares In Success scheme you will receive this as normal while you are on maternity leave. When you move to lower rate Statutory Maternity Pay we still stop taking deductions. If you want to continue paying into the scheme, you will need to contact Equiniti to arrange this in advance. Please be aware that if you miss more than 6 payments, your account is automatically closed and you come out of the scheme completely. Any savings to date will be refunded to you. If you have not missed more than 6 payments, your deductions will automatically resume when you return to work. The scheme maturity date will be extended accordingly to enable your missed payments to be taken at the end of the scheme. If you started or finished maternity leave part way through a pay period then only a part of your payment will be made into the scheme so you will also need to make up any part payments. To do this, please contact Equiniti on your return to work. The award is based on a percentage of your annual earnings so your allocation will be reduced to take account of any lower earnings during maternity leave

19 KEY DATES AND REMINDERS Now that you ve let us know that you re pregnant, here are some key dates and reminders that you can tick off over the next few months. 12 week scan Think about when you want to start your leave. 20 week scan? Give your MatB1 to your Personnel Manager.? Give your Notification of Maternity Leave Form to your Personnel Manager. 15 weeks before you re due You ll receive your pay confirmation letter a few weeks before your maternity start date.?? This is the earliest you can start your maternity leave. 11 weeks before you re due Visit www. ourtesco.com for all the information you need. Do you need to repeat your Risk Assessment?!? Think what benefits you want to stop, continue or change. Do you want to take holiday before your leave?? Have your Performance Review/Career Discussion.
