1 Northwest School Division #203 IT Purchasing Guidelines and Considerations Jan Guidelines for Equipment Purchasing Technology Purchases in your building If your school intends to purchase hardware (including peripheral devices such as printers and scanners) or software for your students/staff to use, it is strongly recommended that you consult with us in the first instance. We are able to offer guidance and recommendations that will contribute towards the making of an informed decision regarding installation, compatibility and support issues. We have strong contacts with many IT product vendors, and can provide reliable information regarding new products and special offers offers that are not always advertised by the vendors and may result in considerable savings. Standards and uniformity in purchasing provide a healthier environment for - support and maintenance - professional development - parts and supplies Printers: Important considerations are: 1. monochrome versus color 2. cost of toner replacement: The largest cost of a laser jet printer often lies in the toner replacements. Toner cartridge prices vary widely and finding a printer with a lower cost for toner can save you money over time. (look for printers that will accommodate high-capacity toner cartridges) 3. printable paper size 4. resolution: Resolution refers to how many dots per inch (DPI) a printer can print. The higher the DPI rate, the higher the resolution. For lower resolution, text only printing, a printer with a 600 x 600 DPI rating is generally thought to be fine. Buying a laser printer with a resolution of 1200 x 1200 DPI is a perfectly acceptable resolution for most printing needs. 1

2 5. speed 6. memory: Buying a laser printer with at least 4 megabytes (MB) of memory and a page rate of 20 pages per minute (PPMs) should meet most printing needs. 7. network capabilities: check for network capabilities please purchase one with an internal network card. P2035N $ $ $ $ $ $40.00 = $ P3015N $ $ = $ Printer Recommendations: HP LaserJet N and D If it is going to be used a lot (lab / library multi-users) HP LaserJet 4014N or 4015N / 4015DN or 4015TN or higher - if used in situations where the number of prints are going to be relatively low limited use then consider a lower priced HP LaserJet (with network card). Please check the price of replacement cartridges pay particular attention to the page capacity/cartridge. (Remember Gillette nearly gives away razors but you really pay for the blades) 2

You should select a classroom projector that has 2200 to 3500 Lumens for best illumination. This will ensure that large audiences can view the display with bright lights being displayed in the classroom. Also remember that the larger the screen you use, the more Lumens you should require from your projector. Classroom Projectors and Long Lamp Life When choosing a classroom projector you should inquire about how long the lamp will last. Some will last as long as 5000 hours (LED much longer). It is also important to note the price of replacement bulbs. 4 Document Cameras: A document camera is one of the easiest and quickest ways to integrate technology into your classroom. There are very few special skills needed to use this piece of equipment. A classroom document camera can be connected to a DLP/LCD projector through a computer or connected directly to a DLP/ LCD projector. This one piece of classroom technology can be used to actively engage students in the learning process. Visual learners will benefit from the use of a classroom document camera by seeing small items, text, demonstrations in a much bigger way. Hands-on learners can also benefit from the use of a document camera by allowing them to be the ones placing objects or items under the document camera and explaining what they are showing. Another benefit of using a document camera is the decrease in copying expense. Schools are always looking at ways to maximize the financial resources that are available. A classroom document camera can drastically reduce the amount of copying a teacher has to do. Instead of copying 30 quizzes for a class, place 1 copy of the quiz under a document camera. How can I use a document camera in my classroom? Preschool - Primary Grades Classroom Document Camera Ideas Show and Tell Science Experiments Zoom in on small items to see the details "Big Books" - Big books are expensive. You can turn any book into a big book by placing it under the document camera Math manipulatives Place a timer under the document camera to help with time management. Picture schedule. Place a picture schedule under the document camera. Turn the classroom document camera and projector on when it's time to transition to the next activity and show the students what the next activity will be. "We just finished centers (show picture of "centers" on the schedule), now it's time for math (show schedule picture that represents "math") Demonstrating letter formation ABC tiles - let students come up and rearrange the tiles to create words Maps Photos and images Worksheets - students can view you filling out the information instead of just listening Save images for later use. Intermediate/Middle School Classroom Document Camera Ideas Place a timer under the document camera to help with time management. Displaying student work Model note taking skills by using an actual piece of notebook paper. Model sentence and paragraph structure, punctuation and grammar editing Worksheets such as study guides or daily assignments. Fill out the worksheet with the students. Complete graphic organizers as a whole class Project a test for grading; students follow with their eyes and not just their ears Daily Oral Language - can be saved from year to year without writing it on the board each day Math Manipulatives such as compass, ruler, thermometer, base ten blocks, etc Demonstrate how to use a calculator Show students how to set up math problems using notebook paper Math workbook pages 4

Important to review in terms of compatibility and compliance. The NWSD has agreements in place that may reduce costs and improve access (Microsoft, Adobe). Software purchasing can be complex and it is important that software licences are properly interpreted to understand the permitted modes of use. All software licenses used within the NWSD must be registered with us to ensure legal compliance. Users wishing to obtain software for use on any NWSD asset should try to do this through us where possible. All software purchases must be registered with us by and/or FAME together with a copy of the license agreement and purchase details. Similarly, all hardware assets purchased must be registered with us so that details (Service Codes/Warranties) are on record in Asset Management of FAME. 6
