37 TITLE: HARRISBURG AREA COMMUNITY COLLEGE Board of Trustees CONTRACT FOR DOCUMENT MANAGEMENT ANALYSIS BE IT RESOLVED THAT THE BOARD OF TRUSTEES Vol. No. 41 Date 2/ 3/04 Res. No. 85 Page No. 85 Approve contract for document management analysis with Avysion IT for the amount of $12, Vendor Amount Avysion IT $12, Middletown, PA Background In addition to cost, the eleven vendors who responded to the RFP were evaluated on completeness of response and qualifications. Avysion IT is the recommended vendor based on having the highest total score of 63. The purpose of this project is to provide a comprehensive plan for a document imaging system for the College. The need for document imaging has been identified in various departments, and funds for departmental needs have been requested in the past. Rather than fund a system to meet an individual department needs, it is more cost effective to meet all the needs of the College with compatible hardware and software. The funding requested will be used to engage a consultant knowledgeable in document imaging to lead the planning. This consultant will be responsible for assessing the needs of the different functional areas of the College, including input from all campus locations.
