5 TIME MANAGEMENT ACTION PLANNING If you don t have time to do it right, when will you have the time to do it over? ~John Wooden Create your own productivity system no one system works for everybody Quit procrastinating this is a huge time waster Clear our mind do a brain dump. Higher mental clarity leads to better focus on the task at hand and higher productivity Meditate this clears your mind and increases focus Eliminate time wasters - Remove them before you start work. Master your skills to get your work done faster and well. Just do it! Stop the excuses Be well rested. The quality of sleep is more important then the quantity. Learn from the best. This short cuts your learning curve. Read productivity materials read books and subscribe to blogs. Reward yourself. An incentive will perk you up. Create a conducive work environment it has to motivate you Ditch the unimportant. Don t waste your time. 4

6 TIME MANAGEMENT ACTION PLANNING First be effective, then be efficient. Efficient means delivering higher output in less time Create your life handbook to keep your priorities in order and help you stay focused. Learn to say no. If you keep saying yes to everything, you delay your progress. Quit to win to get back on track. Improve your posture. Your posture affects your productivity. Delete limiting thoughts. Worrying about what might happen holds you back. Be on time for everything on your schedule. Research and apply. Look for best practices ideas and apply them. Visualization. Imagine and feel the euphoria of having finished that task. Practice make perfect. Become a master of your craft. Get a coach. A coach brings awareness to your blind spots. 8 PREPARE THE NIGHT BEFORE For every minute you spend organizing, an hour is earned ~Benjamin Franklin Prepare your to-do list the night before, so you don t have to use up precious time in the morning figuring it out. Do you lie in bed not only thinking about what you need to do the next day, but also planning the day? This makes is difficult to sleep and relax. Make a big master list of everything you need to do. Put all your ideas on this list. Organize or mark your tasks according to their priority must do today your most important tasks (MIT) should do today could do today some day 7

9 PREPARE THE NIGHT BEFORE Get a head start. Get up when the alarm goes off or even 5-10 minutes earlier. Delegate where needed. Ask yourself if your time is best used doing a task or not. Set a target or goal to give you something to work towards. Set a deadline this motivates and creates speed and action. Outsource work better done by others. When you outsource you pay the other person for doing the job. Time Box your tasks define a fixed time slot for your most important tasks. How did it get so late so soon? ~Dr. Seuss 8

11 MOST IMPORTANT TASKS If you put them off to later, you will get busy and run out of time to do them. Get them out of the way and rest of the day is gravy! ~Leo Babauta The Most Important Tasks (MIT) are the big, tough tasks for your day that you really need to get done. Some people advocate doing these before you move on to other tasks and others say to do these tasks, you don t like or want, first. Every person is different, so found out what works best for you. These are the ones that will keep you in the office past the time you planned to leave, or working after dinner if you don't get through them. Don t procrastinate. Doing the unpleasant task will make you feel less stressed. Tasks rarely get more pleasant by being postponed. I get paid not by how many hours I work, but by the importance of the problems I solve. ~Anonymous 10

12 Most Important Tasks Even if you re on the right track you ll get run over if you just sit there. After you do your MITs (Most Important Tasks) the rest of you to-do list can now be filled up with minor tasks that you can do as you complete your MITs. Move on to the less critical tasks and you ll find that you feel a whole lot more productive at the end of the day. Start with the end in mind. ~Stephen R. Covey Remember the 80/20 rule of time management. 80 percent of the importance of what you do in any given day lies in only twenty percent of the activities you do. Therefore, if you focus on accomplishing the top twenty percent of the most important tasks, you will feel more productive and satisfied at the end of the day and you still will have done 80% of the most important work. 11

Don t try to multi-task and get nothing done in the process. Multi-task the lower level, menial work which does not require much brain work. Use Productivity Tools can be both software and hardware. Make use of time, let not advantage slip. ~William Shakespeare Remember the 80/20 rule of time management. 80 percent of the importance of what you do in any given day lies in only twenty percent of the activities. Therefore, if you focus on accomplishing the top twenty percent of the most important tasks, you will feel more productive and satisfied at the end of the day and you still will have done 80% of the most important work. 12

Don t become a slave to forms and systems. Have deadlines for your tasks and stick to them. Do one thing at a time finish jobs you start, if possible. Take regular breaks to make sure you don t become stale or over-stressed. The Time, like all times, is a very good one, if we but know what do with it. ~Ralph Waldo Emerson Separate your today list from your master list. Your sole focus of this list has to be on today. The key is not spending time, but in investing it. ~Stephen R. Covey Limit how many items you add to your to-do list. Build in some flexibility. Break down large projects into small parts and prioritize. Check off each item as you complete it. 14

You ll start to notice a difference in how you work. Keep a done list, a running log of everything you complete in a day. GO FOR EXCELLENCE, NOT PERFECTION. PERFECTION TAKES TOO LONG!
