4 Setup/Processing Tips Here are a few suggestions to further enhance your service reporting. If you are interested in running reports such as technician productivity reports, then you want to set the flag to force a tech ID in order to change a workorder to a complete dispatch status. To do this, go to the Dispatch System Profile, Options, User and make sure the box is checked for this feature.

5 You can speed up your service reports by closing out your workorders on a regular basis. You need to determine how often you should Close Out Workorders, which is sending workorders to history. A suggestion would be to only keep workorders in current (not history) that you want to analysis on a regular basis. For example, if you typically run reports no further back than one year, you might only keep the current year and prior year in current and close out all other workorders. Think of it this way. Would it be quicker to search in one office (Current:Active WO File) for the report or to have to search through the entire office building (Both:Both Active & Closed)? Typically, you will choose to print your reports on current workorders, but you can also choose to print reports on closed workorders or on both active and closed. This is the Date of Call on the workorder, not the scheduled date. Make sure you choose a range that includes all your desired workorders. A suggestion is to not use the Close Workorder feature for your zero billed invoices, but instead to run those through the regular billing process. Otherwise, you will not have these workorders included on your reports unless you choose the option Both: Both Active & Closed, which will take your report longer to process.

6 Report Writing General Tips Using the F9 function in Report Gen:Design, I was able to print my report design. This could be useful if you are trying to create a report and you are not getting the results you expect. You can send this information to Jonas support and they will be able to help. Go to Report Gen:Design and when you see the list of reports, press your F9 key. Once you do that, you can see another window behind the list of reports, but just ignore that and click on your report. You will get the Where Would You Like It Printed? screen, where you could even select to JMAIL this information. Using my report design and the resulting report, I am going to go over a few tips on writing reports. Choosing Y keeps you from having to include the fields on your report because the report will have headings for these subtotals. Use 00 as your column width if you do not want the info to print on the report, but you need it for other areas of the report. You can use the CALC row for simple conditions. In my example, the Billed Yet? must be equal to Y. Allows me to select the data at the time I run the report.

7 Result of the ASK command. Headings are a result of the Y in the Sorted By field. Report Writing Data Field for date range There are a series of data fields for this week information. What a lot of customers do not realize is that these data fields can be used for any date range. Note: If you use a this week data field in multiple columns in your report design, you can still only report on one date range across columns. When running a report which contains a this week data field, you will see additional fields for you to enter the beginning and ending dates.

8 Delete functions on new report writing screen Jonas has a new look and functionality to the report writing screen. Please note that the Delete button on the screen deletes the entire report design.

9 If you only need to delete one column, right-click in that column s Data field and select DeleteCol.
