1 City of Bowie, Maryland Avaya Telecommunications System Upgrade Responses to questions received through 7/22/ Please provide the following reports: System Capacity System Configuration Software Versions Feature-Related System Parameters Optional Features Media-Gateway Report Survivable Processors Response: Reports are attached immediately following the questions. 2. Will bids containing only an alternate configuration be considered? Response: Yes. The instructions for Alternate Solution Bids are listed on page 15 of the RFP. 3. Requirements state initial staffing will be two agents per shift and also states initial staffing will be ten agents and one supervisor. Would like clarification on the number of simultaneous logged in agents to ensure proper sizing/pricing. Response: It is anticipated a maximum of 4 agents might be logged on per shift. There might be the need to have additional staff logged on during a shift if there is an emergency event which might result in up to 5 agents logged on simultaneously. 4. Datel Call Center Reporting It appears you are requesting that the bidder provides the server for this? Response: Yes. All required equipment and software expenses should be itemized with associated costs. 5. Uptivity Call Recording, would you like to have Buddy Core included for higher availability? Response: Itemize related software and hardware costs of the Buddy Core high availability as an additional option on Cost Summary Sheet on page 21 of the RFP. 6. Will we be able to treat this as all one project? Response: Yes. The proposed solution and implementation plan described on page 14 of the RFP should complete the objectives listed on page 10 of the RFP. 7. Is there a main multitech unit at Excalibur that all of the remote units connect to or do they all register/connect directly to the Avaya CM? Response: There is a 4 port MultiTech located at Kenhill Center. The devices from the Mansion, Ice Arena, Parks and Grounds, and Water Plant connect back to MutiTech at Kenhill Center. 1
2 City of Bowie, Maryland Avaya Telecommunications System Upgrade 8. Pricing section J references installation costs and labor costs as separate line items. Is this an error or can you elaborate on how you would prefer we differentiate between the two? Response: The detailed cost breakdown on page 15 of the RFP should be followed as closely as possible. If your company considers labor and installation costs the same, it can be consolidated into one line item. 9. RFP does not state dual power supplies for messaging server(s), is that required or optional? Response: Dual Power supplies are preferred. 10. Support does not state terminal coverage as a requirement. Removing terminal coverage will save you approximately $3k per year (which equates to approximately 20 refurbished sets) is the City open to this or would you prefer to keep terminal coverage? Response: The City would prefer to keep terminal coverage. 11. There is a request to break out the scope of work and major parts and address them separately. If our scope of work responses will address the major parts sections will that be acceptable? We can reference the SOW sections accordingly. Response: That would be acceptable. 12. Non-Emergency Call Center section references 9608G or other suggested IP Phone. There is a non-gig and a gig version of the 9608G, which would you prefer (gig or non-gig {10/100})? Response: GIG phones headsets, there are literally hundreds to choose from, do you have a preference? (over head, over ear, Plantronics, Jabra, VSI etc..) Response: We would prefer an overhead model that has proven to be successful in your previous call center installations. 14. Please make sure the CAS release supports CM6.3 as it is not referenced in the RFP. Response: Our current ecas release is
