2 Printing Intelligence Report The importance of printing, copying, faxing and scanning is greatly underestimated by most businesses. Traditionally, customers have not looked at the real costs associated with document production. Since the birth of the Internet and the digital office, the volume of documents printed by organizations has constantly risen. With the paperless office a myth, companies now spend as much as 3% of their annual revenue on document output. This Printing Intelligence Report, produced in partnership with Canon, is not simply an audit of devices and page counts but a detailed investigation of all aspects of how NT-ware creates, manages and distributes its documents. 4 Output Service Analysis We can first create a breakdown showing the proportion of paper that is produced from printing, copying, scanning and faxing. If any of these values are zero or missing, it does not necessarily mean that there isn't any of this service taking place - only that uniflow has not been set up to detect it. 5 Trend Analysis Looking at the printing over time can show some interesting patterns in behavior. For example, if a secure printing system has been installed or some user training has recently taken place to reduce the amount of s that are printed, has this reduced the total print volume in the organization? 6 Application Usage Breakdown Investigating which applications are being used to create the print jobs is an important step in understanding the printing infrastructure. In normal organizations, people tend to print most from word processing applications such as Microsoft Word. A sign to look out for is a large amount of printing, especially in color as this is often an area that can be targeted to reduce the amount and cost of printing. 7 Time Of Day Analysis It is often important to see when people use the output devices to get a better understanding of the printing environment. Typically, there will be a peak of printing in the morning when people arrive in the office and print their s instead of reading them on the screen. A second peak often occurs in the late afternoon as people prepare to go home or to catch the last post. Depending on the corporate culture of the organization, printing outside hours when people are normally in the office could be an area to look at if the organization is concerned about misuse of printing resources as there is normally no-one around to see them. 8 Job Size Analysis Understanding the jobs people print is essential to adding intelligence to a printing strategy. The more users share printers, the more important it becomes to ensure they have the correct printers available. Waiting for a slow printer to produce a large document is wasteful of both time and money - and also increases the user's frustration with the print process. Simply having desktop printers makes the situation even worse. Apart from the increase in support and training costs that needs to be provided by an IT department, consumable prices increase dramatically. The basic rule is 'the smaller the printer, the more expensive it costs to print'. By understanding the printing habits of users and departments and identifying where the large jobs come from, printers are able to be moved to the most cost effective location. New output devices can be purchased safe in the knowledge that they will be suitable for the tasks of the users rather than the normal guesswork situation. Page 8 of 47

9 Job Size Analysis It is important to understand the relationship between the number of times a user prints a document and the number of physical pieces of paper that the document will be printed on. For example, a user may print a small 1-page Word document many times but a large PDF manual only once. When looking at the print strategy for the organization, it is possible to move this smaller number of larger jobs to the fastest and most cost effective printers to save both time and money. 10 Job Size Analysis The following charts show in more detail the relationship between the size of jobs and the number of pages produced. These charts show how a small number of larger jobs can have a much more significant impact on a total printing strategy than a large number of smaller jobs. 11 Bulk Printing Analysis - Printer It is easy to say that large jobs take longer to print than small jobs. As part of a print strategy, it is possible to see which printers regularly are sent large jobs (defined in this report as being over 3 pages in length). For the printing environment to be as efficient and cost effective as possible, these printers receiving the largest number of bulk jobs should be the fastest and cheapest in the fleet. If a printer appears at the top of this list which is slow and/or expensive and/or old then there is a case to perform some fleet management to move it to a location where it is more suited. Slow printers that are sent large jobs create frustration for other users who are using the same device. Expensive printers performing large jobs are wasting the company money. The most expensive cost per page printers should be moved to the lowest volume areas to keep the waste as small as possible. Old printers often are less reliable than newer models. If the business reasons still exist to keep producing this volume at the same location, then a newer model could be moved from elsewhere - or a new printer purchased. 12 Bulk Printing Analysis - Location The following graph shows which locations are responsible for printing bulk jobs (defined as over 3 pages). Effective fleet management as part of an overall print strategy would ensure that the fastest and cheapest devices are in these locations to minimize waiting for the users and to keep costs as low as possible. 13 Bulk Printing Analysis - Department The reason for this graph is to show which departments need access to the fastest printers in the fleet. If a fast printer is moved to a department that regularly needs to produce large print runs (defined here as being over 3 pages in length), it will mean less waiting time for all users. Also, fast printers are often cheaper to run so it is more important to try and get the most cost efficient printer to print these jobs. Departments that have a large number of printers or some fast printers that are not being used efficiently show that some fleet management needs to take place in order to optimize the printing environment. 14 Environmental Analysis Printing in double sided mode not only saves paper (and therefore money) but also shows that users do more than just push the 'print' icon to produce their jobs. Most users will print s without thinking about making them double sided, but what about larger jobs? Many large documents are too heavy to be picked up when only printed single sided. Also, the paper trays need to be refilled more often, increasing user dissatisfaction with the printing infrastructure as well as costs. An environmental printing strategy can be promoted in the following ways: 1. Ensure all output devices support double sided printing. Most multifunctional devices support double sided printing as standard. For printers, it is an additional extra if it is available at all. 2. Promote the environmental savings to the users. Most people like to do something for the environment. Double sided printing can have a very visible impact by relating the paper saved to the number of trees. 3. Introduce paper recycling points to the office if they do not already exist. If users see the result of saving paper, that too links to double sided printing. 4. Make the devices print double sided by default. This is often just a simple setting on the print server by the IT department but makes a massive difference. Users can still choose to print a job single sided if there is the need to, but when they just click 'print' they can be printing double sided and therefore saving paper. Page 14 of 47

15 Environmental Analysis - During the audit period, users have selected to print their jobs double sided 62,24% of the time. A total of 983 jobs were printed double sided saving 4.38 (31,37%) sheets of paper or the equivalent of 8,62 reams of paper or 1,3 trees annually. The chart below shows the environmental impact of printing in NT-ware. The first column (%) shows what the environmental impact would have been if all documents were printed single sided. The second column (62,24%) shows the environmental impact at the current level of double sided printing. The third column (Saving) shows the environmental savings made due to the current level of double sided printing. The forth column (1%) shows what the environmental impact would have been if everything had been printed double sided, and the final column (Waste) shows the potential environmental savings from the current situation if all jobs were printed double sided. Printers that do not have any double sided printing capability are costing the organization money by the unnecessary purchasing of paper. Printers that have a double sided printing unit that is not being used is costing the company even more as the full functionality of the device is not being used. For locations with similar printing requirements, however, the following graph shows where extra training could be required to reduce the level of paper usage. 19 Environmental Analysis - Department - Here we display the top 15 departments (by number of pages printed) and their associated duplex printing levels. It is possible to clearly see how the largest producers of paper either do or do not print their jobs double sided. Where one department is either printing far more or less double sided printing that others needs further investigation - either to learn best practice or to identify areas for training. There may be valid business reasons why some documents need to be printed on single sided paper - but that should be the exception rather than the norm. The IT department could set the default for all printers to be double sided with the users able to override that decision on a job by job basis. As we already know the amount of double sided printing taking place in NT-ware is possible to estimate the amount of physical sheets of paper that have been saved and therefore a more accurate figure o the environmental savings. When using uniflow in a secure printing environment, it is common to see the print queue that the user actually connects to (the input queue) as having a large number of deleted jobs. This is because the job doesn't actually go to a physical printer before it i deleted, so it is assigned to the input queue. The physical printers may also have deleted jobs for other reasons, such as unknown users or access rights restrictions. 26 Printing Analysis The role of color printing in the office environment has, for many years, been inhibited by cost of equipment as well as ongoing expense. In addition, there was a strong concern that giving color printing access to employees would lead to abuse of the color printing facility. When combined with the traditional prohibitive cost per page of color printing, most companies opted for monochrome printing with color printing being reserved for a very small, select group of functions. has an impact on everybody's day-to-day lives. It adds clarity, aids recognition and fuels interest. Research shows that there are the following advantages from printing in color: 1. reduces errors by 8% 2. Information can be located 7% faster if it is in color 3. increases comprehension by as much as 73% 4. increases learning and retention by 78% 5. can increase payment response by up to 3% 6. helps sell up to 8% more Over the last few years, color devices have crept into the office to such an extent that often the IT department and office manager do not know what is on the network. If color printing is increasing, then it may be worth performing some user training or even investigating whether color printing limits or quotas could be imposed on different users or departments. Areas to analyze are, naturally, the largest volume printers in the fleet. Simple fleet management can be undertaken to ensure that the cheapest and fastest devices are placed in areas where there is most demand. Typically, customer and end-user facing departments often have a higher requirement for color printing than those only with only an internal responsibility. 32 Printer Usage Analysis A good understanding of how the current printer fleet is being used provides the core information of a print strategy. By looking at how individual printers are being used, it is possible to see possible problems and bottlenecks with the output device fleet. As a guide, the following three areas are worth looking out for: Printer Volumes - Look at which printers are being used the most. Are these the cheapest and fastest printers available in the fleet, or could some devices be swapped to get the best out of the existing investment. Usage - Look at which printers are producing color. Are the users selecting the output devices correctly, or are they just printing to the closest device regardless of the job they are printing? Job Size - Look at the size of jobs that are being printed to a particular device. If a printer is consistently printing large jobs, it is important to make sure that this is the fastest device possible. Also, check for large print jobs being sent to smaller, less capable and more expensive printers. Page 32 of 47

42 Department Breakdown Every department within an organization has a different role and therefore, a different requirement for printing. A 'one size, fits all' approach to the printing infrastructure often results in some departments having far more printing capacity than is necessary, while others suffer from longer queues and reduced productivity as the printers available are not sufficient.
