1 Utah Chess Association Minutes of Meeting of Board of Directors March 28, 2015 A regularly scheduled meeting of the Board of Directors of the Utah Chess Association (hereinafter, the UCA or the Association ) convened in the first floor conference room (Room 146) of the Abraham Markosian Library on the Taylorsville Redwood Campus of Salt Lake Community College, 4600 South Redwood Road, Salt Lake City, Utah at approximately 11:00 a.m. on March 28, The following Board members, constituting a quorum for holding the meeting and for the regular conduct of business, were in attendance: David Day, President Gina Mason, Vice President Steve Hoisington, Secretary Kari Roach, Treasurer Bryan Leaño Jeffery Scott was also in attendance and, as reported in Section 3, below, was selected in the course of the business of the meeting to fill the remaining term of a vacant seat on the Board, from which point he participated in the meeting as a current voting member of the Board. 1. Approval of Minutes The previously distributed draft minutes for the Board meeting held February 19, 2015, were discussed and, upon motion duly made, approved, 5 0, with minor additions and editorial revisions. 2. Treasurer s Report A. General Account The Treasurer, Kari Roach, reported that the balance in the Association s general account as of the meeting date was $5,550.13, with $2, of such total held in the Association s checking account at Zions Bank, and a balance of $3, held in the Association s PayPal account. The Treasurer noted that transfers from the PayPal account to the checking account are being made regularly, but are limited to $ per month. The maximum amount is being transferred each month, and such a transfer in currently in process. The reduction from the PayPal account is already reflected in

2 the figure reported above, but the deposit is not yet reflected in the balance in the checking account. When this transfer is completed, the total balance in the general account will be $6, B. Scholastic Account The Treasurer, Kari Roach, reported that the financial impacts from the several recent scholastic state championship tournaments (K 6, Junior High School and High School) were still being processed and that no meaningful update for the scholastic account could be presented. It was noted that all the state championship tournaments had had lower turnouts this year than in At the previous meeting on February 19, 2015, she had reported that the aggregate balance in the Association s scholastic accounts was $15,980.30, which was unchanged from the amount reported at the second January meeting. By subaccount, the balances were: $2, allocated to the high school account, $2, allocated to the Junior High School account, and $10, allocated to the K through 6th (K 6) account. 3. Special Matter: Resignation from the Board; Election to Fill Vacancy The President, David Day, reported that John Coffey had resigned from the Board and delivered the original of his written resignation to the Secretary for filing with the official records of the Association. A copy of Mr. Coffey s resignation is attached as Appendix C, below. Upon motion duly made, the Board voted unanimously, 5 0, to acknowledge and express its gratitude for Mr. Coffey s many years of service to the Association as Board member, officer, tournament director and player, and to wish him the best in his forthcoming move to the State of Indiana. The President then noted that pursuant to Article IV, Section 9 of the Association s By laws, the Board had the power (and, arguably, the duty) to select a replacement to fill the remaining term for the open seat. Two possible replacement candidates were discussed, as follows: (1) Jeffery Scott, who has expressed an immediate interest in serving on the Board and who, as noted above, was in attendance at the meeting; and (2) Grant Hodson. The President said he was not certain whether Grant Hodson wished to return to the Board immediately, and he inquired whether anyone else in attendance had recently discussed this subject with him. No one had recently had such a discussion, but several Board members said their impression was that Mr. Hodson was contemplating seeking to return to the Board at the next Annual Meeting, but not sooner. Upon motion duly made, the Board voted unanimously, 5 0, to select Jeffery Scott to fill out the balance of the term of the vacant seat, which will expire as of the Annual General Membership Meeting in

4 4. Recent Tournaments There were four tournaments held on February 21, 2015, each of which was a Grand Prix Event. The Senior Championship was won by John Coffey on a perfect score of 4.0/4. Bradley Tew was clear second on a score of 3.0/4. The Nifty Under Fifty tournament was won by David Vasquez on a perfect score of 4.0/4. Ben Balter and Charles Rasmussen were equal second on scores of 2.5/4. The Barber Open Pre Qualifier was won by Gatlin Black on a perfect score of 4.0/4. Four players finished equal second on scores of 3.0/4, as follows: Bryan Guo, Jacob Lyons, Brendon Young and Wensen Zhang. On the basis of tie break scores, Wensen Zhang was determined to be the other player (besides the winner, Gatlin Black) whose result in this tournament earned the right to play in the Final Barber Qualifier (six player round robin). The High School Championship was won jointly by Gabriel Zhao and Bobby Zhou on scores of 5.5/6. After the tournament, Gabriel Zhao expressed his decision to decline to be considered as the Utah representative to the national Denker Tournament of High School Champions for Bobby Zhou indicated that he did wish to be the Denker representative for the State of Utah. Eric Hon, one of three players who placed equal third, will be the official alternate for the Denker tournament. The Senior Championship and the Nifty Under Fifty tournament were both held at the Warnock Engineering Building ( WEB ) at the University of Utah and yielded a combined net profit of $ A combined profit and loss statement for these tournaments is attached as Appendix A 1, below. The Barber Open Pre Qualifier was held at the American International School of Utah ( AISU ) and yielded a net profit of $ A profit and loss statement for this tournament is attached as Appendix A 2, below. The High School Championship, which was also held at AISU, was organized by the High School Committee. Financial results for this event were not available to the Board as of the date of the meeting. The Salt Lake Open tournament held March 21, 2015, was won jointly by Steve Gordon, Eric Hon and Bryan Leaño on scores of 3.5/4. The Reserve (U 1600) Section was won by Wesly Harston on a perfect score of 4.0/4, with Gatlin Black clear second on a score of 3.5/4. The Novice (U 1000) Section was won by Jacob Young on a perfect score of 5.0/5, with Ujan Ray and Kyle Reeder equal second on 4.0/5. The tournament yielded a net profit of $ A profit and loss statement for this tournament is attached as Appendix A 3, below. [Text continues on next page.] 4

Final decisions on scheduling for these events were tabled until a future meeting. [End of notes to tournament schedule] The Class Championships will be held on April 25th in the Warnock Engineering Building ( WEB ). The organizers and TDs for this tournament will be David Day and Kari Roach. The Barber Final Qualifier (round robin) will be held on May 2 3, The tournament will be a six player single round robin. The President, David Day, has notified the state s four highest rated players (based on the February 2015 Supplement) in grades K 8 of their eligibility to participate. After Andrew Roach indicated that he declined to seek qualification this year as the Utah representative to the national Barber tournament, the four players who have qualified on this basis are Stephen Yu, Alex Qi, Chenkai Luo and Jacinda Lee. Each of these players has confirmed his or her intention to participate in the Barber Final Qualifier. The other two participants in the Barber Final 5

6 Qualifier will be Gatlin Black and Wensen Zhang, who were the top two finishers at the Barber Open Pre Qualifier on February 21, (See Section 4, above.) Steve Hoisington will serve as tournament director for the Barber Final Qualifier. There was also a discussion of the Game in Sixty (G/60) Championship to be held in May. The Board considered possible venues in Salt Lake City or Park City for either May 9th or May 16th. Because it was not possible to confirm the availability of a suitable venue on either of these dates, a final decision on the date and venue for this event was tabled to the next meeting. With regard to tournaments to be held in June, the Board decided to switch the respective dates for the Long Days of Summer tournament and the Quick Championship due to issues relating to venue availability. The Quick Championship (G/15, inc/10) is now planned for June 6th in the Panorama Room of the Olpin University Union, and the Long Days of Summer tournament will be held on June 26th 27th in the Warnock Engineering Building (WEB). (Note: The availability of the WEB for the full day on Saturday, the 27th, has been confirmed; the use of that venue for the Friday evening round, the 26th, is currently tentative.) 6. Grand Prix Competition The Secretary, Steve Hoisington, reported Grand Prix results for the Senior Championship, Nifty Under Fifty, Barber Open and High School Championship, all held February 21, 2015, and for the Salt Lake Open tournament held March 21, 2015, and presented year to date standings for the Grand Prix competition. Copies of those results and standings are attached as Appendices B 1 through B 6, below. After those tournaments, the leaders in the cumulative Grand Prix standings (Premier Competition) were: (1) David Vasquez 52; (2) Bryan Leaño 50.83; (3) Eric Hon 50; (4) Steve Gordon 38; (5) Ben Balter 26.5; (6 7) Gatlin Black 21; John Coffey 21; (8 9) Gabriel Zhao 18; Bobby Zhou 18; and (10 11) Clancey Black 16; and Sam Mason 16. The leaders in the Reserve Section of the Grand Prix competition (Scholastic division) are: (1) Gatlin Black 33; (2 3) Wesly Harston 21; Jacob Young 21; (4 5) Ujan Ray 13.5; Kyle Reeder 13.5; (6 8) Bryan Guo 9; Trey Haight 9; Austin Roach 9; and (9 11) Emily Hogue 8; Sraavya Pinjala 8; and Josef Young 8; and the leaders in the Adult division are: (1) Stephen Black 18; (2) Charles T. Evans 9; and (3 5) Isaac Balter 7.33; Richard Handoko 7.33; and Bradley Tew Miscellaneous Topics 6

7 There were discussions of several additional topics, as summarized below. A. Special Matter: Reimbursement for Printer Expense During the discussion of the Salt Lake Open, held March 21, 2015, Gina Mason advised the Board that she had needed to replace the ink cartridges in her printer in the course of directing that event. She further stated that the printer in question was one that had been used exclusively for running UCA tournaments and that for the replacement cartridges she had personally incurred an out of pocket expense of $51.70, for which she requested reimbursement. Upon motion duly made, the Board voted unanimously, 6 0, to reimburse her in the amount of $51.70 for this expense. Note : Because the consumption of the ink occurred in the course of running many tournaments, the reimbursement of this expense is not reflected in the profit and loss statement for the Salt Lake Open (see Appendix A 3, below), but has rather been treated as a special expense not allocable to any specific tournament(s). B. Website Committee Allen Bolen, chair of the website committee, was traveling out of state and unable to attend the meeting. Discussion of this subject was tabled to a future meeting. C. Mission Statement/Vision Statement Discussion of this subject was tabled to a future meeting. D. Annual Meeting Schedule Discussion of this subject was tabled to a future meeting. E. Regional Liaisons Discussion of this topic (establishing regional liaisons around the state to facilitate communication and coordination with the Board of tournaments being organized in counties other than Salt Lake County) was tabled for consideration at a future meeting. 8. Next Board Meeting The next meeting of the Board was scheduled to be held on Saturday, April 11, 2015, to convene at approximately 11:00 a.m. in the first floor conference room (Room 146) of 7
