SUBMISSION STANDARDS PREPARING YOUR ELECTRONIC SUBMISSION Once you have made your initial request and paid the administrative fee, you will receive two emails. The first email is a payment receipt / confirmation. The second email will be an invitation to upload your plans and documents so that we may Pre-screen your request. The drawings and documents that you upload must meet our submission standards. Standards allow for easy identification of drawings by naming convention, vector file types in order to facilitate the most efficient review, colour coding of comments for visual identification of departments and so on. Some permit types are exempt from certain submission standards. These exemptions are outlined in the Quick Reference sheet for that permit type. DOCUMENTS / DRAWINGS The submission standards in this section apply to all files uploaded to eplan. There are two categories of files: drawings and documents. Documents include forms, supporting documents, and approval documents. The following table summarizes the two file categories, examples of each and the folder they must be uploaded to in eplan: Documents Anything not falling into the Drawing Category File Type Examples Upload Folder Site plan Design drawings that will be used for the Key plan construction of the building. REQUIRED FILE TYPES DRAWING FILES 1. Each drawing sheet or page shall be uploaded as a separate file. 2. Only Vector PDF files will be accepted for drawings. AutoCAD software is commonly used to create drawing files. created in AutoCAD are converted to Vector PDF by using the Autodesk Vector Graphic Converter DWG to PDF.pc3 plotter driver. 3. All drawings must be flattened into a single layer. We do not need to see layers that clutter the drawings. Layers such as floor finishes that are cross hatched, is an example of such a layer. 4. and resubmitted drawings must be oriented in LANDSCAPE. 5. Fire separation drawings are required to be in colour. All other PDFs are required to be grayscale. No colour should be on the greyscale drawings with the exception of borders, templates or stamps. SUPPORTING DOCUMENT FILES 1. Each document shall be uploaded as a separate file. 2. Roof truss and floor joist shop drawings must be submitted as a vector based PDF package. All other supporting files may be in the following formats: PDF, DOC, DOCX, XLS, XLSX, PPT, PPS, PPTX, TIF, TIFF, JPG, PNG, IMG, or BMP. 3. Submit searchable PDF files for calculations, reports and other supporting documentation (non-drawing files). FORMS & APPROVAL DOCUMENTS 1. Each form or approval document shall be uploaded as a separate file. 2. PDF is preferred, but forms may be in the following formats: DOC, DOCX, XLS, XLSX, PPT, PPS, PPTX, TIF, TIFF, JPG, PNG, IMG, or BMP. 3. BORDER STANDARDS ALL DOCUMENT AND DRAWING FILES The top right corner of all drawings and documents must be reserved for the City of Markham s electronic approval stamps. Please leave the top right corner completely blank on all drawings (with exception of the border) and supporting documents. FILE NAMING STANDARDS BUILDING PLANS (RESIDENTIAL & COMMERCIAL) File names for drawings submitted through eplan Review should include the first character(s) of the discipline name, followed by a 3-digit sheet number and drawing type. File names for both drawings and documents shall remain the same for all submittals. Do not version or rename files when uploading resubmitted files. Discipline First character(s) in the file name represents the discipline area followed by the page number and type of drawing, i.e. A1.2 East Elevations. Ensure that all plans, including the associated details, are submitted under the correct discipline characters to use. Sheet Number Must be a 3 digit number with leading zeros. Note: if decimals are needed, place decimal after the 3rd digit, ex. P1.99 Sheet Name Adding in the sheet name will allows plans examination staff to quickly navigate your submission, this will aid in review process. The sheet name should be the same name that you would place in your title block for that drawing, for example A1.3 First NOTE: The naming convention in this Standard can be used in the absence of any existing drawing naming convention. If the Architect / Engineer / Designer already has named each drawing, the file names must replicate that name / number. For example, if the drawing label says A2.1 in the title block and it is for the first floor plan, then the file name should be A2.1 First Floor.pdf. For small permit scopes such as sign permits, small residential alterations, solar panels, etc., where there are a small number of drawings, the name convention is not as important. With larger scope drawings of new residential housing or industrial / commercial buildings, the file naming convention needs to reflect the actual drawings since those plans will contain section line and detail references to other drawings. In the end, we want the files to display in the folder in the same order as it would be if you printed and bound the drawing package for a paper submission. eplan Submission Standards 4 Building Standards February 2018

EXEMPTIONS FROM SUBMISSION STANDARDS In some cases, an exemption from the one of the Submission Standards criteria may be requested on a project by project basis. Written approval must be obtained from the Manager, Plans Review or designate. This approval is required to be uploaded with the submitted drawings and documents. MARK-UP NAME AND COLOUR STANDARDS Standard mark-up names and colours will be used for each reviewing discipline for easy identification. A markup can have one or more change marks. Change marks are created to quickly identify a mark-up and associated comments.
