Booklet fold A multiple-page job is folded along the center into a single booklet. Saddle stitch A booklet-fold print job is stapled along the center fold. Note: All jobs receiving finishing from the booklet maker must be loaded in the short-edge orientation. When paper is loaded in the short-edge orientation, the short edge of the paper enters the printer first. 6

9 Using the finisher Finishing jobs may originate from copy jobs at the printer or files sent from a computer. This chapter describes finishing tasks for jobs sent to the printer from a computer and copy jobs initiated from the printer. Notes: If a finishing option such as Staple, Offset, Hole punch, or Fold is unavailable, select a different bin from the Output bin menu. To access the menu, click Properties Paper Output bin menu. Files printed directly from a flash drive inserted into the USB port on the front of the printer will receive only the finishing options that are enabled from the Finishing menu. These are the default settings for every print job. Setting the default paper source Use the printer menus to specify a default paper source. The printer uses the default source when Automatically select is chosen from the Print Properties Paper tray menu or when a job is initiated from the printer and multiple trays contain the same paper size and type specified by the job. 1 On the home screen, touch. 2 Touch Paper Menu. 3 Touch Default Source. 4 Touch repeatedly until the correct paper tray appears. 5 Touch Submit. The settings are updated. Stapling Using staple finishing 1 With a document open, click File Print Properties. 2 Select the Paper tab, and then click the Staple button. Note: If the Staple button is unavailable, select a different output bin from the Output bin menu. 3 Click More Finishing Options. The Finishing Options dialog appears. 4 Select a staple position, and then click OK repeatedly until the Properties dialog closes. Front Places the staple through the upper-left corner of the pages Back Places the staple through the lower-right corner of the pages Dual Places two staples along the left edge of the pages The finishing job is sent. 8

10 Stapling copy jobs 1 Load an original document faceup in the ADF or facedown on the scanner glass. 2 On the home screen, touch Copy. The copy screen appears. 3 Change the copy settings as needed. 4 Touch Copy from, and then touch the size of the original document. 5 Touch Copy to, and then touch the icon that shows the tray you want. 6 Touch Finishing. 7 Touch the icon that shows the staple position you want. Note: Saddle stitch stapling is available only from the Create Booklet/Saddle stitch menu. 8 Touch. 9 Touch Done to return to the Finishing menu. Hole punching Loading paper for letter or A4 hole-punch finishing Paper loaded in the short-edge orientation will receive the hole punch on the top edge of the paper. Paper loaded in the long-edge orientation will receive the hole punch on the long edge of the paper. If multiple trays contain letter- or A4-size paper, set the default paper source to a tray that contains paper loaded in the correct orientation or select the correct tray from the Print Properties Paper tray menu. Short-edge orientation Long-edge orientation ABC ABC Using hole punch finishing 1 With a document open, click File Print Properties. 2 Select the Paper tab, and then click the Hole punch button. Note: If the Hole punch button is unavailable, select a different output bin from the Output bin menu. 3 Click More Finishing Options. The Finishing Options dialog appears. 9

11 4 Select the number of holes to punch, and then click OK repeatedly until the Properties dialog closes. 2-hole punch Punches two holes along the top edge of the paper 3-hole punch Punches three holes along the left long edge of the paper 4-hole punch Punches four holes along the left long edge of the paper The finishing job is sent. Hole-punching copy jobs 1 Make sure the paper is loaded in the correct orientation. Note: Load the paper short-edge first for a top-edge hole punch, or load it long-edge first for a long-edge hole punch. For more information, see Supported finishing features on page 5. 2 Load an original document faceup in the ADF or facedown on the scanner glass. 3 On the home screen, touch Copy. The copy screen appears. 4 Change the copy settings as needed. 5 Touch Copy from, and then touch the size of the original document. 6 Touch Copy to, and then touch the tray that contains the paper that is loaded in the correct orientation. 7 Touch Finishing. 8 Touch the icon that shows the hole-punch number and position you want. 9 Touch. 10 Touch Done to return to the Finishing menu. Folding Fold finishing may be selected from Print Properties for jobs originating from a computer. For copy jobs, fold finishing can be accessed from the home screen by touching Copy Finishing Create Booklet/Saddle Stitch. The paper in the paper source for fold finishing copy jobs must be loaded in the short-edge orientation. For more information, see Loading paper in the short-edge orientation on page 12. Using fold finishing 1 With a document open, click File Print Properties. 2 Select the Paper tab, and then select a tray from the Paper tray menu. Note: The selected tray must contain paper loaded in the correct orientation. 3 Click Fold, and then click More finishing options. The Finishing Options dialog appears. 4 Select a fold position, and then click OK repeatedly until the Print Properties dialog closes. Fold Folds up to five sheets in half Note: Jobs greater than five sheets will be folded and nested. Fold and center staple Folds the sheets in half and places two staples along the fold (saddle stitch) Fold individual pages Folds each sheet individually 10

12 The finishing job is sent. Folding copy jobs 1 Load the paper in the short-edge orientation in a 500-sheet tray or the multipurpose feeder. Note: Letter- or A4-size paper must be loaded in a 500-sheet tray in the short-edge orientation. 2 Set the default paper source to a 500-sheet tray that has paper loaded in the short-edge orientation. For more information, see Setting the default paper source on page 8. 3 Load an original document faceup in the ADF. 4 On the home screen, touch Copy. The copy screen appears. 5 Change the copy settings as needed. 6 Touch Copy from, and then touch the size of the original document. 7 Touch Copy to, and then touch the tray that contains the short-edge oriented paper. 8 Touch Finishing. 9 Touch Fold Individual Pages. 10 Touch. 11 Touch Done to return to the Finishing menu. Offsetting Offsetting print jobs Offsetting stacks copies into staggered sets in the specified output bin. Offset finishing is not supported for all output bins. If Offset is not supported by the selected bin, choose another bin from the Output bin menu. 1 With a document open, click File Print Properties. 2 Select the Paper tab, and then click the Offset button. The finishing job is sent. 11

13 Creating booklets The finisher can create stapled booklets of up to 15 sheets including the cover page. Booklet jobs greater than 15 total sheets will be folded without stapling and nested in the booklet maker output bin. Notes: Files printed directly from a flash drive inserted into the USB port on the front of the printer will receive only the finishing options that are enabled from the Finishing menu. These are the default settings for every print job. Booklet creation cannot be enabled as a default finishing option from the Finishing menu; therefore, booklets cannot be created directly from a flash drive. Loading paper in the short-edge orientation Jobs that request top-edge hole punch, folding, or booklet finishing must draw from a paper source that has paper loaded in the short-edge orientation. Supported paper types may be loaded in the short-edge orientation in a 500-sheet tray or the multipurpose feeder. Letter or A4 jobs must be loaded in a 500-sheet tray in the short-edge orientation. All supported paper sizes may be loaded in the short-edge orientation in a 500-sheet tray. 1 Grasp the handle, and then pull the tray out. 12

14 2 Squeeze the width and length guide tabs together as shown, and then move guides to the correct position for the paper size being loaded. 3 Flex the sheets back and forth to loosen them, and then fan them. Do not fold or crease the paper. Straighten the edges on a level surface. 4 Load the paper in the short-edge orientation. 5 Make sure the paper guides are secure against the edges of the paper. 6 Insert the tray. 7 If a different type of paper was loaded than the type previously loaded in the tray, change the Paper Type setting for the tray from the control panel. 13

15 Setting the Paper Size and Paper Type The Paper Size setting is determined by the position of the paper guides in the tray for all trays except the multipurpose feeder. The Paper Size setting for the multipurpose feeder must be set manually. The factory default Paper Type setting is Plain Paper. The Paper Type setting must be set manually for all trays that do not contain plain paper. 1 Make sure the printer is on and Ready appears. 2 From the control panel, touch. 3 Touch Paper Menu. 4 Touch Paper Size/Type. 5 Touch the tray number, or touch MP Feeder Size. 6 Touch repeatedly until the desired size appears. 7 Touch Submit. Creating booklets Jobs that request booklet finishing must use paper loaded in the short-edge orientation. For more information, see Loading paper in the short-edge orientation on page 12. Two paper sources are required for booklet jobs that use a type of paper for the cover that is different from the type of paper used for the booklet pages. 1 Load the paper. a Load the paper for the booklet pages in the short-edge orientation. b If the job requires a cover that is a different paper type than the booklet pages, load the paper for the cover in the short-edge orientation in another tray. 2 With a document open, click File Print Properties. 3 Specify the paper settings for the booklet pages. a b c Select the Paper tab. From the Paper tray menu, select the tray that contains the paper for the booklet pages. From the Paper type menu, select the paper type of the booklet pages. 4 Select the Page Layout tab, and then click the More Page Layout Options button. The More Page Layout Options dialog appears. 5 Select Use booklet options, and then click the Settings button. The Booklet Settings dialog appears. 6 Specify finishing for the booklet: a Specify fold and staple settings: Select No fold or center staple to print the booklet without folding or stapling. Select Booklet fold to fold the pages into a booklet without stapling. Select Booklet fold and center staple to fold the pages into a booklet with stapling. 14

16 b Specify cover page finishing: 1 Select Create cover. 2 Specify where the cover page will appear. Multiple settings may be selected: Select Print Outside of Front Cover to print the first page of the document on the outside of the front cover. Select Print Inside of Front Cover to print the first page of the document on the inside of the front cover. Select Print Outside of Back Cover to print the last page of the document on the outside of the back cover. Select Print Inside of Back Cover to print the last page of the document on the inside of the back cover. 3 Select Maintain Letter/A4 Size to print the booklet on Tabloid (11 x 17 in.) paper so that each page of the folded booklet maintains the original size. 7 Specify the paper settings for the cover page: a From the Cover paper source menu, select the tray that contains the paper for the cover. b From the Cover paper type menu, select the paper type of the cover. 8 Click OK until the Properties dialog closes. The finishing job is sent. Creating booklets from a copy job These instructions are for booklet jobs that use one type of paper from one paper source. 1 Load the paper in the short-edge orientation in a 500-sheet tray or the multipurpose feeder. Note: Letter- or A4-size paper must be loaded in a 500-sheet tray in the short-edge orientation. 2 Load an original document faceup in the ADF. 3 Use the printer menus to create a custom name for the booklet paper. For more information, see Creating a custom name for a paper type on page Assign the custom name to the paper source that contains the booklet paper. For more information, see Assigning a custom paper type name on page On the home screen, touch Copy. The copy screen appears. 6 Change the copy settings as needed. 7 Touch Copy from, and then touch the size of the original document. 8 Touch Copy to, and then touch the tray that contains the booklet paper. 9 Touch Finishing. 10 Touch Create Booklet/Saddle Stitch. 11 Specify finishing for the booklet: a Specify the page layout of the original document: Touch 1 sided to booklet if the original document is one-sided. Touch 2 sided to booklet if the original document is two-sided. Touch Off to stop booklet creation. The job is treated as a basic copy job with no finishing. 15

17 b c Specify fold and staple settings: Touch Staple and fold to fold the sheets in half with two staples in the fold. Note: Up to 15 sheets can be stapled in a booklet, including a cover page. Touch Fold without stapling to fold the booklet without stapling. Specify cover page finishing: 1 Touch Cover page setup. 2 Touch Use cover page. A green check mark indicates that a cover page is added to the booklet. 3 Specify where the cover page will appear. Multiple settings may be selected: Touch Print outside of front cover to print the first page of the document on the outside of the front cover. Touch Print inside of front cover to print the first page of the document on the inside of the front cover. Touch Print outside of back cover to print the last page of the document on the outside of the back cover. Creating booklets with special covers from a copy job Creating booklets with special covers These instructions are for booklet jobs that use a type of paper for the cover that is different from the type of paper used for the booklet pages. This process uses two paper sources. 1 Load the paper: Load the paper for the booklet cover in the short-edge orientation in Tray 1. Load the paper for the booklet pages in the short-edge orientation in Tray 2. Load an original document faceup in the ADF. For more information, see Loading paper in the short-edge orientation on page Use the printer menus to create two custom names: Create a custom name such as cover for the booklet cover. Create a custom name such as booklet for the booklet pages. For more information, see Creating a custom name for a paper type on page Assign the custom names: Assign the cover custom name to Tray 1. Assign the booklet custom name to Tray 2. For more information, see Assigning a custom paper type name on page On the home screen, touch Copy. Creating a custom name for a paper type Create a custom name for a paper type. Use the printer menus to assign a paper type to the custom name, and then assign the custom name to a specific tray. The tray will unlink from other trays that do not share the same paper size, type, and name. 1 On the home screen, touch. 2 Touch Paper Menu. 3 Touch Custom Names. 4 Use the virtual keyboard to enter a custom name. 5 Touch Submit. The settings are updated. Assigning a custom paper type name Assign a custom paper type name to a tray when linking or unlinking the tray. 1 Make sure the printer is on and Ready appears. 2 From the control panel, touch. 3 Touch Paper Menu. 4 Touch Paper Size/Type. 5 Touch the tray number or MP Feeder Type. 6 Touch repeatedly until Custom Type <x> or another custom name appears. 7 Touch Submit. 17

19 Paper guide Paper capacities All paper capacities are based on 75 g/m 2 (20 lb) paper. Standard Bin 500 sheets Bin sheets Note: Envelopes and executive-size paper are not supported in this bin. Bin sheets Bin 3 (booklet maker) 270 sheets or 18 sets of 15-sheet booklets Supported paper weights and types Paper weights Finisher Bin 1 and Bin 2 support g/m 2 (17 60 lb) paper weights. Bin 3 (booklet-maker) supports g/ m 2 (17 24 lb) paper weights for booklet pages. Bin 3 supports up to 120 g/m 2 (32 lb) paper weights for booklet covers. Paper types Use this table to determine the possible output destinations of print jobs which use supported paper types and weights. Use the following sections to determine which direction to load the letterhead. 18

20 Loading letterhead for jobs that require finishing Load the letterhead in the short-edge orientation in a 500-sheet tray if the job requires stapling, top-edge hole punching, or fold finishing. ABC Load the letterhead in the long-edge orientation in a 500-sheet tray or the multipurpose feeder if the job requires hole-punch finishing on the long edge of the paper. ABC ABC Loading letterhead for jobs that do not require finishing When using letterhead for jobs that do not require finishing, paper may be loaded in the long-edge or short-edge orientation as supported by the tray. 22 Maintaining the finisher Periodically, certain tasks are required to maintain optimum finishing quality. Replacing the general finishing staples 1 Open the finisher front door. 2 Grasp the staple cartridge carrier tab, and then pull it forward. 21

23 3 Remove the staple cartridge from the cartridge carrier. 4 Remove the cartridge from the cartridge casing: a Pull the tab away from the staple cartridge and hold it in position. b Press up from the bottom of the cartridge while pulling the staple cartridge up Discard the empty cartridge. 6 Insert a new cartridge into the casing. 22

24 The cartridge clicks into position. 7 Insert the staple cartridge into the cartridge carrier. The cartridge clicks into position. 8 Close the finisher door. 23

25 Replacing the advanced booklet staples There are two saddle stitch staple cartridges that use the advanced booklet staples. Use this process to replace either cartridge. 1 Open the finisher front door. 2 Squeeze the tabs together, and then pull the staple tray toward you to open it. 24

26 3 Grasp the staple cartridge by the side grips and pull upward to remove it from the carrier. 4 Discard the empty cartridge. 5 Insert a new cartridge. 6 Close the staple tray. 7 Close the finisher door. 25

27 Emptying the hole punch box 1 Open the finisher front door. 2 Grasp the hole punch box handle, and then pull to remove it. 3 Empty the hole punch box. 26

28 4 Replace the hole punch box. 5 Close the finisher door. 27

29 Understanding the finisher menus and messages This chapter describes the finishing menus and messages for your printer. The Finishing menu may be accessed from the printer display by touching Settings Finishing Menu. The Bin Setup and Custom Bin Names menus may be accessed by touching Finisher messages appear on the printer display. Settings Print Paper Menu. Finisher menus Finishing menu The Finishing menu specifies the default finishing for all print jobs. Menu item Duplex On Off Duplex Bind Long Edge Short Edge Copies Blank Pages Do Not Print Print Description Enables duplex (2-sided) printing Notes: Off is the factory default setting. To set 2-sided printing from the software program, click File Print, and then click Properties, Preferences, Options, or Setup. Defines the way duplexed pages are bound and how the printing on the back of the page is oriented in relation to the printing on the front of the page Notes: Long Edge is the factory default setting. Long Edge specifies that binding be placed on the left edge of portrait pages and the top edge of landscape pages. Short Edge specifies that binding be placed on the top edge of portrait pages and the left edge of landscape pages. Specifies a default number of copies for each print job Notes: 1 is the factory default setting. To specify the number of copies for a specific print job, from the software program, click File Print, and then click Properties, Preferences, Options, or Setup. Software settings always override control panel settings. Specifies whether blank pages are inserted in a print job Note: Do Not Print is the factory default setting. 28

No pages will be collated. The On setting stacks the print job sequentially. Both settings print the entire job the number of times specified by the Copy menu setting. Specifies whether blank separator sheets are inserted Notes: None is the factory default setting. Between Copies inserts a blank sheet between each copy of a print job if Collation is set to On. If Collation is set to Off, a blank page is inserted between each set of printed pages, such as after all page 1's, all page 2's, and so on. Between Jobs inserts a blank sheet between print jobs. Between Pages inserts a blank sheet between each page of the print job. This setting is useful when printing transparencies or inserting blank pages in a document for notes. Specifies the paper source for separator sheets Notes: Tray 1 (standard tray) is the factory default setting. From the Paper menu, Configure MP must be set to Cassette in order for MP Feeder to appear as a menu setting. Specifies that multiple-page images be printed on one side of a sheet of paper. This is also referred to as N-up or Paper Saver. Notes: Off is the factory default setting. The number selected is the number of page images that will print per side. Specifies the positioning of multiple-page images when using Multipage Print Notes: Horizontal is the factory default setting. Positioning depends on the number of images and whether the images are in portrait or landscape orientation. 29

Make sure the booklet maker staple tray is in the proper position: 1 Open the finisher door. 2 Open the booklet maker staple tray. 32

34 3 Close the booklet maker staple tray. Make sure the tray is in the proper position. Make sure the G4 latch closed properly: 1 Open the finisher door. 2 Push the G4 handle down. 3 Remove any jammed paper. 4 Replace the G4 handle. The handle clicks into position. Turn the power off and then back on again. Empty hole punch box Empty the hole punch box, and then reinsert it into the finisher. Wait for the message to clear. Incompatible settings Change the orientation of the paper source selected from the Copy to menu. Touch Do not Modify to return to the Copy menu. Touch Modify to continue printing. Note: Modification of the settings may result in a job that does not satisfy your requirements. Insert hole punch box Insert the hole punch box into the finisher. Wait for the message to clear. Load staples <x> Replace the specified staple cartridge in the finisher. Touch Continue to clear the message and continue printing without stapling. Cancel the print job. Staples <x> empty or misfed Load the specified staple cartridge into the finisher to clear the message and continue stapling. 33

36 Troubleshooting Clearing finisher jams Finisher paper jam error messages appear on the printer display when a staple or paper jam occurs in the finisher. Try one or more of the following: Make sure the connection between the finisher and the printer is secure If the finisher is listed on the menu settings page, but paper jams when it exits the printer and enters the finisher, it may not be properly installed. Reinstall the finisher. For more information, see the hardware setup documentation that shipped with the finisher. Make sure you are using a paper size that is compatible with the finisher exit bins For more information about supported paper sizes, click View User's Guide and Documentation on the Software and Documentation CD. 42

Try one or more of the following: Make sure the paper is loaded in the correct orientation For top-edge hole punching, folding, or booklet finishing, load the paper in the short-edge orientation. ABC Note: Load letter- or A4-size paper in a 500-sheet tray. The finisher will not accept letter- or A4-size paper from the multipurpose feeder in the short-edge orientation. Make sure the paper size is supported by the booklet maker Use only paper sizes supported by the booklet maker: A3, A4, B4, folio, legal, letter, or tabloid (11 x 17 in.). 43
