2 o There being no nominations from the floor, the election was declared in favor of Jim Shumaker and John Milius. Financial Report/Budget Requirements, Janet Ehman The Financial Statement was distributed to all attendees. If you have questions, please contact Janet Ehman. Comments shared by Janet: 2016 Financial Statement. The first two columns are the cash basis activity for 2015 and the 2015 budget. The next two columns are the cash basis activity from January thru October of 2016 and the 2016 budget. The final column is the 2017 budget. Since annual meetings are always held in November, you do not have the opportunity to see the activity for an entire year. Presenting the information in this way also gives you the opportunity to compare the prior year to the current year as well as to where we expect to be in Revenue is mainly from homeowner dues. All residents are current, with a few paid through the end of the year, and one paid through part of We have 75 residents using ACH direct withdrawal from their checking accounts. If anyone currently paying by check is interested in doing this for 2017, see me after the meeting and I will give you a form to complete. Please remember if there is any change in your banking information, please contact me. When a bank is taken over by another bank, although they tell you that you can still use your current checks and you don t have to do anything, you MUST notify me or we incur charges from our bank which will be passed on to you. For those who pay by check, 2017 coupon booklets will be ready by the end of the month. Quarterly we transfer $15.53 per unit per month into our capital reserve account for future capital expenses. This year we formed a Long-Term Planning Committee who has been defining our long term assets, their estimated useful life and estimated replacement cost. Since this process requires many assumptions about expected life and replacement cost, their recommendation was that we obtain a Capital Reserve Study from a professional firm. The cost of such a study is estimated to be around $5,000. The Board is still considering it but rather than spend funds on the study right now, we have increased the quarterly reserve transfer amount. In the 2017 budget, we will transfer $20 per unit per month, adding an additional $5,579 annually to the reserves. The Villas Condominium Association is a member of the Bellevue Park Master Association. We pay the Master Association $22.23 per unit per month, which comes out of your $200 monthly dues payment. We remit this to the Master Association on a quarterly basis. Other major expenses are insurance, landscaping, snow removal and repair and maintenance. Although our 2016 insurance expense appear higher for 2016, we have actually reduced 2

3 our insurance costs. We received a substantial discount from our new insurance carrier Auto Owners for paying in full with the new policy period that began September 30 th. The amount on the statement of $47,420 is ½ of the prior policy and the full premium for the new policy. As of October 31 st, our revenue exceeds expenses by $3,700. Our checking account balance is $97,258 and our Capital Reserve Money Market balance is $164, Budget. The Board has worked diligently to prepare this budget. We began in August and continued to refine the numbers, trying to detail specific expense items based on past experience and the current situation. The good news is that the dues will remain the same at $200 per month. The 2017 budget has not changed much from We allocated more funds to the pool for 2017 to account for repairs to the steps and the possibility of a new pool liner. Snow removal can have a wide variance. We had a severe winter in 2015 but thus far in 2016 we are well below budget. This is an unknown and we need to budget for a possible severe winter. Budgeted amounts for building repair and maintenance includes shutter painting, other building painting, roof repairs and other misc. We are trying to perform repairs such as painting, on a cyclical basis, as we do with driveway sealing. And, we have allocated an additional $20,200 to Sidewalk/Concrete Repairs. Committee Reports o Master Association, Mel Spokane Master is looking to replace street lamps with LED bulbs for greater efficiency. You can see one on Lambeth. Master continues to have responsibility for snow removal on streets not yet turned over to the Township by Weaver. o Newsletter & Website, Judi Boren There were 9 issues of the newsletter and we now have a website. Also, if you would prefer receiving printed copies of the newsletter, provide selfaddressed/stamped envelopes. o Clubhouse, Tom Rowader Thank you for keeping the Clubhouse is such great condition. Because of this, the furnishings are in good shape and we do not require carpet cleaning as frequently as in the first year. o Pool, Harry Ehman (for Rich Shoup) 3

There will be a $3 charge per person, per event, unless otherwise announced. o Building & Grounds, Harry Ehman Changing from JML to TruGreen for fertilization services. JML will continue to cut grass and remove snow. Business Meeting Adjourned Resident Input and Discussion This would be a good time to remind residents to turn on roof wires (those who have them installed) And, include contact name/number in newsletter for contractor who does this. Grub control Will TruGreen handle this? This will be part of their contract. They are being instructed to pay special attention to the curb-areas, by the street. And, the hillsides. Request to revisit the cutting and landscaping of hillsides. Lawn cutting Can JML use smaller mowers? The mowers are too large for our lawn areas. 4
