Overview of the Project AAV is willing to host our exhibition again this year Exhibit up for month of March, beginning in last Friday of February Space appears to be sufficient to support 25-35 prints. Social event with slide show (6:00-7:30, slide show at 6:30). Juried by outside juror. Public voting for Public s Choice Awards (1 st 2 weeks). Rev. 2, 12/20/2014 2
Limitations on Images Image must be captured by you and prepared for printing by you. Printing, mounting and framing can be done using commercial services. Also scanning of slides or negatives if needed. No time limits, dig back into your archives No nudity or otherwise potentially offensive images. AAV needs widespread community support and family acceptablity. Do not duplicate an image that you may currently have on display at AAV Gallery. You can move a print currently hanging in the Gallery to the GPS exhibit if you submit it to the GPS/AAV jury process and it is selected. Model and property releases where required. Sales The AAV will permit sales of the prints in our exhibit. Set your own price (recommend browsing the gallery). Gallery will take 40% of the sale, same as for other guest artists. If you are already a displaying artist in the gallery, you will have the share percentage as is in your contract. Sold prints must remain on display until the end of the exhibit. Proceeds will flow from AAV to GPS, on the normal gallery accounting cycle, then to individual artists. Rev. 2, 12/20/2014 4
Selection and Judging of Prints Outside juror will select images accepted to hang in the exhibit, using digital images. When ready-to-hang prints are delivered, the exhibit will be put up, and the juror will judge the final prints for awards. Members may submit up to four images each. The number of prints that can be hung in the exhibit depends on the available space, and the gallery space is dynamic. A best estimate of available space will be made in conjunction with gallery management, GPS will estimate how many prints can be reasonably hung in that space, and that will determine how many images are selected to be included in the exhibit. Using digital submissions, the juror downselects to the number determined that the available space will support. The selection will be based on merits of images (other than print quality and presentation). Identity of photographers will be unknown to juror. If a member who submitted images (more than one) is not represented in that initial selection, add one of his/her images to the selection. Juror will select 1 st, 2 nd and 3 rd place winners, plus TBD number of Honorable Mentions (unranked). Decisions of the juror will be final. Rev. 2, 12/20/2014 5
Selection and Judging of Prints (cont d) Final judging will be done on prints of the selected images after the exhibit is hung. At this time, the juror will consider whether the final image, as presented, lives up to the promise shown in the digital submission, and will include print quality and presentation. The juror will have discretion to exclude a print from the exhibition if it is judged to not be of acceptable quality for public exhibition under the banner of the Grayling Photographic Society. Juror will select 1 st, 2 nd and 3 rd place winners, plus TBD number of Honorable Mentions. Substantial deviations from the digital submittal may cause rejection. Decisions of the juror will be final. It should be recognized by all that, given the dynamic situation in the gallery, the available space could change by the time the exhibit is hung. This could result in the necessity to reduce the number of prints hung. This downselection, if required, will be made by the juror. Rev. 2, 12/20/2014 6

JPEG, Level 10 Photoshop, Level 84 Lightroom, srgb, embedded profile JPEG file NGT 3 MB Email to GPSAAV.Prints@graylingphoto.org. File Naming: GPSAAVPE-nnnn-m.jpg nnnn first four letters of photographers name (or all letters if fewer than four letters in name) m one-digit number assigned by photographer. Please include the planned framed size (best estimate). Submit NLT Jan 8. File submittals not conforming to above requirements may not be accepted, without notice. Final prints submitted for hanging in the exhibit shall be substantially identical to the digital images submitted for acceptance. Significant deviations may be cause for rejection. Basically, this means to prepare your image files to be ready to print if accepted, then resize them for digital submittal. PLEASE: If due to computer or internet issues, or any other issues, you are not able to make email submission as described above, PLEASE do not let this prevent you from submitting into the exhibit by the deadline. TASK: DIGITAL AND PRINT INTAKE AND JURYING TASK LEADER: Sherry Miller TASK DESCRIPTION: Accept digital images submitted for admission into the exhibit. Rename to hide photographer identify, create log of entries with original and new names. Send renamed submissions to juror. Provide guidelines to juror. Inform individual members of selection status of their submittals. Receive judging results from juror. Announce selections (but not nonselections) to all GPS Members. Plan and implement a process for intake of finished ready-to-hang prints. Distribute the procedure to GPS Members having prints accepted into the exhibit. If any prints are excluded from the exhibition based on merit or changes in available space, inform affected members and arrange return for pickup of their prints. Volunteer Helpers: Stan Prevost. TASK: Task Leader: PUBLIC S CHOICE Volunteer Needed TASK DESCRIPTION: Provide a ballot box and ballots for public to use. Devise the scheme for voting. Could be as simple as write the number of the print considered the best. (Ballot box from 2014 can be used. Signs and ballot design can be reused with minor modifications.) On the designated day, collect the ballot box, determine the Public s Choice winner, put up a ribbon by the winning print. Buy the ribbons. Make some kind of sign or poster about the voting. TASK: TASK LEADER: HANGING AND TAKING DOWN THE EXHIBIT Jim Pratt TASK DESCRIPTION: Be at gallery on days scheduled for putting up and taking down the exhibit. Recruit sufficient helpers for the task. Bring tools (battery-powered drill motor, Phillips screwdriver bit, level, measuring tape, a few simple hand tools). Task Leader to provide screws. Plan the layout of the exhibit, put up photos per the layout Make tags to go beside each print, use the info on the work label affixed to the back of each print. Suggest using some sort of GPS and AAV logos on the tags. Make tags with a number for Public Choice voting. Use appropriate protection and care in handling the artwork. Price of Admission? Sharing the Load A member may not enter an image into consideration for the print exhibit, or a submission will not be accepted, unless s/he signs up to help with, and does help with, or lead one or more tasks. Participation in the slide show will not require task participation or submission into the print exhibit. A significant level of participation in another GPS project will count (currently, Grayling Middle School), as will holding an office or leading a recurring activity in the club (VP, Treasurer, Competition Director, etc.).
