Attendance: Melanie Weir, Ben Volk, Sue Smyth, Lani Newcomb, Rufus Schneider, George Hall, Ted Ruprecht, Greg Feller, Sherrie Reimers, Steve Shaw. Absence: Steve Anderson, Mary Tiscornia Meeting called to order at 6:35pm PST Approval of September minutes approval by L Newcomb and seconded by S. Shaw Motion passed unanimous Reports President Melanie Weir Funding: Future funding discussion. See attached. Committee for the Future Funding of Ride & Tie met in December. See attached. 2012 Budget Modified proposed budget as follows: Removed Midwest Horse Fair (reduced Conventions/Expos by $300 to $1,275) Reduced travel expense by $1,600 to $400 due to no Midwest Horse Fair Reduced site expense to $200 based on information that at Bandit Springs will be 5%of gross (less award costs)

Renewals 260 renewal request letters mailed out to 2010 and 2011 members who had not yet renewed. Results are TBD. Website Members can now look-up race points and miles on the website. I think we need to consider adding a privacy policy. We will put on agenda for next meeting. Veterinary Scholarship Veterinary Scholarship funding received for 2012. Donated by Don Betts Discussed and reviewed process for applicants. Only one application was received in 2011. Board Discussed need to encourage applicants. Steve Shaw discussed that the scholarships do not need to be used every year if there is a lack of applicants. Propose Eliminating Rule 18- Proposal Withdrawn by Melanie Weir See new business I propose elimination of rule 18, which states, These rules apply to a sanctioned race. A race may be of any distance, but to be sanctioned there must be a Ride & Tie race of at least 20 miles in length included within the same event. We have been sanctioning distances less than 20 miles for quite some time, and for insurance reasons we might want to continue that.

Vice President - Ben Volk PNER Convention January 20-21, Portland It was challenging getting volunteers but we ended up with 6 volunteers. Two of the volunteers were former endurance riders who have decided to do Ride and Tie instead. Working to get R&T Race Calendar into Trail Runner, Northwest Runner- discussed placing ad with race schedules. Would like to get some print advertising in Endurance News, Trail Runner, NW Runner. Endurance News ads $400.00 for 1/3 page. Northwest Runner $275.00 x 6 months (bi-monthly). Can we trade for advertisement in our publication? Sue Smyth will submit ride and tie dates to Horse Connection (West Coast freebie magazine) calendar. Secretary - Susan Smyth Sent Christmas cards to sponsors. Working on 2012 sponsors. Positive feedback received from Cliff Bar, Zombie Runner and American Gear. Horse Expo (June): volunteers signing up. Same spot reserved. Great location for flow. Coolest Ride & Tie: Carrie and I are trying to pull it together. Question? We want to add a biathlon. Ride/Run this will still include 2 people and a horse. We feel like this will give exposure to Ride & Tie. Lani will check with Insurance to see if biathlon covered. (This was checked into and approval received).

Ted Ruprecht gave update on Dodge Cox s performance and felt no financial investment change should be made at this time. Ted Ruprecht Looking for more ideas for annual awards. Steve Shaw suggested contacting the McCrary s for local artist and ideas. Future Race Sites George Hall The site of the Bandit Springs Endurance Rides and Ride & Tie in Ochoco National Forest, central Oregon, will be the Championship race site for 2012. According to Jannelle Wilde, the race director for Bandit Springs, it is very likely we will be allowed to hold our race on Saturday, July 21. Her last communication with the

Forest Service representative in charge of recreation was encouraging. He had a question about the trails to be used and a "cut-off" trail on one of her loops that he wanted to check out before giving final approval. If for some reason he does not approve our use on the 21st, we will be able to have it on Sunday, July 14, the second day of endurance when there are only about 40 riders. If that is the case, Jannelle will arrange it so the endurance riders and ride & tiers are not on the same trails at the same time and the vet checks will each have their own staff. Jannelle should have the final word before the board meeting on January 26. The fee to the Forest Service is 5% of the gross receipts from entries minus the cost of awards. Our expense would be the same for either date. In regards to future Championships, we will try for Central or Southern California (Big Bear is a possibility), but will entertain any suggestions. I will write a paragraph in a future newsletter asking for suggestions on venues where the Championship might be held. Hall of Fame - Mary Tiscornia No report. Head Veterinarian - Greg Fellers Would like to nail down championship so he can hire vets. Sanctioning Director: Lani Newcomb, DVM New insurance carrier- same agent.. $2200.00 per year.
