Running nvision User Executed Reports In order to run an nvision report it is necessary to establish a scope with ChartField values to apply to a Report Request. The report scope defines the ChartFIeld criteria you use to run the report and is similar to the Run Control in an SQR report. This job aid describes the following three procedures related to running nvision reports: Running an nvision Report Creating an nvision Report Scope Copying an nvision Report Scope The Revenue and Expense Report is an nvision report and is used as an example for this job aid. Running an nvision Report Step 1. Log on to the e*mpac Finance Application with your FIN Username and Password, and navigate to the (Campus) Financial Reports page. Report Center Finance The Amherst Financial Reports page opens The Amherst identifier for this page name is based on user security. 1
Note: Some financial reports require that you select the budget information for the report. For example, the UMGL7045 Revenue & Expense Report requires that you select either Organization or Appropriation budget information. The type of budget information chosen depends on the Fund being used. In this example, the Revenue & Expense w/ Appropriation Budgets Report will be chosen. Step 2. Click the Revenue & Expense w/ Appropriation Budgets Report link. The nvision Report Request page opens. Note: The most important parts of the nvision Report Request page are the Report Date Selection and the Scope Selection group boxes. Step 3. In the As of Reporting Date field, select Specify. Step 4. Enter the date in the last day of the fiscal month in the field next to the As of Reporting Date field. 2
Tip: The date in the As of Reporting Date field determines the date parameters of the report. The date specified will determine which accounting period displays as the current period in the report as well as the ending period for the Year to Date results. It is important to note that, although you can enter a specific date in this field, the report will always run for the entire month (Accounting Period) of the date entered. Step 5. To search for scopes to use for the Report Request, select one of the following options: My Scopes (to search for a scope that you have created or copied from another scope) Campus Scopes (to search for a scope created for your campus) Step 6. Click (next to the Report Scope field). The Look Up Report Scope page opens. 3
Step 7. Click on the appropriate Report Scope. The nvision Report Request page reopens with the Report Scope field populated. Step 8. Click. The Process Scheduler Request page opens. 4
Step 9. Enter PSNT in the Server Name field. Note: On this page it is important to pay attention to the Process Type column in the grid. If the Process Type is nvision, the Server Name must be PSNT. Step 10. Click. The nvision Report Request page reopens. Note: The Process Monitor and Report Manager links also appear on the Report Center page that was used to access the Report Request (see example after Step 1). If you want to view reports that have been run in the past, you do not have to open the Report Request to view those reports. You can open them directly the Process Monitor and/or Report Manager via the Report Center. 5
Step 11. To monitor the status of the report, click the Process Monitor link and click periodically until the Run Status displays Success. 6
Step 12. To view the report, click the Report Manager link. The List page opens. Step 13. Click. The Administration page opens. 7
Note: The report will not show on the Administration tab until it has been Posted. If you do not see the desired report in the Report Manager, click until it appears. Otherwise, go to the Process Monitor to check the status of the report in progress. Step 14. Click the Description link to open the report. The following message displays. Step 15. Click. The Revenue and Expense Report opens. 8
Tips: This report provides the revenue and expenses at either a detailed account level or node level roll up. If the report is displaying at the detail level and you with to see it rolled up, click on the 1 on the upper left side of the page. If the report is displaying at the rolled up level, and you wish to see the detail click 2. If you want to see rolled up totals in certain rows, click the minus sign markers on the left side of the spreadsheet. To expand them back, click on the same button that changed to a plus sign. The output of nvision reports displays as an Excel spreadsheet. You can print or use any features as you would any other Excel spreadsheet. Step 16. To use the drilldown capability of an nvision report, highlight the appropriate cell. Note: You can drill into any cell that contains a number. Cells that contain formulas are not available for drilldowns. 9
Step 17. Click the nvisiondrill menu item. 10
The Run Drilldown page opens. Note: This page allows you to process a drilldown layout which slices the value you selected by the layout options listed, such as Department by Account and so on. Step 18. Click for the appropriate Drilldown Layout. In this example we are using the All Chartfields Drill Layout. 11
The following pages provide you with the status of the processing of the drilldown spreadsheet. 12
Note: Success refers to the processing of the data. However, the system still needs time to compile the data into a spreadsheet. Step 19. Click the close button ( ) on the Success screen. The new spreadsheet is occupying the same Excel window as the nvision report. 13
Step 20. Click the maximize button to see the full drilldown spreadsheet. The DrillDown by All Chartfields & Period spreadsheet displays. End of Procedure 14
Creating a Report Scope Step 1. Log on to the e*mpac Finance Application with your FIN Username and Password, and navigate to the (Campus) Financial Reports page. Note: The Define Scope link is also on the nvision Report Request page (as shown below), and a Report Scope can be created by clicking that link as well. Click on one version of the Revenue and Expense Report and the nvision Report Request page opens. The Scope Definition (Find an Existing Value) page opens. 16
Note: The SetID field defaults based on your user security. Step 3. Click. The Scope Definition (Add a New Value) page opens in a new window. Step 4. Enter the name of the scope in the Report Scope field.. Names of personal scopes should begin with your User ID. Example: BAJONES01 Step 5. Click. The Scope Definition page opens. 17
Note: The Report Criteria group box allows you to be specific about ChartField values that will appear in the report. You can limit the selection using just one or multiple ChartFields. In this example, we will use the Dept ID and Fund Code. Step 6. Enter DeptID in the Field Name field. Step 7. Select one of the following options in the Node/Value field: N (for a node in the Tree Structure) V (for a specific ChartField value) Notes: To define one specific department, select V in the Node/Value field and enter the same department number in the From Value / Tree Name and To Value / Tree Name fields. To define a range of department ID values, enter the start value of the range in the From Value / Tree Name and the end value of the range in the To Value / Tree Name. To define a group of departments, it may be easier to enter N in the Node/Value field and enter the tree name in the From Value / Tree Name and To Value / Tree Name fields. Step 8. For this example, enter V in the Node/Value field. Step 9. Enter the same Department ID in the From Value / Tree Name and To Value / Tree Name fields. Step 10. To add another department or another ChartField value, click. The Scope Definition page displays a new row. 18
Step 11. Enter FUND_CODE in the Field Name field. Step 12. Enter the same Fund Code value in the From Value / Tree Name and To Value / Tree Name fields. Step 13. Click. End of Procedure 19
Copying a Report Scope Step 1. Log on to the e*mpac Finance Application with your FIN Username and Password, and navigate to the (Campus) Financial Reports page. The Scope Definition (Find an Existing Value) page opens. Step 3. To open a generic scope, modify the values, and save it as your own scope, enter the appropriate search criteria on the Scope Definition (Find an Existing Value) page. Step 4. Click. The Scope Definition page opens displaying the Report Criteria for the selected scope. 21
Note: As you can see, when opening a scope that is not created by your User ID, you will not have access to fields to change values. The only way to do this is to copy the scope. Step 5. Click the Copy Scope link. The Scope Copy Parameters page opens. Step 6. Enter the name of the scope in the Report Scope field. Note: Keep in mind that the same naming convention should apply as when creating a scope. The name should begin with your User ID. Example: BAJONES01 22
Step 7. Click. The Scope Definition page reopens with the all fields available. Step 8. Enter a new Description so that the scope can be easily identified. Step 9. Adjust the values in the Report Criteria group box to align more closely with your business needs. Tip: If you do not require multiple ChartField values in your scope and the previous one had them, click to delete rows. Step 10. Click. End of Procedure 23
