25 TH The Northern Lights Health Foundation s FESTIVAL O F TREES presented by Thank you for your interest in submitting a Live Auction Tree to the Northern Lights Health Foundation s 2014 Festival of Trees, presented by Syncrude Canada Ltd! This year, the Festival of Trees takes place from November 14-16 at MacDonald Island Park s Suncor Community Leisure Centre. All Live Auction Christmas trees will be auctioned off during the live auction portion of the Festival of Trees Silver Anniversary Gala, taking place Saturday, November 15th. However, the trees will be on display weekend-long for the community to view. With an increase in tree submissions over the past several years, it is necessary to enforce a limit to the amount of trees accepted for the live auction. As a result, Auction Trees submitted past the 32 Live Auction Tree limit will be included in the weekend long silent auction. Donors are encouraged to submit a tree that offers an experience to the winning bidder. This will help your tree go for a higher value, making your gift to health care that much more impactful! Past examples include: a trip for two, tickets or passes to events, gift certificates for golf and spa get-away etc. Please remember that experiences do not always have to be expensive a little creativity and originality goes a long way! Please submit your tree theme and description to the Foundation as soon as possible. The final deadline for tree descriptions is October 1st. 2013. Please include as much detail as possible. (See tree criteria and set up information included). If you do not have the time to decorate a tree, the Health Foundation s tree designer can take on the task for a small fee. TREE Criteria SET-UP TIMES: Decorating will take place at MacDonald Island on Wednesday, November 12 from 3 pm - 8 pm and Thursday, November 13 from 9 am - 5 pm. Set-up times are not negotiable as pre-event set-up is required. TREE CRITERIA: Christmas trees must be between 5ft and 7ft tall. Donors are strongly encouraged to incorporate an experience with their tree. Past examples include trips, event tickets, week-end getaways, etc. Donors are asked NOT to include large display items such as fireplaces or furniture. While these are great additions, they are quite large and leave less room for other trees and pose delivery issues. If you would like to include such items, they would be preferred in gift certificate form. It is the donor s responsibility to ensure that all aspects of their donation are displayed in a safe and secure manner. If extra supports are required, the donor will provide such. If a donor wishes to add fragile or valuable items to their display (ex: trinkets, glass figurines, valuable art, collectible items), it is the donor s responsibility to ensure these items and their respective boxes are properly tagged with the donor s name and tree number. This ensures all donated items will be delivered to the appropriate buyer. The final decision of what constitutes a live auction item and which auction it is featured in will be at the discretion of the Events Manager. RESPONSIBILITIES OF AUCTION DONORS: All decorations, prizes and ornaments associated with tree entry will be purchased by donor Items designed and/or decorated become the property of the Festival of Trees and will be available for auction during the Festival weekend. Unsold items become the property of the Northern Lights Health Foundation. All articles, tree, skirt, and decorations must be new materials unless otherwise approved by the Foundation. All tree stands must be metal. Plastic stands are unreliable and often break during transporting. All trees must be artificial and CSA approved. Lights must be CSA approved and must be parallel circuit system (the type that will remain lit if one goes out). A spotlight (provided by the donor) may be used for illumination on request. Only mini lights are to be used, with replacement bulbs taped to the cord at the plug in. Please identify the final plug in site in a readily visible manner so the new owner can find it easily. 3
A tree skirt or other covering and extension cord(s) must be provided and will be part of the finished entry. All decorations must comply with fire, building, and health codes. Living animals (bird, fish, insect, etc.), live plants, fresh fruits and vegetables are not allowed. All decorations, lights and trim must be wired to the tree or item to ensure stability during delivery. Fragile decorations are not recommended due to difficulties in transportation. All trees, wreaths, and swag must be of artificial, fire retardant material. There is no advertising or logos permitted on any entry. The Foundation will provide appropriate signage that indicates the donor of each tree. Charitable receipts are available. In order to issue a tax receipt, the donor must submit official purchase receipts for any item used in the live auction entry. If however, the donor receives a benefit (such as advertising, sponsorship, or complimentary tickets), the Foundation, according to Canada Revenue Agency guidelines, cannot issue a charitable receipt.
