July 2017 Art for all ages in the heart of the Ouachitas Gallery Highlights... Christmas in July at the Gallery & Indian Taco Fund Raiser On July 21 and 22 Downtown Partners is hosting Christmas in July. We will have ornaments and Christmas art for sale in the gallery and there will be many activities going on that weekend. Any members interested in putting in artwork to sell contact Julie at the gallery. (Flyer on page 5.) We will also have our 12 Days of Christmas tree up. The ornaments on this tree will be sold by silent auction. Bids start at $200 for 86 unique, handcrafted ornaments made by Niki Dempsey and Jan Wennberg. That s only $2.32 per ornament. Call the gallery if you would like to make a bid and make sure to stop by and see this beautiful tree. Our Indian Taco Fund Raiser is on July 22 from 11 a.m. to 3 p.m. We are looking for volunteers so if you can help please call Julie at the gallery. (Flyer on page 5.) P. O. Page 4 HeArt of the Ouachitas July 2017 Minutes of Board Meeting 6/14/17 Board Members Attending: Pat Brown, Rick Chrisman, Tiffany Lane, Barbara Lewis, Sandra Thomas, Barbara Tobias, Joe Van Wolf and Jan Wennberg. Also in Attendance: Jule Vande Zande The meeting was called to order by Chairman Rick Chrisman at 5:03 pm. Minutes of the May meeting were reviewed. Jan moved to accept the minutes, Barbara Lewis seconded the motion, and the minutes were approved. The May financial reports were reviewed. Julie mentioned the difference between how funds for the Children s Show are classified in the system versus how they appear in the reports. Barbara Tobias made a motion to approve the financials, Barbara Lewis seconded the motion, and the financials were approved. Julie and Rick reported that they had met with Lori Johnston of Sanford & Company, CPAs to find out the feasibility of changing our accounting service. Lori was very familiar with QuickBooks and has worked with non-profits. We have the potential to save approximately $700 per year on accountant fees by switching. They will perform bookkeeping services for the same rate as our current provider, but there will be a reduction of the fee charged to complete our annual taxes and reduce our total charges. Lori indicated that our accounting could also be streamlined further. Joe moved to change accounting services to Sanford & Company, Barbara Tobias seconded the motion, and it passed unanimously. Julie Vande Zande thanked Jan, Sandra and Diane Warren for helping with snacks at the Chamber coffee, which had a turnout between 12-15 people. The Gilda Myers and Pat Trulock show so far had $1,068.40 in sales, with $267.10 of that amount going to the gallery along with the $100 show fee for a total for $367.10. The new LED lights are all installed, with a total cost of $172.50 (less than the $200 requested in the budget). The Quickbooks upgrade is completed, with a cost of $189.99 plus a $30 installation fee, for a total cost of $219.99. This is amount was more than expected, but the total budget for both the lights and the upgrade came to less than the total budget for those two items. For the next 4-5 weeks, there will be an Upward Bound student, Rachel Hicks, helping out at the gallery. She will be helping with general office duties, and will possibly assist with helping renovate the chairs in the meeting area of the gallery. Julie also sent over 30 emails to members who had not paid for their memberships and received 20 of these back with payment. Julie also met with Tammy Young and Tonya Boydstun about the 2018 Art of Hair show. There have been some changes, including the substitution of mannequin heads instead of live people. There will also be a wall competition (before and after photos) of hairstyles. The group is still working on a theme for the March 2018 show, so the Board was asked to contribute any theme ideas they might have. The awards will be hair products along with a certificate, at no expense to the gallery as UofA Rich Mountain will provide these. There will be entry fees to the gallery for both the mannequin competition as well as the wall photo competition. The current directors and officers insurance proposal was discussed. David Maddox has the insurance packet, which Julie will forward to Tiffany. Nancy at Mena Insurance will be contacted about the reason for having a million dollars coverage, and before renewal, hopefully be able to provide quotes for a smaller amount of coverage. Committees and Special Events Building and Maintenance The Quickbooks and LED light issues have been addressed, with the back door knob/lock still on the outstanding list of repairs needed. Exhibits The committee has not set another meeting date as of yet, but will wait for Lorraine to return. Art of the Heartland The committee will meet again June 15 th at 5:30pm at the gallery. There has been an investigation into trademarking the name of the competition for a cost of $50. There are also three entries for the paint out event already. CONTINUED ON PAGE 5

Page 5 HeArt of the Ouachitas July 2017 Small Works Everything has been completed in preparation for the show, and entries are starting to come in. Ouachita Art Celebration The minutes from the May meeting were presented. No decision has yet been made on the Arkansas Arts Council grant, as they are waiting on funding from the state. It is possible that the OAC may receive approximately $3,240 in funds. The OAC committee is requesting that the Art of the Chair be considered for an exhibit in the gallery, with possibly the six winners being displayed inside. The logistics of the display are still up for discussion. The next meeting will be Thursday, June 22 nd at 5pm at the gallery. Finance The June meeting was cancelled because financial reports were unavailable. The committee is working on analyzing the current reports to develop a budget for 2018. The next meeting is scheduled for July 6 th at 4pm at the gallery. Marketing and Promotion No meeting was held. The new Visit Mena brochure has gallery events represented, and the advertisement in the new East to West publication represents the gallery well. Fundraising The minutes from the May meeting were reviewed. It was noted that Walmart is out of grant funds for 2017, and the gallery can reapply for those fund in February of 2018. It was also noted that the photography show is still not funded, as there are still outstanding donations. There is a goal of having more than one way to generate income, and there was discussion of having a fundraising event during the Small Works show. The Small Works/AHL committees will discuss the fundraising coordination and the displays to be placed during the show. Barbara Tobias will also look into creating the graphics for the displays. Barbara Tobias also agreed to chair the fundraising committee and start an email concerning photography show donors. New Business It was mentioned that the gallery used to have signs discouraging the photography of artwork, and these signs were removed prior to the gallery renovation and not reinstalled. There was discussion about the gallery policy of photographing exhibits and artwork. Joe made a suggestion that a new sign might have language stating that works inside the gallery were protected by copyright. No formal decision for what signage should be reinstated was made. Rick tendered his resignation as Chairman of the Board and stated that he would be available over the next few weeks to help during the transition. There being no further business, the meeting adjourned at 7:12 pm.
