SPONSOR INFORMATION SPECIFICATIONS All 6-foot tabletop spaces will be furnished as one non-skirted table, and chairs per sponsor package (allows you to bring your own company table skirt - contact us if you need skirted). All tabletop spaces will be designated by your signage located behind, on, or within your table area and must not block other sponsor areas in any way (as determined by LALA). LALA Supporting, and Sustaining members may share/split sponsorship (must call for details and get authorized preapproval). Available for others (split)with additional fee. LALA encourages you to decorate your area to match our Fall theme of: Solving the Puzzle. Tabletop ASSIGNMENTS & SET-UP DETAILS Location assignments will be made on a sponsor package investment level and then on first-come, first-served basis. The exhibit hall layout and location assignments are subject to change based on the number of sponsorships sold. The Louisiana Assisted Living Association (LALA) reserves the right to make final determination of tabletop locations, and assignment is at LALA s discretion. REGISTRATION DEADLINE For company listing in the conference brochure and event signage, your registration and full payment of your exhibitor fees must be received by September 3, 2018. These hotel prices are at nominal rates, increasing value to your Sponsor package. SPONSOR BADGES SPONSOR package includes badge(s). Sponsorship packages are individualized. refer to pages 4-5 for details. Additional badges are $100 for the full conference or $75 for one day, when adding to a sponsor package. All sponsors and staff must be registered and have a conference badge at all times for entrance into the exhibits area and/or sessions. Extra badges registrations will depend on availability at time order is placed. CEU CERTIFICATES Sponsors are welcome to attend all the conference education sessions as identified in your selected sponsor package. If you desire a CEU certificate to document your attendance at any of the sessions, please let us know and make a note on this registration form so that it can be made available to you. CEU seating is limited and an additional fee. Sponsors must yield seats to senior living attendees in education sessions. SPONSOR AGREEMENT SPONSOR RULES SPONSORS may supply giveaways and take orders for goods and services only in their designated spaces, unless sponsor packages states otherwise. Canvassing, or distribution of advertising matter outside the tabletop ballroom area will not be allowed. Solicitation of business, except by sponsors, is prohibited. Sponsors who moderate session, may not solicit during moderation time / session. Unless allowed in your sponsor package, publicizing and/or hosting any extracurricular activities, hospitality rooms, inducements or demonstrations outside the venue area during conference hours are strictly prohibited. Please notify us if there are companies in violation of these policies. Character of Exhibits: The character of sponsor / company is subject to approval by LALA. The Association reserves the right to refuse applications from any organizations not meeting required or accepted standards, as well as the right to curtail sponsor decor or parts of exhibits that conflict with the character of the conference. This applies to discount offers, display literature, advertising novelties, souvenirs, conduct of persons, etc. Subleasing of any portion of the venue/event space is prohibited. Conference Badges: Representatives of sponsor and exhibiting companies must have a conference badge at all times for entrance into the exhibits area and/or sessions. Additional exhibitor/sponsor badges may be ordered prior to the conference or purchased on-site during the event. Mailing List Usage: An Excel file containing contact information for conference attendees will be provided to the sponsor s -primary contact-, following the conference. Sponsors agree to use the attendee lists for only those communications by phone, mail and/or email that are germane to the interests of senior living providers. For email communications, Sponsor agree to include opt-out/unsubscribe instructions in all emails. Sharing or selling of the attendee list is expressly prohibited. LALA respects the privacy of its member, and to that end, a violation of the mail list usage rule may evoke ban from participating in future events. PAYMENT TERMS Payment of total sponsorship fees must be made in full, and received at the LALA office, by September 3, 2018. Registrations not paid by September 3, 2018 will be forfeited and no nonpaid space will be reserved or available at the event. Registrations received after September 3, 2018 will be assessed a $100 late fee. Cancellation & Refund Policy: Cancellation requests must be made in writing and received by the LALA office no later than September 3, 2018. The Association will retain an administrative fee of 25% of the fee charged. There will be no refunds given after September 3, 2018. LIABILITY The sponsor assumes the entire responsibility and liability for any/all loss, damage and claims arising out of injury to any person and/or property and/or damage to displays, equipment and other property brought upon the premises of the venue and shall indemnify and hold harmless LALA, their agents, employees, officers, representatives, directors and members from any and all such losses, damages and claims. The sponsor has the responsibility to protect its property, materials, and possessions properly and securely, as well as obtain insurance to cover and protect any such items. The venue may not be locked during the day of events, and LALA cannot guarantee to protect the sponsor against loss, theft or damage of any kind. Please keep your valuables and items secure. 6 SPONSOR S AGREEMENT The undersigned (sponsor), as duly authorized representative, enters into an agreement with the Louisiana Assisted Living Association (LALA) as sponsor to this Conference. Space will be assigned by LALA at its sole discretion and may be changed for the benefit of the event. Sponsor agrees to abide by official sponsor rules and policies as listed above. I have read and understand these sponsor guidelines. My company and all representatives will abide by these rules and policies during the conference and exhibition.
