WORSHIP COMMITTEE GUIDELINES WHEN ITEMS / ACTIVITY NEEDED DONE Pre-Flight Thursday GENERAL SUPPLIES NEEDED PRIOR TO FLIGHT - CHECK AGAPE CLOSET FIRST Nails for reconciliation service AA / C / D batteries 24 votive candles for staked candle lanterns matches / butane lighters CD player 3 x 5 paper (not index cards) equal to conference room count times 3 COMMUNION NEEDS 6 small cans of grape juice one large loaf of French bread (18") for Mime Communion (2 loaves if Mimes are serving Candlelight) 3 packages of plain pita bread - candlelight, closing and team communion LOCATE THE FOLLOWING FOR LATER USE Yellow lantern style flashlights w/ good batteries White cloth for table covering Small table for conference room altar large Bible large candle in holder matches special decorations from Lay Director 8:00 PM PREPARE LANE BUILDING FOR MOVIE Create a path leading from the Gym door / Prayer Chapel side to the side door of the Lane building using the yellow lanterns. Assign one person to stand at the Lane Building door with a flashlight to illuminate the step up into the doorway. 8:45 PM PREPARE CONFERENCE ROOM FOR PILGRIMS Place small table in front of the podium Cover with white cloth

Arrange open Bible, candle, lighter and LD decorations 9:00 PM PREPARE FOR FRIDAY MORNING TEAM DEVOTION / COMMUNION Check with SD to determine if music is desired / set up as requested Secure communion elements and place in Support Team Chapel Check with SD to determine if any Friday morning meditation decorations are needed / gather necessary items- set up as requested if possible or prepare to set up immediately prior to meditation Friday AM 10:00 PM Team Meeting Friday 8:00 AM Breakfast 8:30 AM Clear meditation area and store supplies 9:00 AM Team devotion 9:30 AM GATHER ITEMS NEEDED FOR 6:10 PM MEDITATION picture of Jesus Standing at the Door Knocking w/easel yellow lanterns / spotlight / extension cord white cloth 10:00 AM BEGIN GATHERING ITEMS NEEDED FOR LAMBUTH CHAPEL / PRODIGAL / RECONCILIATION SERVICE 9:00 PM at least 2 possibly as many as 6 lantern style flashlight extra flashlight / lighter CD player / CD of Agnus Dei / CHECK WITH MUSIC TEAM TO SEE IF THEY ARE PLAYING INSTEAD OF USING THE CD large 4 X 4 wooden cross red fabric / white fabric with red stains nails (conference room count + 10) coffee can with two small holes in the bottom / matches or lighter 3 X 5 papers (not index cards) same count as for nails pens (THAT WRITE) or pencils (conference room count + 10) Crown of thorns 3 large nails with red paint on them robe & sandals tissue boxes... one for each end of each pew small basket

optional 12:00 PM Lunch two hammers spotlight w/ extension cord staked candles with votives mannequin with appropriate clothing 1:00 PM BEGIN SET UP OF LAMBUTH FOR RECONCILIATION SERVICE optional Sweep chapel / spray for any insect infestation / generally police the area / stack hymnals and other items on back tables place lantern style flashlight on either side of the podium (be sure speaker can see notes) lanterns may also be placed in the windows behind and beside the alter area... this is a judgment call... the speaker needs to be able to see, but there shouldn t be too much light (obviously, check this after dark and make changes as necessary / adjust flame as needed) THERE SHALL BE ABSOLUTELY NO OPEN FLAME CANDLES USED AT LAMBUTH DUE TO THE FIRE HAZZARD place cross to the left of the podium near the window, illuminate it with the spotlight; wrap the base with the red fabric and drape the white stained fabric over the arms; place the crown of thorns on the top; lay all three large nails at the foot of the cross along with the sandals, robe, basket containing small nails and the two hammers... Be creative and be sure the display can be seen from all locations in the chapel mannequin can be placed directly opposite the cross on the right of the chapel / no lighting is necessary check with music team to determine music needs / optional live music or CD / if using CD / place on back table with extra flashlight nearby CHECK BATTERIES place tissue boxes at each end of each center row pew and a few at side pews place paper and pens in baskets on the back table for delivery by the ALDs form a path from the street to the steps using the stake candles (avoid holes) 3:15 PM Candidates on long break / locate Head ALD to determine location for 6:10 meditation 5:30 PM Dinner 5:50 PM HURRY! PREPARE MEDIATION AREA FOR 6:10 PM MEDITATION choice A Lakeside / line step edges with lanterns place picture on easel near the stump podium ( you will need to secure the picture to the easel to prevent it from blowing off) arrange spotlight to illuminate picture / check you angles you may need the cloth to hide unsightly cords, easel legs, or as a backdrop for the

choice B picture... or you may not need it at all... use you best judgment Lane building / create a path from the gym to the Lane Building (just like last night) / illuminate the step to prevent tripping place the picture on the stoop so it s easily visible as the butterflies enter the door 6:30 HURRY! Clear meditation area and store items except the yellow lanterns 6:45 HURRY! FINAL SET UP FOR LAMBUTH FOR RECONCILIATION SERVICE take yellow lanterns to Lambuth to line the edges of the steps into the Chapel AND TAKE A PLASTIC ZIP LOCK BAG TO COLLECT COLD ASHES IN assign one member to remain in the gym for the poster party / this person will travel to Lambuth when the pilgrims are released to the bathroom TO TELL THE REST THEY ARE COMING / if the candidates are walking (12-15 minutes) there will be plenty of lead time to light lanterns and check lighting / if driving it ll be tight - you may want to check earlier when arrival of candidates is eminent (5 minutes) light votives and move to a location where you will not be seen but where you can monitor the service after the LD gives final instructions and the candidates depart for Pinewood you need to extinguish all flames; collect the ashes and hold for Saturday morning meditation breakdown Lambuth (leave the tissues); return all other items to the Agape closet for storage except the cross 10:45 PM Team Meeting Before Bed Saturday GATHER ITEMS NEEDED FOR MORNING MEDITATION small table and trash can (if held at Lane Chapel) / pretty glass bowl / pretty glass pitcher / ashes from Lambuth / clean white towel and the big wooden cross / large white cloth / small white cloth 7:00 AM PREPARE MORNING MEDITATION-ASK ALD FOR LOCATION option a option b 8:00 AM Breakfast at lakeside, place the wooden cross beside the stump podium; cover the stump with the cloth; fill the pitcher with water; fill the bowl with the ashes from last night (cover with small cloth); place these items and the towel on the stump at Lane Chapel... same set up except no stump...use small table instead- place trash can out of sight (behind table) for SD to pour water and ashes into 8:30 AM clear meditation 9:00 AM Team devotion

10:00 AM GATHER ITEMS NEEDED FOR COMMUNION MIME SERVICE large gift box with tag From God manger / large nail / crown of thorns / small rough wooden cross / white towel / large loaf of French bread 4 X 4 wooden cross three large nails nails in a basket white fabric with red stains / draped on arms of cross Grape juice / chalice small table with white cloth covering medium empty basket with cloth covering (for bread after breaking) tissues CD player / music / coordinate with Mime Coordinator regarding selection 11:00 AM GATHER ITEMS NEEDED FOR LIGHT YOUR LIGHT SERVICE Alter cross for podium 3 spotlights yellow lantern style flashlights 2 MagLights for mimes tissue 12:00 PM Lunch CD player and CD of Agnus Dei (opt. - music can be played by music team) 12:45 PM SET UP MIME COMMUNION (IN GYM OR LANE CHAPEL) place small, covered table in front / center (makes an altar) place large cross to the right side and slightly behind altar / wrap base with red cloth and place basket of nails and three large nails on cloth place manger, large nail, crown, small cross, white towel and French bread inside the gift box; place gift box behind altar out of sight grape juice in Chalice with white cloth covering coordinate with SD for any additional items needed 2:30 PM breakdown meditation and return items to agape closet BE QUIET IF YOU RE IN THE GYM 3:00 PM BEGIN SET UP OF LAMBUTH FOR LIGHT YOUR LIGHT Angle side pews sharply to allow room for movement

MIMES Use yellow lantern style lights to make a path from the road to the door. Avoid holes. Be sure each step is lighted Remove picture of Jesus and place out of sight Place two lantern style flashlights lamps on back table on low light... no other lighting Set up back table (behind the pews) for mime supplies Place altar Cross on the podium and balance with music books Set up spotlights to cast the triple shadow on the altar cross must have a dress rehearsal so this needs to be set up in time for rehearsal... check with mime coordinator regarding timing. 4:00 PM BEGIN GATHERING ITEMS NEEDED FOR CANDLELIGHT SERVICE white altar cloth candles and lighter pita bread and grape juice / Chalice and plate / coverings 2 collection plates or baskets Have You Seen Jesus banner and spotlight stake candles with votives / lighter masking tape / black plastic tissues 5:30 PM Dinner 6:15 PM SET UP CANDLELIGHT SERVICE IN OAKWOOD GYM Place Have You Seen Jesus banner on stage/ illuminate with spot light Set altar / cover with cloth; place elements and cover them; place Cross and candles collection plates in the podium have logistics help cover the windows with black plastic DO NOT STICK TAPE TO PAINTED DOORS... ROLL TAPE AND PLACE ON WINDOWS line sidewalk with stake candles 7:00 PM Assign committee member with a lighter to remain at Oakwood gym to light altar candles in preparation for community service and to assist with collecting/ counting/securing offering money (counting the money is a joint activity with Housing and Registration who retains the money) / this person should also empty, clean and store the communion items in the podium for use during closing on Sunday... (ANY LEFT OVER COMMUNION ELEMENTS MUST BE DISPOSED OF

PROPERLY EITHER BY HUMAN CONSUMPTION OR BY RETURNING TO THE EARTH BY POURING ON THE GROUND - THEY ARE NEVER TO BE POURED DOWN A SINK DRAIN OR INTO THE TRASH) Following the service, wait at the side door of the gym for your other committee member... when that person arrives, light the staked candles together... OPTION B... light the candles immediately after Communion clean up is complete 7:45 PM Assign a committee member with a lighter to remain in the Pinewood gym. When the pilgrims are released to the bathroom, this person should travel to Lambuth to light lanterns for pilgrims and remains UNSEEN at Lambuth When the Light Your Light flashlight goes out, proceed to the side door of the Oakwood gym to join your other committee member in lighting the staked candles and to watch for the pilgrims... when the Mimes (leading the procession) reach the camping area between the gym and the swimming pool, step into the gym and advise the community that the pilgrims have arrived. 9:30 PM Following candlelight - clean out Lambuth Chapel and store all items in the Agape closet / be sure the Chapel is returned to it s pre-light Your Light state BEGIN GATHERING ITEMS NEEDED FOR SUNDAY MORNING MED. Wooden washbowl and clean white towel and wooden fish basket containing leftover bread from Mime Communion / covered wooden walking stick and oil Check with SD for any other items he/she would like to use for this meditation Be creative with your artistic display 10:30 PM BANANA SPLIT PARTY 11:00 PM BREAKOUT Enjoy but don t eat too much : ) 12:00 PM LIGHTS OUT GO TO BED Sunday 6:30 AM SET UP MORNING MEDITATION BEING INSTRUMENTS OF LOVE 8:00 AM Breakfast 8:30 AM Clear morning meditation / store items in the agape closet 9:00 AM Begin checking all worship areas to insure that all items used have been returned to the Agape closet... DO NOT LEAVE IT IN A MESS PUT THINGS WHERE THEY BELONG! 12:00 PM Lunch 2:30 PM Have Logistics move large Cross w/ Butterfly necklaces to the lakefront for

commissioning 3:00 SET UP FOR CLOSING Travel to Oakwood gym and set altar for closing Place Have You Seen Jesus banner on stage Set altar / cover with cloth; place elements and cover them; place Cross and candles collection plates in the podium RETURN ALL ITEMS TO THE AGAPE CLOSET AFTER CLOSING
