WELCOME TO ALICE HOUSE WE RE DELIGHTED YOU HAVE CHOSEN TO LIVE WITH US, AND WE LOOK FORWARD TO WELCOMING YOU TO YOUR COMMUNITY AND HOME FOR THE NEXT YEAR. At Alice House, we understand that your student years should be some of your most memorable. So, grab yourself a drink, sit back, relax and have a read. This is your step-by-step guide to living at Alice House.

TITLE. SETTLING IN

SECTION ONE: SETTLING IN 6 NOW YOU VE MOVED IN AND HAVE YOUR KEYS, LOOK AFTER THEM. IT MAY SOUND OBVIOUS, BUT IT WILL SAVE YOU A LOT OF HASSLE IF YOU RE LOCKED OUT AT TWO O CLOCK IN THE MORNING! IMPORTANT: Always lock your room and keep your keys/key fob with you at all times. Never give your keys to anyone else. LOST KEYS: If you do lose your keys, tell a member of the team ASAP. If reception is closed you will need to call the out of hours number to be let back into your room, which will cost 50. YOUR ROOM Here s a quick tour of the features to help you settle in. INTERNET Your room is equipped with up to 100 Mb Broadband and Wi-Fi, including unlimited uploads and downloads, which you can access throughout the building at no extra charge. This service is provided by Ask4, our Internet Partners. CONNECTIVITY ISSUES Ask4 can be contacted on t: +44 (0)114 303 3232 e: support@ask4.com or text call me to +44 (0)7797 800 545 for a call back. Make sure you are at your computer when you call TV All of the studios at Alice House contain a Smart TV with a current TV license. If you want to watch live TV on your own device you may need a separate licence. Details can be obtained from www.tvlicensing.co.uk. You can watch a wide range of on-line TV channels through the broadband service. Just ask if you need help. HEATING If you are chilly, your room has a booster switch for the heating. Using this means you don t have to leave your heating on permanently. if you notice anything wrong with your heater, contact the Alice House team as soon as possible. INVENTORY On arrival you will be provided with an inventory. This is a document that lists all the items in your room and kitchen. We know you are super busy when you first move in, but if you haven t already, please make time to complete it. REMEMBER: When you check out, you need to return the room in the same state as it is on the inventory. Make sure it s correct from the start.

SECTION ONE: SETTLING IN 7 THINGS WE DON T ALLOW NO PETS. As cute as they are, pets are not allowed. NO WEAPONS of any description, including pellet guns (BB) and air activated weapons, crossbows/longbows, catapults, nondomestic knives. NO DRUGS. Any prohibited items will be confiscated. Your tenancy agreement also permits us to confiscate Legal Highs and other substances without your consent. COMMUNAL AREAS SOCIAL ROOMS The Common Room is designed for your relaxation and enjoyment 24 hours a day, seven days a week. At Alice House we have a Common Room with a pool table and a large TV with a DVD player. LAUNDERETTE If you re not taking your washing home to your parents, you ll need the launderette! LOCATION You ll find the launderette off the Common Room. If you have any questions, contact either a member of the Alice House team or Circuit Laundry (phone number listed on laundry room wall). COST OF LAUNDERETTE Washer: 2.80 Dryer: 1.30 HOW TO PAY FOR THE LAUNDERETTE To use a machine you need to top up a card, available in the laundry room. Money will be deducted from your card each time you use a machine. The machines are card operated. Instructions to use them can be found on the wall of the launderette. Cards are dispensed via the vending machine in the launderette for 5 and topped up online, with a minimum credit of 10. Please keep them safe as if you lose them any money saved to the card will be lost. Replacement cards may be obtained from the vending machine in the launderette, but there will be a charge of 5. You are even able to check whether the machines are available before you go to do your washing with Laundry View www.circuit. co.uk/i-want-to-do-my-laundry/ laundry-view LAUNDRY Follow the instructions and don t overload the machines. We cannot be held responsible for damage to your clothing Use the dryers. Don t leave damp laundry in your bedroom/flat as this can cause moisture build-up, mould and make you ill

SECTION ONE: SETTLING IN 8 POST Post will be delivered to your lockable flat post box. Any items delivered by courier that are too large to fit in the post box or that are recorded/ special delivery will be signed for by the team at Reception. You will then be notified. # In providing this service, we cannot take any responsibility for loss or damage to any packages. We also reserve the right to decline any delivery. If you re not happy for us to accept your post, please ask the Post Office to retain it on your behalf. With over 140 residents at Alice House, parcels can be collected throughout the day. POST REMEMBER to use the full address: Your Block/Flat Room letter Alice House 25 St Clement s Street Oxford OX4 1GG BICYCLE STORE Secure, lockable bike storage is available to our residents. Ask Reception for your key/fob to be reprogrammed to allow you access to the bike store. LOCATION The bike store is located outside of B Block.

SECTION TWO: YOU AND YOUR COMMUNITY 10 YOU WILL EXPERIENCE SOME OF THE BEST YEARS OF YOUR LIFE HERE WHILST WORKING TO COMPLETE YOUR STUDIES. It s great fun living at Alice House, and we get that socialising is a significant part of the student experience. Whilst we don t want to bombard you with an endless list of house rules and regulations, we want to be sure you live in a clean, safe and enjoyable environment. It s all common sense stuff, but we know how important studies are to everyone. So, here are a few things to think about. YOUR COMMUNITY Respect property that belongs to Alice House. It s a real shame when one person ruins it for everyone else. If you have friends over, make sure you accompany them whilst onsite and let them in/out with your key/fob. NOTE: We will not open the gates for visitors unless you are present. Whilst we love you having friends over, we ask that they treat Alice House with as much respect as you. Guest misbehaviour will be your responsibility. ACCIDENTS Accidents do happen and there are times when things can t be helped, but intentional damage to Alice House property will result in a fine, or in extreme cases, eviction. UNDERSTANDING We ask you to be respectful and considerate to other people within your living space. This diverse mix of age, background and culture is what makes university life so great. NOISE Please be respectful when playing music and having fun with friends. Whilst you might not have an early start, your neighbour could. We ask that you keep noise to a minimum between 10:00pm 8:00am. CLEAN AND TIDY Keeping your room and communal areas clean and tidy ensures that you live in safe and hygienic conditions. Damage to comunal areas will result in equal charges if no one accepts responsibility. If your room isn t cleaned up to scratch at the end of each term, you will be charged for the cleaning. *Charges are listed in the back of your guide.

SECTION TWO: YOU AND YOUR COMMUNITY 11 BEING GREEN AND ENERGY EFFICIENT BINS Make sure you empty your bin regularly and that you put your rubbish in the correct bin. Please ensure that all rubbish is taken to the bin store. We operate a very simple recycling system in all of our kitchens. Please familiarise yourself with this and stick to it in an effort to keep our planet green. BIN LOCATIONS The main bin store is located outside of B Block. THE GREEN WAY Being green is important to us. Here s what we re doing to be eco-friendly: 1. LIGHT SENSORS are installed in all public areas, including flat corridors and kitchens 2. ENERGY EFFICIENT BULBS are fitted in the main lights throughout the building 3. DOUBLE GLAZING in all of the halls 4. HEATER TIMES limit the operation time of the electric heaters 5. A GRADE APPLIANCES, including refrigerators/freezers and combomicrowaves Here s how you can be an eco-warrior, too: 1. TURN OFF LIGHTS AND APPLIANCES when you go out 2. SWITCH OFF TAPS and only boil as much water as you need 3. ALWAYS put lids on pans 4. USE your radiator thoughtfully 5. CLOSE THE WINDOWS when the heater is on 6. DON T WASH CLOTHES in the shower 7. UNPLUG electrical items from the outlets when you aren t using them 8. TURN OFF HEATERS before going out 9. KEEP DOORS CLOSED GENERAL SAFETY TIPS There are gates on the front and rear exit of the courtyard into Alice House, which are manually controlled. They are open between 8:00am and 8:00pm. Outside of these times there is a pedestrian gate which can be opened with your key fob. Block entrances are opened with your key fob, please make sure they close automatically behind you Don t prop doors open (including fire doors) Always carry your keys and keep them safe. Never give your keys to anyone else Be aware of strangers on the premises. If you re not sure who someone is, ask them or alert the team Always lock your door when you re going out, and keep it closed at all other times If you see anything suspicious, report it to the team as soon as possible If your room is at ground level, or easily accessible from the ground, make sure your windows are shut before you go out. Windows will only tilt outwards and should not be opened fully. If you are worried about the safety of any equipment in your room or shared areas, contact the Alice House Team: t: +44 (0)1865 831130 e: AliceHouse@Prodigy-Living.co.uk OUT-OF-HOURS SECURITY If you need to report something, or if you need out-of-hours assistance you can contact the onsite security team on +44 (0)7764 160219 FIRST AID If you have an accident at Alice House, please report it to the team (after calling 999 if needed). The office keeps a first aid box, but it does not issue drugs of any description.

SECTION TWO: YOU AND YOUR COMMUNITY 12 FIRE SAFETY HEAT AND SMOKE DETECTORS The studios and communal corridors are equipped with heat and smoke detectors. FIRE PREVENTION AND ALARMS Now that you re sharing a living space with others, it s vital that you know how to prevent fire, and what to do if one happens. Please read the information below it outlines general fire prevention, fire alarms and the evacuation procedure. You are required to take part in fire drills. If the fire alarm sounds, you must evacuate the building and go to your designated assembly point which is the alley way by the main road. TIPS TO AVOID FALSE FIRE ALARMS Close fire doors. Most false alarms are caused by fire doors being left open when people are cooking or smoking. This is a massive inconvenience for everyone concerned (not least the fire brigade). *Please note. Alice House is a non-smoking building. SMART ELECTRONICS DON T overload sockets SWITCH OFF and UNPLUG appliances when not in use FOLLOW INSTRUCTIONS when using electrical items CHECK electrical appliances regularly for dangerous wiring, hot plugs or scorching on plugs or sockets TEST we recommend having a qualified electrician test your appliance CORRECT FUSE make sure electrical items are fitted with the correct fuse DON T try and force European or US plugs into UK electrical sockets. If you need an adaptor, come and see us! ONLY applicances with an EU CE Safety mark should be used - if in any doubt speak to the team at Reception FIRE EXITS AND EVACUATION KNOW YOUR ESCAPE ROUTE AND EQUIPMENT Make sure you know where the nearest fire exit is Read the fire notices dotted around the building Know where the evacuation point is and how to get there Only use fire-fighting equipment if you re trained and it is safe to do so. Do not put yourself in danger KEEP ACCESS TO FIRE EXITS CLEAR If you notice any obstructions to fire exits, please let Reception know Bikes must not be kept in your room or in the way of an escape route. Please keep bikes in the secure bike store KNOW WHAT TO DO IF A FIRE ALARM SOUNDS LEAVE the building immediately - don t stop to collect your things GET OUT as quickly as possible, and don t block escape routes MAKE your way to the evacuation assembly point DO NOT attempt to re-enter the building until it is deemed safe by a member of staff or the fire brigade DO NOT tamper with the fire safety equipment DO NOT put a sock over the smoke detector FIRE ALARM TEST Every Wednesday at 11:00am. If you hear the alarm at this time you do not need to evacuate, however if the alarm sounds for longer than 5 minutes this is not a test and you will need to evacuate the building. Always keep fire doors closed

SECTION TWO: YOU AND YOUR COMMUNITY 13 COOKING Whilst we love the idea of you practicing for MasterChef, we want you to stay safe when cooking in your kitchen. Therefore, we ask the following: Don t leave cookers unattended when in use as this will cause a fire and can result in significant damage and puts you an other residents at risk Keep the hob clean (dirty pans will catch fire very easily) Your studio door is a fire door. Please ensure it is closed at all times (especially when cooking) Switch on the extractor fan when cooking Chip pans and deep fat fryers are not permitted and will be confiscated. As part of our programme of enhancements, your kitchen either has been or may be fitted with an induction hob. This means you ll need to bring steel bottomed pans to prepare your meals as aluminium or copper saucepans don t work on induction hobs. Please note that induction hobs can interfere with Pacemakers. If you have any concerns about this, please contact reception.

TITLE. HOUSEKEEPING

SECTION THREE: HOUSEKEEPING 15 WE KNOW THAT CLEANING IS LIKELY TO BE LOW ON YOUR LIST OF PRIORITIES, BUT IT IS CRUCIAL TO YOUR HEALTH. PLUS, IT DOESN T TAKE TOO LONG (AND AVOIDS ANY CHARGES). YOUR ROOM Your room is your sanctuary and we want to leave you to enjoy it. So it s up to you to keep it clean and report any maintenance problems. We ll help by carrying out termly inspections to make sure we pick up any issues you might have missed. Don t worry you will be given advanced warning! MAINTENANCE We have a full maintenance team onsite who will always try to sort out any issues as soon as they are reported. If you have any maintenance issues in your room or flat please contact Reception or report them on-line via your customer portal https://greystar. onlinesecuredaccommodation.com/student/ Charges could be raised if cleaning or maintenance issues are found during inspections. KEEP IT CLEAN DO NOT use abrasive cleaning products that can damage surfaces DO NOT use hair or clothes dye in your en suite or kitchen DO NOT put any pictures or posters on your walls please use the notice board provided. Damage to walls will incur a charge ROOM CHECKS To comply with health and safety regulations, your room will be checked intermittently. Don t worry you will be given advanced warning of room checks. If your room doesn t match up to the cleanliness and order levels expected, you will be given 24 hours to clean up, or we will arrange to clean it for you and pass on the costs. In some instances, we do have to prioritise repairs depending on their urgency; however, we aim to get all issues solved within 24 hours. WHAT S THE DAMAGE? Accidents do happen and there are times when things can t be helped, but let us know and we can get things fixed as soon as possible. Intentional damage to Alice House property will result in a charge, certain cases may be deemed in breach of tenancy terms and conditions. Damage to communal areas will result in equal charges if no one accepts responsibility. A full list of charges can be found at the back of this guide. Please note that the charges quoted are estimates and may be subject to yearly increase.

A HAPPY AND HEALTHY YOU

SECTION FOUR: A HAPPY AND HEALTHY YOU 17 STUDENT LIFE ISN T ALWAYS WITHOUT CHALLENGES. LEAVING HOME, LOOKING AFTER YOURSELF, MAKING NEW FRIENDS, HITTING COURSE DEADLINES THEY CAN ALL TAKE THEIR TOLL. WE RE HERE TO HELP YOU. The most important part of our community is you. Whilst university life can be incredible, it doesn t always go as planned. DON T keep things to yourself. REMEMBER: Your university provides support and advice on various issues (financial, relationship, course problems, etc.), as well as a dedicated service for students with disabilities. You are always welcome to talk to us at Reception. Alternatively, Student Support is there to help. Below, you will find useful hints, tips and telephone numbers. PROBLEMS WITH A FLAT MATE If you re unhappy about the behaviour of another resident, please come and speak to us. If you don t feel comfortable speaking to us directly, please write down your concerns and email AliceHouse@Prodigy-Living.co.uk FEELING UNWELL Make sure you register with the health centre when you arrive at university. Hopefully, you ll never need an appointment, but if you do, life is a lot easier if you re already registered Here are a few tips to help you stay on track: SOCIALISING Know your limits. Enjoy yourself, but make sure you relax and take it easy, too! TIRED Too much or too little sleep can run you down and prevent you from performing at your best. Try to get a full eight hours of sleep for at least a few nights a week If you are feeling unwell, you can get an appointment with the doctor or nurse at your university s health centre. Please only call the emergency services when it is life-threatening. Usually, you can get a same-day appointment, or at the latest, within the week. The most important thing is that you are happy and healthy, but we know that you can easily slip into less than healthy routines whilst studying. UNIQUE Just because people are at university doesn t mean everyone s the same. Celebrate the different cultures and treat people with respect.

SECTION FOUR: A HAPPY AND HEALTHY YOU 18 DEBT It can be tough managing your finances whilst at university (and after) but we are here for you if you have any concerns about paying your rent. We release all payment dates when you get your tenancy agreement and ensure we keep you updated in advance. If our payment dates don t match your loan dates, we always try to reach a solution for you. We operate a strict arrears procedure, so do let us know as soon as possible if you re experiencing financial worries. EXERCISE It can be easy to eat, sleep, study, repeat whilst at university, but it s really important to ensure that you get regular exercise. You can achieve this by joining a gym, a university sports club or walking instead of taking public transportation/ driving. You ll be surprised at the difference it makes to your general wellbeing. NUTRITION As tempting as it may be to eat kebabs or pizza each night, a healthy, balanced diet is essential. Healthy food (especially fish) can feed brain power! TITLE. YOUR CONTRACT

SECTION FIVE: YOUR CONTRACT 20 Here is a quick reminder of some key clauses: Alice House is managed by Vero Group. You are bound to the full contract period if you leave before the contract ends, you will not receive a reduction in rent Staff may need access to your room for room inspection, maintenance or repairs and during open days for prospective residents. At least 24 hours notice will be given (unless it is impractical to do so) You must pay your accommodation fees on the due dates stated on your contract. Outstanding debts will eventually be passed onto an external debt collection agency If you decide to transfer to another room, exchange room or leave Alice House, you will be charged a 50 administration fee for changing rooms or a 150 administration fee for leaving (depending on circumstances) Alice House does not accept liability for the loss or damage to any resident s property, whatever the circumstance. We advise you to arrange adequate insurance coverage for your personal possessions while you are here. We provide a basic contents insurance as part of your rent through Cover4Students. Details will be given to you upon arrival Once you ve signed your contract, you are bound by everything outlined within it. So, please read it carefully. Make sure you understand it and are familiar with the key terms and conditions # If you are unsure of your full legal obligations as a resident of Alice House, please check your tenancy agreement for more information.

MOVING OUT

SECTION SIX: MOVING OUT 22 WHETHER YOU RE LOOKING TO MOVE ROOMS OR MOVE OUT, HERE S EVERYTHING YOU NEED TO KNOW. We hope you enjoy your time at Alice House and choose to stay here again. However, you may wish, for a variety of reasons, to move rooms or leave us. In all cases, you should discuss your situation with a member of the Alice House team first. All moves within or outside of Alice House during the tenancy period are at the management s discretion. MOVING OUT AT THE END OF YOUR TENANCY As a condition of your contract, you are required to book and attend a check-out inspection with the Alice House team. If you don t attend the inspection, it will be very difficult for you to challenge the inspection and any charges for damage and disposal of refuse or any abandoned items. The check-out inspection also lets us know where we should return your deposit, so it really is in your interest to attend. On your last day, you must: Vacate your room by 10:00am Return all keys to Reception Make sure your room is clear of all of your possessions Make sure your room is clean before you leave (you ll be charged for cleaning if not!) * A full list of charges can be found at the back of your handbook. MOVING OUT BEFORE THE END OF YOUR TENANCY Whether you re moving to a vacant room, swapping rooms or withdrawing from your course, you will need to complete somepaperwork at the Alice House team s office. There will be a 50 fee to cover administrative costs if you change rooms or a 150 administration fee to leave (depending on circumstances). MAIL REDIRECTION You don t want to miss out on important correspondence when you leave so don t forget to tell the people who regularly send you mail where you re moving to. Because we receive very large amounts of post we regret it s not possible to redirect this and it will be returned to the sender. REMOVAL OF BIKES When you check out, make sure your bike checks out with you. If you don t wish to take your bike, let us know and we can donate it to charity. Any bikes leftover will be disposed of.
