There will be two, separate, Audio Visual Competitions OpenAV and PhotoHarmony AVs entered in the OpenAV competition will be judged using internationally accepted criteria, where the quality and appropriateness of the images and the sound track, how those two interrelate and of the concept/production, will all contribute to the overall judgment. AVs entered in the PhotoHarmony competition will only be judged on the quality of the images, the harmonious way they transition from one to the next and how those transitions relate to the sound track used. Any other features of the AV, such as a story line, narration, graphics or text, will not add any credit to the entry, though they will not penalise it. Awards The winner of the OpenAV competition will be awarded the 'Tom Prince Trophy'; the winner of the PhotoHarmony competition will be awarded the 'Howard & Carole Bagshaw Trophy'. In each competition the judges will also award MCPF medals to the first and runner-up AVs. Each of the three judges will also award a 'highly commended' MCPF ribbon for their choice in each competition. Commendations may also be given at the discretion of the judges. Audience Popular Vote (The Martin Fry Trophy) The 'Martin Fry Trophy' will be awarded to the AV, across both competitions, which the audience present at the Championships, judge to be their favourite. Entries A maximum of two AVs per author may be entered across the two competitions, i.e. two OpenAV entries, two PhotoHarmony entries, or one of each. The first entry costs 10, the second 6. This includes free entry to the judging. Copies of the entry form and directions to the venue are available from the website www.wmid-av.org.uk/midphot 5

Rules The following rules (1 7) apply to entries to both competitions: 1. Entrant: All authors and any co-authors must be current members of an MCPF member club. 2. Entries: A maximum of two AVs per author may be entered across the two competitions, i.e. two OpenAV entries, two PhotoHarmony entries, or one of each. If entering 2 AVs you will be required to indicate your 1st choice, in case pre-judging is necessary. Entries should normally be in a 'stand-alone' format which does not require any addition 'player' on the PC used to project the AVs. Video files may be entered and will be played on 'VLC media player'. Entries may be submitted on CD/DVD, a memory stick or by a file transfer program such as 'WeTransfer'. 3. Eligibility: Sequences entered into any previous MCPF Audio Visual Competition, may not be re-entered subsequently. 4. Copyright: It is the entrant s own responsibility to ensure that any material recorded on the soundtrack, or visually shown, is appropriately covered against copyright infringement. If copyright music is used, the entrant must quote their IAC license number. 5. Projection of Entries: A digital projector with a resolution of 1920px * 1080px, a PC computer and sound system will be provided. All entries will be downloaded on to the computer s hard drive for projection, and will then be erased following the judging session. However for those selected to be shown at MidPhot Exhibition in March, a programme will be created and written to a memory stick for the exhibition organisers use only. 6. Entry Form and Fee: An entry form must be completed by each entrant, and submitted together with a fee of 10 for the first entry, 6 for a second. 7. MidPhot Exhibition: A selection of AVs from both competitions will be chosen by the judges and organisers, to be shown at MidPhot exhibition later in the year. Rules 8 & 9 specific to the OpenAV competition 8. Photographs: It is expected that all photographs used in the AV will have been taken by the author, unless the subject matter requires images which, for historical or safety reasons, could not have been taken by the author. Video may be included but should not dominate the AV. 9. Duration: The duration of any OpenAV must not exceed 12 minutes. Rules 10 & 11 specific to the PhotoHarmony competition 10. Photographs: All photographs and any post processing must be the work of the author or co-author. Neither third party images nor any video are allowed. 11 Duration: The duration of any PhotoHarmony AV must not exceed 6 minutes Conditions of Entry The submission of a completed entry form implies the acceptance of all these Conditions of Entry 6

Refreshments (tea, coffee and biscuits) will be available from 9:30am, at lunchtime and while the judges are making their final decisions. Lunches will not be available, so you should bring a packed lunch. 7

MCPF Ribbons will be awarded in each class. Definitions Black & White Photography (Monochrome - FIAP) A black and white image is one with tones from very dark grey (black) to very clear grey (white). A black and white image toned entirely in a single colour will be able to stand in the black & white category and can be reproduced in black & white in the catalogue. On the other hand a black and white image modified by partial toning or by the addition of one colour to a part of the image becomes a colour image and should be entered in the colour category. This type of image will be reproduced in the colour pages of the catalogue. Nature Photography Nature photography is restricted to the use of the photographic process to depict all branches of natural history, except anthropology and archaeology, in such a fashion that a well- informed person will be able to identify the subject material and certify its honest presentation. The story telling value of a photograph must be weighed more than the pictorial quality while maintaining high technical quality. Human elements shall not be present, except where those human elements are integral parts of the nature story such as nature subjects, like barn owls or storks, adapted to an environment modified by humans, or where those human elements are in situations depicting natural forces, like hurricanes or tidal waves. Scientific bands, scientific tags or radio collars on wild animals are permissible. Photographs of human created hybrid plants, cultivated plants, feral animals, domestic animals, or mounted specimens are ineligible. Nature Pictures which have been modified but preserve the truth of the statement may be entered. Any images that show an obvious alteration cannot be entered into the nature section but can be entered into the Open sections. Open Sections These are open to any form of photography and can be of any subject matter with the exception of Nature pictures unless they have been obviously altered from reality. Any Nature pictures that do not show any obvious modification cannot be entered into the Open sections. Contemporary Photography May be defined as the concept which stimulates the mind of the viewer, to interpret the message conveyed through the creative use of line, form and colour. 11

General Conditions of Entry All images must be entirely the work of the photographer. Composite images are permitted provided all component images meet this requirement. The Exhibition is for work not previously exhibited at MidPhot. An accepted image, or similar image by the same photographer, may not be re-entered into the same or a different section in future exhibitions. The entry of identical images throughout all sections is not allowed. Each entrant may enter a maximum of eight entries in each class - Monochrome Print - Colour Print - Nature Print - Projected Image - Projected Nature Image. No entry may win more than one Award. Each entrant must be a member of a club/society affiliated to MCPF. On-line Entry Please complete an on-line entry for each class entered A copy of an Entry Form, Fees, Return Postage (cash or cheques) should be included in the same package as the photographs. Titles, authors names and photographic honours will be based on details included on the Entry Form. Check the titles of all your entries as this is how they will appear in the catalogue To access the on-line system go to the MCPF Website and follow the links Entry Fee: A non-returnable entry fee of 75p per print or Projected Image must be included with the entry. Cheques should be made payable to MCPF. Payments may be made using PayPal. Print Packaging - On-line Options: Held for collection = you will be collecting from Smethwick PS. To be forwarded = you will be collecting from a collection point. Please indicate which one on the printed entry forms accompaning your prints and packaging. To be posted - please remember to include the cost of return postage in your box. Destroy = DO NOT USE OPTION Prints Must be mounted on light weight board not exceeding 50cm x 40cm no thicker than 4mm (thickness of 2 mounting boards) and must be titled and bear the authors name, address and club. Projected Images Images must be jpeg format maximum 1600 pixels wide by 1200 pixels high. (Portraits should be 1200 pixels high). Entries should be submitted on line. Please follow the instructions on screen and make sure that the title of your images are correct. Provisos The organisers reserve the right to withhold from public exhibition any entry which, in their absolute discretion, they consider to be undesirable. No submitted entry may be removed from the exhibition without the permission of the exhibition organising committee. It is a condition of entry that any print/pdi may be selected and retained for possible inclusion in the MCPF entry to the PAGB Print/PDI Competitions. Any such print may be copied by the PAGB to form part of the PAGB Recorded Lecture Service. Any DPI accepted in the PAGB PDI Competition will be copied for circulation in exhibition form to Federations, and then subsequently form part of the PAGB Recorded Lecture Service. The organisers reserve the right to copy and reproduce any entry in the catalogue for press or for use in any MCPF promotion. Copyright remains with the author. Every care will be taken of entries but the organisers cannot accept responsibility for any loss or damage however caused. In the event of any dispute, the decision of the organisers shall be final. Your members can enter and upload their images themselves or you can do it for them. All we ask is that the prints come collectively as a Club in as few boxes as possible Make sure that you read the rules as there are important changes to the Nature sections and that your members are aware of them as well. All Entrants and Competition Secretaries please remember to put a printed copy of your entries in the box along with the prints. Either the form that appears on-line when completing your entry or the email confirmation. Competition Secretaries - Please keep Joe Bloggs s mono prints together, then their colour, then nature. Followed by the next author, you don t have to put the authors in alphabetical order anymore. Mark your boxes as well as your entry forms how you will be collecting your returns at the end of the exhibition. If you are using a collection point, such as the Ducketts or Ian Bailey then please indicate this on the box with a label stating MidPhot 2019 Collection DUCKETT or MidPhot 2019 Collection BAILEY. How to make your MCPF MidPhot entry You can enter as an individual or your club competition secretary can enter them on your behalf. Whichever method you choose to use, please send your work collectively with your club s. This will not only help with unpacking but with package storage and returns. Please note any packages sent as individuals will be returned with your club s entry. These instructions show you how to enter the titles for your Colour, Monochrome and Nature prints and image files for projected digital image (PDI) entries. You will do this for each member in turn. When you have finished reading this, click on the link below to start. You will be asked first for your email address, then your name and postal address and then to select your club from the list of MCPF clubs. You can now enter your own images. If you are entering work on behalf of other club members and want the information to come to you then click the No button. You will be asked to submit your email address again, and to enter the name of the entrant, the address details will default to the original one entered, leave as they are. Submit the titles and or upload the images as before. You will be asked to re-submit your email address, each time you want to enter details of another member. This is for security reasons, to check that you are not a robot. A title is required for each image but it must not contain the member s name or your club s name. You do not need to rename the PDI files. PDI images will be projected at 1600 x 1200 pixels. If you upload an image whose dimensions are larger than this it will be resized for you. Note that when you upload an image file, the file name is used to suggest a title. If you use this suggestion, please make sure you edit it to remove any names. Once you have finished entering the details for one person you can either go back to the start (click on list shown on left hand side of screen) or close and re-open the programme. You do not have to put all the entries in at one time you can stop the process at any time and return later using the link below. When you return, you will see a list of the members whose work you have entered. If you need to make a change you can select one of these, or you can click the click here link to add a new member s work. Reminder - If you have entered individually please send your prints together with any other club members work, collectively in as few a boxes as possible, this will help with the unpacking and storage of print boxes. Please note any packages sent as individuals will be returned with the rest of your club s entry. Competition secretaries, please pack the prints as per entry forms printed from the on-line system in author order. And please submit a copy of everyone s entry in the box, along with any entry fees and cheques. And remember if you want your prints returned by post or courier to include the costs with your entry fees. Cheques should be made payable to MCPF. 15

MCPF Guide and Directory Do we have your correct information? The MCPF s Guide and Directory is published at the start of the year and we need to get all your club s information up to date, this includes all Judges and Lecturers. Calling all Club Treasurers have you paid your Annual ubscription to the MCPF and where applicable renewed your Public Liability Insurance? Payment was due by Jan 1st 2019 Calling all Club Secretaries have you updated your club s details on the MCPF s new electronic data system? Information must be checked and altered by 18th January 2019, in time for the new Guide and Directory. Letters containing all the necessary information, were sent to all secretaries via email before Christmas, if you are a new secretary and have not received this letter then check to see if your predecessor has received it or contact us. Changes to your club officers/details etc. can now be updated at any time during the year by visiting the web site: www.mcpf.co.uk and clicking on Guide & Directory or Club Updates on the home page or notifying MCPF Records Secretary Alison Fryer by e-mail mcpfrecordsec@mcpf.co.uk Contact Alison if you have lost your username and/or password and she will re-issue it to you. The Midland Counties Photographic Federation introduced a Roll of Honour in 1996, and the first awards have been made at the subsequent Annual General Meetings. Recipients to date are listed in the current Guide and Directory. This award recognises outstanding service to the Midlands Counties Photographic Federation, and clubs are invited to nominate individuals whom they consider to have made a significant contribution. This can be work in any area, practical or administrative, for instance: lecturing, judging, setting up a service to the Federation. It does sometimes happen that work is being done without the knowledge of Council, for a variety of reasons, and we would really appreciate hearing about any person that you would like considered for this honour. We are looking forward to a busy 2019 in the MCPF, not only do we have the usual offerings but this year we will be hosting the PAGB Inter-Fed Championships. This will take place at the Priory Centre, Stretton, Burton on Trent on June 15th, and the judging will be open to anyone who wishes to come along and watch. Details and ticket information will be announced nearer the date. The new year will start as usual with the MidPhot AV Championships, hosted by Staff-AV Group, at the Priory Centre. It really is a good day s entertainment and will again include a section for Photo Harmony sequences. Tickets are now on sale, follow the links from the MCPF website or this newsletter to see to obtain yours. This is will be the last time that the Championships will be run, under the chairmanship of Howard Bagshaw, by the Staffs-AV Group, so I would like to take this opportunity to express my thanks and that of the Council, for all their hard work over the past few years. They have a lot of expertise in their locker which I am sure will be made available to whoever takes on the challenge. A reminder that the MidPhot s main exhibition is now open for entries and the closing date Feb 10th. This is the same day as the February General Meeting.
