Thank you for your entry! We are excited to have you be a part of QuiltCon 2017. In this document you will find information regarding show requirements for all entries, drop-off and shipping to QuiltCon instructions, how to pick up your quilt(s) or have them shipped back to you. Please review all information carefully! My Quilt is in the Show Ribbon If you are attending QuiltCon, please stop by registration to pick up a "My Quilt Is In The Show" ribbon to wear while there. We only make enough for quilters who attend QuiltCon, so we will not be able to ship them. SHOW REQUIREMENTS FOR ALL ENTRIES: Preparing Your Quilt for the Show & Shipping Label Each quilt accepted in the show must have a label securely stitched to the lower back of the quilt. The label may be pieced into the quilt or appliqued on the back, and it must include the quilt name, maker s name, address, email address and telephone number. The label can be a temporary label, if desired, but must be firmly attached. Quilt Name Jane Quilter 123 Road St. (123) 456-7890 Email@address.com *Helpful Hint: Also include your year it was made and dimensions. This is helpful when you want to enter it in a future show! Your label needs to be covered for judging. Please cut a scrap of muslin large enough to cover the label and write your quilt number on it. YOUR QUILT NUMBER IS IN YOUR ACCEPTANCE EMAIL. Use two safety pins or basting stiches along the top of the label to secure the muslin. The volunteers helping with judging will be very appreciative! #123 #123

Sleeve Quilts in the show will be hung with sleeves. Large quilts require 4 sleeves. Small quilts measuring less than 36 on all sides require 1.5 sleeves. Quilts received without sleeves will not be hung and will be disqualified. Please review Jacquie Gering s tutorial on how to make and apply a sleeve to your quilt below. You can also find these instructions on her blog, Tall Grass Prairie Studio. This tutorial makes a 4" finished D sleeve. Start by measuring the width of your quilt. Cut a strip 8 1/2" wide by the exact width measurement of your quilt. Depending on the width of your quilt, you may have to piece multiple strips to achieve that measurement. Hem each side of the sleeve by turning the edge 1/4" and then another 1/4". Press and pin. Sew close to the folded edge. Fold the strip in half lengthwise wrong sides together and press to create a center fold.

Open the strip and fold each edge in to meet at the center fold. Press so that the folds on each edge are well defined. You'll need those fold lines later. Match the raw edges again wrong sides together and pin the length of the sleeve. Sew using a 1/4" seam. (Sewing wrong side together allows you to place the seam under the sleeve rather than inside it.) Place your sleeve so that the seam is centered facing up. One of the folded edges will lay flat. The other will not. Press the seam open. Be sure not to press down the opposite edge. (You will need that fold that you created later.)

Place the sleeve seam side down with the two folds you created earlier flat on your surface. Notice how the D- shape is formed. This is how the sleeve will be placed on your quilt. Position the sleeve 1/2" to 3/4" below the top of your quilt. Pin along both folds making sure to maintain the D-shape. Hand stitch along the top and bottom edges of the sleeve. Be sure not to stitch into the front of the quilt. Done! Entry Please ensure all entries are clean and free of marks, stains, loose threads, and pet hair. Your entry should be ready to display and judging. Other Entry Information Insurance QuiltCon will insure quilts up to $500 while in our possession. We recommend that if your quilt is valued at over $500, you have an appraisal and the proper insurance coverage to cover your quilt while it is being transported to/from QuiltCon, stored before/after QuiltCon and while it is on display. If your quilt is appraised over $500, it is the owner s responsibility to insure the quilt. QuiltCon is not responsible for the quilt during shipping. Quilts for Sale If on your entry form you left the sale price blank or marked NFS, your quilt will not be available for purchase. Quilts that have a sale price will be available for sale. This means your quilts could be sold and will not return to you. The MQG will take a 15% commission on the sale of the quilt to cover the administrative, shipping and credit card fees. We will notify you of the sale of your quilt by February 28, 2017. A check will be mailed for the purchase price, minus 15%, and arrive no later than March 30, 2017.

Quilt Drop-Off and Shipping Instructions Local In-Person Drop-off Instructions If you are in the Austin, Texas area, you will be able to drop off your quilt in person to the temporary MQG QuiltCon Production Office at The Modern Quilt Guild in South East Austin. Drop off hours are as follows: Tuesday, January 10, 10 am to 3 pm Thursday, January 12, 10 am to 3 pm Tuesday, January 17, 10 am to 3 pm Thursday, January 19, 10 am to 3 pm To get the office address or schedule an appointment between 9 am to 5 pm, Monday-Friday email heather@themodernquiltguild.com. Quilt Shipping Instructions Protecting Your Quilt During Shipping: We strongly recommend using a NEW sturdy box to ship your quilt. Boxes that have been used before can often break during shipping. Many quilts will fit into USPS flat rate boxes, which are free from the US post office. It has become popular in recent years to send quilts in long narrow boxes where the quilt is rolled within the box to prevent wrinkling. We strongly recommend against this practice if the box is longer than 36. These boxes have a higher rate of contents damage and claim incidences. Boxes can easily be damaged or exposed to substances that can soak through a box in the shipping process. We strongly suggest you put your quilt in a large, sealable plastic bag to protect it during the shipping process. PLEASE DO NOT USE PACKING PEANUTS. They are a mess to deal with when opening boxes. Shipping to and from QuiltCon: All quilts accepted into the Quilt Show must be mailed to Austin, Texas at the expense of the participant. We strongly recommend shipping signature required. I m sure you re asking yourself, Why Austin, I thought QuiltCon was in Savannah? Our production office is in Austin. The quilts will be trucked to Savannah just before the show. An MQG employee will be with the truck at all times. Quilts will be returned the week of February 25, 2017 (unless they are selected for the traveling Best of QuiltCon show) with the last shipment of quilts no later than March 15th. Please note: You can to ship quilts to us flat or rolled, but we cannot ship quilts back the same way or in the same box as we store quilts folded. If you are not comfortable with having your quilt folded, we recommend withdrawing your quilt from QuiltCon. See Shipping from QuiltCon below. U.S. Quilts: Domestic quilts MUST arrive in Austin no earlier than January 4 and no later than January 26, 2017 for judging. PLEASE DO NOT SHIP QUILTS EARLY. If your quilt arrives after this deadline it will be hung as exhibit only and will not be judged. All quilts will be mailed back to the maker via USPS priority mail with tracking. If you would prefer UPS, the return-mailing fee for domestic shipments is $25. Please email quilts@themodernquiltguild.com to arrange UPS shipping.

Shipping from outside the U.S.: If you are shipping a quilt from outside the U.S. there are several specific considerations regarding customs. The easiest way to avoid complications at customs is to value your quilt at no more than $50 on your customs declaration form and state for exhibition and return, not for sale, no commercial value. This is counterintuitive to our request that makers insure their quilt for its full value. By placing a value greater than $50 on the customs form, an expensive bond may be required that may not be returned when the quilt is shipped back to its original country. Clearly QuiltCon values your work greatly, and realizes that this might make you uncomfortable. If you value your quilt at more than $50 on the customs form, you need to set up a carnet A.T.A. at your expense. If for any reason QuiltCon incurs any expenses associated with a quilt valued at more than $50 on the customs form, you will reimburse QuiltCon. If you value the quilt at $50 and expenses are incurred, we will cover those costs. International shipments can arrive any time between acceptance and January 26, 2017. We recommend international shipments ship no later than January 1, 2017 to allow for any time in customs. Shipping Address: Please ship quilts to: The MQG/Heather Grant 6800 West Gate Blvd, Suite 132#146 Austin TX 78745 USA Be sure to include the suite number! Packages without the suite number will get lost. QuiltCon is not responsible for quilts shipped to the wrong address. Please write your quilt number on the outside of the box in the lower left corner. If you have multiple quilt numbers, please write all the numbers. Example Write your quilt number on the box. The MQG/Heather Grant 6800 West Gate Blvd, Suite 132#146 Austin TX 78745 #123 Arrival Confirmation About once per week, MQG staff will send bulk emails confirming your quilt has arrived.

Quilt Packing Form Please include the following form with your quilt or print out your confirmation email from Art Call (if you saved it): Quilter # (QuiltCon to complete) First Name Cell Last Name Email Complete for each quilt accepted. Quilts can only be picked up by the owner or delegated person on the form. A photo ID will need to be presented at QuiltCon to pickup your quilt (even if we know who you are!). There will be no local pick-up after 10 pm February 26. Any remaining quilts will be shipped. If you do not select pick-up on your form when you ship it, we will not allow you to pick up the quilt for security reasons. ABSOLUTELY, UNDER NO CIRCUMSTANCES CAN YOU REMOVE YOUR QUILT FROM THE SHOW OR AUTHORIZE SOMEONE TO DO SO ON YOUR BEHALF BEFORE THE DESIGNATED PICK-UP TIME ABOVE (EVEN IF YOU ARE VOLUNTEERING DURING QUILT TAKE-DOWN). We follow a process to ensure all quilts are accounted for. Do NOT remove quilts early. Shipping from QuiltCon Quilts will be shipped the week of February 26, 2017 (unless they are selected for the traveling Best of QuiltCon show) with the last shipment of quilts no later than March 8th. Quilts will be shipped back to the address provided on the form above. If your address has changed since you entered the quilt, please be sure to email your change of address to heather@themodernquiltguild.com. We will ship quilts back folded. Unfortunately, we cannot return quilts back rolled, flat or in the same box as shipped. If you are not comfortable with having your quilt folded, we recommend withdrawing your quilt from QuiltCon. Additional Information QuiltCon Show: Your quilt will be on display for the duration of QuiltCon, from Thursday February 23 to Sunday February 26, 2017. QuiltCon attendees will be permitted to photograph quilts in the exhibit hall. We will request they provide appropriate credit if they post quilts online. Guests will not be allowed to touch the quilts or bring food and drink outside designated areas in the exhibit area. Prizes and Awards: There will be an Award Ceremony on Thursday, February 23, 2017. If you are in attendance and your quilt wins, we hope you will attend the ceremony. It is free to members. For winners who are not at the ceremony, ribbons will be included with your quilt when it is returned to you. Prize winners will be notified they have won a prize within two days of QuiltCon. The final award will be posted on themodernquiltguild.com by February 26 by 5 p.m. Details on prize money and ribbons will be sent to prize winners via email. We will notify winners no later than the evening of February 26, 2017. Be sure your email address is up-to-date and you check that email! Please be sure your contact information on your form contains your latest contact information. If you will be at QuiltCon, please include a cell phone number. Best of QuiltCon Traveling Quilt Exhibit: The Modern Quilt Guild is organizing a special exhibit of QuiltCon quilts to be showcased at various quilt shows in the US and abroad. If your quilt is selected for the show, we will provide more details

about the exhibit. The show will travel for about a year, and your quilt would be returned to you some time in early 2018. The 2016 exhibit went to more than 5 shows and was featured in press! Other Tips: Please follow directions Ship to the correct location If you want to know where your quilt is, purchase tracking o But if you live in outside the US and are using your local postal service, tracking ends when your quilt leaves the country.
