PaperCut Print Management software helps you save money and reduce printer waste in your business, school, college or professional services organisation. Put simply, PaperCut is a software solution that allows IT managers and departments to silently monitor individual or departmental print usage and spends. 2
How Does it Work? PaperCut is an easy to use web based program. It s installed on just one Server or PC, and works on a per user basis. Once installed, simply login to your account and let PaperCut do the rest. The software will actively scan your system for printers, Photocopiers, and users. 3
From here you can view: A general system status. The number of pages printed per day. Current printer status. Your environmental impact. Real time printing activity. 4
PaperCut works on a tab system, which is easy and clear to use. The user screen instantly displays all of your current users. Click on their names in green to drill further into options per user. From this screen you can also see current balances per user if they have been set. You can also see the user has any current restrictions in place, and the number of pages they have printed. 5
Once you click on a user you will see the details screen shown opposite. From here you can see and update individual user details, including their current balance (if one is set), their printing history, and how much they have spent on printing. 6
This tab allows you to group users together and update setting on a bulk basis, saving you time. Groups can be easily created and edited as you need them. Simply click on the add/ Remove Group button and follow the instructions. Created groups will then be displayed in the group list. 7
The accounts tab works in exactly the same way as the groups tab, but is designed to help you with billing. Rather then billing just one user or group, you can bill an entire account or department. For example the purchasing and accounts departments could be monitored separately. This is particularly useful if you are running PaperCut over multiple sites as it give you control over each site separately. 8
From here you can see a list of all printers on your system. Printer name to easily identify the machine Page cost set per machine to reflect you printing costs. This is used for reporting and billing. Filters enables E.g only print in duplex, or black. Total pages printed and job completed while using PaperCut 9
When you click a machine name in the printer tab you are giving a further 6 tabs for that machine. These tabs allow you see detailed statistics, change the cost per page / Meter and enable filters and restrictions. 10
Possibly the most important tab in the entire program. From here you can set all of the restrictions that will effect how your users print, and intern save your business money. Set restrictions like: 11
This tab allows you to view reports and closely monitor how and what your business prints. It also allows you to see how your printing effects the environment, and who the largest spenders are in your business. Select from the tab what kind of report you want: user, printer, group, environment etc then scroll down to view all the reports available. Simply then select the date range and view it as a PDF, Excel work sheet or through a web browser. 12

Backing up any business database is critical. The PaperCut backup tab can be found within the options tab. It s easy to use and can be set to run completely automated so you never have to think about it again. 15
The Application log tab is a quick way to view the history of PaperCut on your system. Its shows every transaction from when an option was changed, to when the last backup was completed. The log can be filtered to show all information, errors or just warnings. 16

Strategy Often this is enough to prevent the kind of printing users know they shouldn't be doing. E.g. perhaps that sporting club newsletter will be printed at home from now on... Implement print policy rules: Stop mistakes like printing a 100 page document instead of the 1 interesting page. Enforce double sided printing. Warn users when they print emails in color. Route large jobs to most cost effective devices. Impose reasonable limits on user printing, e.g. 3 per week per user. This is a very popular strategy in education environments.
