PaperCut Print Service in ES411 Details and Quick-Start Guide July 11, 2008 INTRODUCTION In order to provide a better and more reliable print service to the students using Geography computer labs (ES307, ES407, and ES415), the PaperCut printer management service will replace the old card-swipe system for all printing to the ES411 laser printer. WHY? Due to on-going, irresolvable issues with the old card-swipe system an alternative print service solution needed to be found. Implementing PaperCut provides us with an opportunity to offer students a much more reliable printing service at a lower cost per page ($0.07 instead of $0.10) HOW IT WORKS (See Quick-Start Guide for Details) The first time you log-in to any of the Geography lab computers, a PaperCut dialog box will ask you to enter your credentials (IT username & password). By doing so, you will create an account in the PaperCut database and will be allotted an initial account balance of $0.07 (one page). At subsequent log-ins, the system will automatically recognize your IT username when you sign-in to any of the lab computers. In the top-right corner of the screen, you will see a PaperCut client pop-up window showing your username and the balance on your account. Each time you print, your account will be debited the cost of the document. To add funds to the account, you must purchase a PaperCut card from the main Geography Office or the Collections Room. Using a web-interface set up with the system, you can redeem the card and thereby add the funds to your account. COMMENTS & SUGGESTIONS Although we have done extensive testing of the PaperCut application, first implementation of any new solution is never perfect. QUICK-START GUIDE Creating an Account on PaperCut 1. Log-in to the computer using your IT Username & Password 2. If you do not have an account, a PaperCut dialog box will ask for your credentials. Enter your IT Username & Password in the appropriate boxes. * You can leave the Remember my identity box unchecked. 3. Click OK. Within a few seconds a PaperCut client pop-up window should appear in the top-right corner of your screen showing your initial account balance of $0.07. PaperCut Client Pop-up Window PaperCut Client automatically starts each time you log-in to the computer. It runs in the background, and has an icon on the task bar. The client also has a pop-up window that displays in the top-right corner of the screen each time you log-in to the computer. It shows your user information, and provides a link to the user web interface. Printing using PaperCut To print to ES411, follow the normal printing procedure (i.e. File Print). Select Lexmark T632 on geogprintsrv (default printer) as the printer, and click OK. Your document will be sent to the printer and the cost of the document will be debited automatically from your PaperCut account. *NOTE: Once you click OK, the job is sent for printing immediately and your account is debited. There is no queue from which you release the job prior to printing, so make sure you are not printing unnecessary pages. A message at the PaperCut task bar icons will inform you if the job has been sent to the printer successfully, or if any errors have occurred (e.g. not enough funds on the account). Follow instructions on the pop-up messages for various error solutions. Adding Funds to the Account 1. Purchase a PaperCut card. 2. Redeem Card on the PaperCut User Web Interface PaperCut Card Details Available in $5, $10 and $20 denominations only. Purchase at the Geography Office or Collections Room (during regular operating hours). Can be purchased for cash only. Cards can only be used/redeemed once. Valid only for printing in ES411. Cards or account balance (or portion thereof) are not exchangeable or refundable. Sample card: Card Number Redeeming Card on the Web Interface 1. Log-in to the PaperCut User Web interface by clicking Details link on the Client pop-up window, or typing geogprintsrv:9191 in your web browser. 2. Log-in using your IT Username and password. 3
3. Click on the Redeem Card tab on the left 4. Enter the full card number in the space provided (include all letters and dashes). Click Redeem Card. You have now added the value of the card to your account. 4
Other Functionality of the PaperCut User Web Interface SUMMARY Provides a summary of your PaperCut account, with balance history, number of print jobs, etc. RATES Printing rates/charges per page. Currently, there is only one printer in ES411. REDEEM CARD Add funds to the account from the PaperCut card. TRANSFERS Use to transfer funds to another user, as long as they have a PaperCut account. TRANSACTION HISTORY Provides a detailed log of funds added, debited and transferred from your account. RECENT PRINT JOBS Provides a detailed log of print jobs, including cost, status, document name, etc. JOBS PENDING RELEASE Not used at this time. F.A.Q. 1. Why can t I use my UCID card? I have money on it! What do I do with it now? You may still use your UCID card for printing in other labs that have the card-swipe system (e.g. Information Commons), or use the funds for food services. 2. Can I use my PaperCut card for anything else? No, you can only use the PaperCut card purchased at the Department of Geography for printing in ES411 from the Geography labs. Although there are other departments that use PaperCut, cards are valid only in the department where they are purchased. 3. What if I don t want to purchase $5 in funds? If you do not wish or do not need to have a minimum of $5 on your account, you may purchase a $5 card, redeem it, and then transfer a portion of the funds to someone else (i.e. split the card). 4. Can I get refunds on a purchased PaperCut card? How about on money on my account? No, cards or the account balance (or portion thereof) are non-refundable under any circumstance. We suggest you start with a $5 card and then estimate how much printing you will be doing before purchasing additional funds. 5. Are my funds safe in the PaperCut database? Yes, the information is stored on a secure and reliable system. 6.
