Clocking In and Out Using CRC and UtilPro Introduction: In order to make the payroll process more efficient and to reduce the number of payroll errors which we have experienced in the past, Gardenvision and Costa Farms have adopted UtilPro, a new time clock software. As a result, going forward each of us will need to make two punches, one on the Lowe s terminal and one on UtilPro, every time we punch in or out in order to 1)log our billable hours for Lowe s, and 2) to log the hours that each person working for Gardenvision will be paid. General Course of Daily Events: Every day, the tasks that you will need to complete in order to keep time properly, are as follows: Upon arrival at store, clock in using your smart device on the UtilPro website After you have confirmed that you have clocked in, log in on the Lowe s terminal When leaving for lunch, clock out on the Lowe s terminal After confirming that you have logged out of the Lowe s system, use your smart device to clock out of UtilPro If you are working six hours or more in one day, you must take a lunch break. Upon returning from lunch, use your smart device to clock in on the UtilPro website After you have confirmed that you have clocked in, log in on the Lowe s terminal When leaving for the day, clock out on the Lowe s terminal After confirming that you have logged out of the Lowe s system, use your smart device to clock out of UtilPro If you discover that you have missed a punch in either system, notify your Supervisor immediately. The time clocked on UtilPro should be slightly longer than the time clocked on the Lowe s system so that we are not billing Lowe s for our timekeepingtasks. How to Punch In and Out Using UtilPro: UtilPro is designed to be used with a smartphone or other smart device, like a tablet or Kindle. The instructions below describe exactly how to do that. Please note: you must have registered on the UtilPro system before you can clock in or out your Supervisor can help you be sure you have done that. Clocking In and Out at Lowe s Page 1
Phase 1: Arriving for Work Step 1: Access UltiPro website using your mobile device: https://e15.ultipro.com/login.aspx The link will take you to the login screen, pictured at right. You will need to enter your user name and password, which you will have created during the registration step, and then tap the gray Log In button. YOU CAN T SEARCH FOR THE LINK ONTHE WEB IT WON T WORK Save it on your phone s home page to make it easier to return each time you need to punch in or out. Step 2: Choosing the time clock from the UtilPro site: If you have entered your credentials correctly, you will be taken to the page pictured at right. Yours will show you information about your pay and available time off. In order to punch in or out, you will need to tap the dark green menu button, which looks like this and which is indicated with a green arrow in the figure at right. When you tap it, the menu will open, as in the picture below. You will need to tap Your Time which is indicated with a green arrow in the picture. Use the store s free Wi-fi instead of your data connection to save your available data usage. Clocking In and Out at Lowe s Page 2
Step 3: Punching In/Out After you have tapped the Your Time menu item, the screen at right will appear. It will show you the last time you punched and produces the link that you will use to clock in/out. Tap the Time Clock link, indicated with a green arrow in the picture. If the last punch does not say what you expect, alert your Supervisor immediately. When you tap it a new screen will appear, pictured below. Tap the green button, which displays the current time and is indicated with a green arrow in the picture at left. You must have GPS location enabled in order to punch in or out. The website will prompt you to turn it on if it is turned off. If you are unable to turn it on, contact your Supervisor for assistance. Clocking In and Out at Lowe s Page 3
Step 4: Confirmation and Log Out Once the system registers your punch, you will see the screen pictured at right. Congratulations! The final step for this round of punches is to log out of the system. After the confirmation has been displayed for 5 seconds, UtilPro will automatically return you to the Your Time page, where you will have to tap the menu button. It looks like this will look like the picture below.. Once you do, your screen All you have to do now is tap the Logout button, indicated with a green arrow in the picture. Logging out will conserve your smart device s resources like battery and available data usage. Step 5: Log in using the Lowe s terminal. This is the same procedure as it has always been there are no changes. Be sure to log in both places however, otherwise we won t get paid for the work that you do! Once you re in the Lowe s system, you are done with this phase! Phase 2: Punching Out for Lunch Step 1: Clock out of the Lowe s system. This is the same as it has always been. Step 2: Repeat Steps 1 through 4 from Phase 1. You re done with this phase! Clocking In and Out at Lowe s Page 4
Phase 3: Punching In from Lunch Step 1: Repeat Steps 1 through 4 from Phase 1. Step 2: Clock out of the Lowe s system. This is the same as it has always been. You re done with this phase! Phase 4: Punching Out for the Day Step 1: Clock out of the Lowe s system. This is the same as it has always been. Step 2: Repeat Steps 1 through 4 from Phase 1. You re done with this phase! What If? What if I forget a punch? As in the past, if you forget a punch you will need to alert your Supervisor immediately so that they can adjust your time the only difference now is that you will also have to tell them if you missed the punch in UtilPro, on the Lowe s system, or both. Missed punches are something that we want to avoid, and as has always been the case people who habitually miss punches are subject to corrective action. This becomes especially significant with UtilPro as all of the adjustments will need to be verified by you through the program. If you don t verify the punch on time, the hours for that day will not be paid until you do verify that the adjustment is correct. In short, missed punches create more work for you and for your Supervisor, so avoiding them is important. What if I work at two stores in one day? As in the past, you will need to clock in and out of the Lowe s system when you move from one store to another. As you probably know, the time that you spend driving between those two stores is work time (as long as you go directly from one to the other without stopping for lunch or other personal time), so there is no need to punch out of the UtilPro side. You can just let the clock run until you re done with your last store of the day! If you are going to take a lunch break between the two stores, you ll just clock out of the first store and clock in to the second, just like the Lowe s system. What if I run out of data or time on my cell plan? Every Lowe s store has a public WiFi which your smart device can use whether you have time available on your plan or not. In fact, you don t even need a phone connection at all in order to use UtilPro a bare bones smart device like a tablet or Kindle can access the WiFi signal at Lowe s and you will be able to punch in and out, look at your personal information stored in UtilPro, make time off requests anything you need to do. (The same is true for Impact Merchandising, by the way.) What if I can t log in or access either system? Immediately call your Supervisor. Never assume that someone else will report the issue the sooner we know there is an issue, the sooner we can get it resolved. Clocking In and Out at Lowe s Page 5
