IMAGE CROPPING AND RESIZING This chapter looks at how to use Microsoft Office Picture Manager to resize and crop images. 1.1 Opening an image in Picture Manager There are several ways to open an image with Picture Manager: The easiest way to open an image in Picture Manager is locate it and then right-click on the image. In the menu select Open With > Microsoft Office ####, where #### is the version of Office you are using. This will not only load Picture Manager but will also load the image into it, which means that you can begin editing your image straight away. Alternatively you can load Picture Manager by clicking on the Start Menu and going to: All Programs > NTU-WIDE Applications > Microsoft Office #### > Microsoft Office Tools > Microsoft Office Picture Manager. This loads Picture Manager but you will still need to load the image into it. You can do this by selecting a Recently Browsed folder on the left. You may need to click on the Shortcuts button to make the folder appear. The images in each folder will display in the middle. Double left-click on the image you want to edit. If you can not find your image, go into the folder that the image is saved to in Windows. This should make the folder appear in the Recently Browsed folder on the left. 3

4 1.2 Editing an image in Picture Manager Once you image has opened in Picture Manager, click on the Edit Pictures button in the toolbar at the top of the window. This will open up the Edit Pictures Task Pane on the right side of your window. The pane contains all the tools that you can use to manipulate you image. This guide is going to look at two of these tools: Crop Removing outer parts of an image to improve framing, accentuate subject matter or change aspect ratio. Resize Keeping the appearance and aspect ratio of the image the same, while increasing or decreasing the dimensions/pixels of the image. 1.3 Crop Tool This section explains how to use the Crop tool. Begin by clicking on Crop in the Edit Pictures Task Pane on the right. This pane updates to show the crop options. Crop settings lets you select a specific aspect ratio in landscape or portrait that the image will crop to. The Crop handles fields let you specify exact positioning of borders of your crop. At the bottom of this pane under Picture dimensions, you can see the original width and height of the image, and also the new width and height that the image will be after you have performed you selected crop. The option we are interested in here is Crop Settings. If for example you want your final image to be 300 x 400, select an aspect ratio of 3 x 4 and landscape or portrait depending upon the orientation of your final image. This will shade out the area that the image will crop away, as shown in the picture. The borders that the image will crop to are shown by the black highlights in the corners and middle of the edges of the selected crop area. If you are happy with the chosen crop, click on the OK button. Alternatively, you can move or resize the area that will be cropped. 4

5 1.4 Resizing the crop area 1.5 Moving the crop area To move the crop area, left-click in the middle of the crop area and drag the selected area so that it includes all parts of the image that you want to keep. The image on the right shows that the crop area has remained the same size but has moved to a new position. If you are happy with the position of the crop area, let go of the mouse button. Again to perform the crop, click on the OK button. This will remove all parts of the image that are not needed. 1.6 Confirming the crop To resize the crop area, left-click on one of the black edge points and drag in or out of the image. The crop area will change but will keep the fixed aspect ratio chosen previously. This image on the left shows the whole image with the newly resized crop area. The part of the image that will be cropped away from the picture is shaded fainter. Once you are happy with the size of the crop area, let go of the mouse button. To perform the crop, click on the OK button. You can repeat the resize or move process as many times as you like until you achieve the selected part of the image that you require. In the Picture dimensions section, the New part will update to show the new image size. This does not have to be the final size of the image as you are able to resize the image in the next section. Once you are happy that you have selected the area of the picture that you need, click on the OK button. The picture on the left shows the image after it has been cropped. It is also in the chosen aspect ratio of 4:3. Although the dimensions of the image are 1600 x 1200, it can now easily be resized to 400 x 300 and the next section will look at how to do this. 5

6 1.7 Resize Tool This section explains how to use the Resize tool. Begin by clicking on Resize in the Edit Pictures Task Pane on the right. This pane updates to show the resize options. There are several options in the Resize settings part: Original size Keeps the image at the same size without resizing. Predefined width x height A quick option that lets you choose from some preset common dimensions. Custom width x height Lets you choose your own width and height. Percentage of original width x height This option lets you make your new image a percentage of the size of the original. Maintaining aspect ratio. The Size setting summary shows the original dimensions of the image, followed by the new size that the image will be after resizing. The image is currently 1600 x 1200 pixels. If it needs to be 400 x 300, select the Custom width x height option and enter 400 in the first box for the width and 300 in the second box for the height. Once you are happy with the new dimensions for the image, you need to click on the OK button. If you don t do this, the changes will not take place. The image should appear to shrink in size and the Original size will now display as 400 x 300. It is possible to make your images larger using the same method, but this is not recommended as the application will try to guess what the new pixels should be and this can often lead to a blocky picture. Where possible, it is always best to start with an image that is larger than you need and reduce it down. 1.8 Saving your image You can repeat the process of cropping and resizing your image until you are happy with it. When you are ready to save it, goto File > Save As Choose the directory that you want to save the image in, give it a name and click on Save. This will save it in the same file format that it was originally in. Most photographs are saved in the JPEG file format. If your image is not in this format, you can save it as a JPEG by selecting File > Export. This will open a pane on the right where you can give your image a name and under Export with this file format you can select JPEG. If the image is not a photograph, for example a logo, it is best to save it as a GIF. 6
