2 2 Review Equipment & Supplies You will receive one Equipment Box containing all of the necessary equipment and supplies for your Inventory. The Equipment Box will be sealed with tape. When opening the box, please be careful and cut the tape with a knife. Please do not rip tape off the box. You will use these same boxes to return the equipment back to Hart Systems. Please try not to rip or damage the box. Inside the Equipment Box, you will find: (8) to (10) Scanners (4) Power Chargers for the Scanners NOTE: The Scanners will have 15+ hours of battery life. Charge the Scanners prior to your inventory, it will only take approximately 1-3 hours to fully charge. Remove the Supply envelope and then remove the scanners from the foam insert.

3 3 Review Equipment & Supplies You will receive (1) Supply Envelope per location. Inside the Supply Envelope, you will find: Hart Control ID Form - You will need this form to scan your store s bar code and register the Scanners for your store. Hart Fixture Sticker Sheets Section Markers (red flags) Start/Stop Flags (1) Inventory Manual (1) Quick Start Poster (1) Password Flyer - You will use the Login information on the Flyer to access your Reports online at Shipping Instructions Envelope: Contains labels and documents used to ship the box back to Hart Systems when the Inventory is complete. The Shipping Instructions Envelope is in the clear plastic sleeve affixed to the inside flap of the Equipment Box. The Envelope contains labels and documents to be used to ship the boxes when the inventory is completed. When inventory is complete, please box up all equipment, affix the shipping label, and tape each box. Hart has already made arrangements for pick-up the day after inventory is complete. If any of the equipment or supplies are missing, contact Hart Client Care (available 24/7) at

6 6 Register Scanners You will be using your in-store Access Points (Cradle Point router). Place the scanners on the surface area or table that is near the Access Points along with the following documentation. The access points are located at the sales register. Hart Control ID Form This form is the official documentation of the inventory and should be kept near the computer with Internet access. The ID bar code on the form will be scanned once to set up the scanners; the form will then be completed at the END of your inventory. Set-Up All Scanners 1. Power on the scanner. It will boot up to the Scan/Key Hart Control ID screen. 2. Scan the Hart Control ID bar code from the form provided. 3. Key enter your Store Number and press ENT (Enter). 4. The Scanners will register shortly after pressing ENT. Be sure to press the Continue prompt to finish the registration.

7 7 Register Scanners 5. The Enter Employee ID screen will be displayed. From here, the Employee will enter their ID and start scanning. Repeat steps 1-5 for all remaining Scanners. 6. After entering the Employee ID, the Scan Hart Sticker screen will display. This is the point when Employees start scanning. IMPORTANT: On the bottom of the Scanner screen, you may notice a P, followed by a number. This P means there is data pending in the Scanner and has not been transmitted to the Access Point. Eventually, the P numbers will decrease as the data is transmitted to the Access Point. Keep an eye out for P numbers as they could build if a Scanner is too far away from the Access Point, or if the data transmission is slow. Always walk the Scanner closer to the Access Point as a first step in decreasing the P numbers. You should also check that your Access Point is properly connected.

8 8 Place Fixture Stickers Since the Hart Fixture Stickers are the key control to ensure every fixture is accounted for, properly laying the stickers on the merchandise fixtures is essential for a timely and accurate Inventory. Stickers MUST be in place on the fixtures before the Inventory begins. This procedure could take 2 hours, so please plan accordingly. Hart Systems provides the Fixture Sticker Control Log in the back of this manual to assist in recording the placement of the stickers (in addition to your own floor plan). This log is used to record the stickers assigned to the fixtures in each area of the store. List each area and the beginning sticker control number and the ending sticker control number assigned for that area of the store. Be sure to list the area names with a descriptive title, such as Bakeware, Utensils, etc. Start with the first sticker number in your pack of stickers and lay the stickers in numerical order, top to bottom. Do not skip sticker numbers. Lay the stickers so that it will be easy to see where one sticker area begins and ends. In general, the more stickers used, the better your Inventory control. Save the used sticker sheets, you may need to refer to them later.

9 9 Helpful Tools/Tips Red Flag Markers: Red Flag Markers are the pads of red flags that you received with your supplies. They can be used to define clear section breaks, identify completed stickers, and identify Not on File items on a fixture. To create a visual aid and identify completed stickers, place the Red Flag Marker over the bar code on the Hart Fixture Sticker after all units on that fixture have been scanned. This will prevent another Associate from re-scanning that sticker. Research Area: Designate a central location in the store as the Research Area. Assign a sticker to the Research Area. During the actual Inventory, there may be some items that scan as Not on File and not be accepted into the scanner. There may also be items that do not scan, do not have bar codes on them or are rejected by the scanner. These items should be set aside in an area that you have designated as the Research Area. This is an area created to hold these items to be researched for the correct SKU. Employees should not slow down their scanning to research these items. This merchandise should be researched by Store Management and scanned or key entered later during the Inventory.

10 10 Place Fixture Stickers As you walk through the store, make sure that all of the merchandise to be counted has a sticker. It should be fairly easy to see which merchandise is assigned to which sticker. If you discover a fixture (or any merchandise) that does not have a sticker placed on it, use your left over stickers. Be sure to use the very next sticker after the last sticker number used. This sticker must be recorded on the Floor Plan and the Fixture Sticker Control Log. Never destroy or throw away any stickers. Every sticker must be accounted for. If a sticker becomes torn, use scotch tape to repair the sticker. Sticker accounts for all items on end. Assign one sticker to every one or two shelves, depending on the amount of merchandise on each shelf. The above illustrations have one sticker on each shelf on the long sides of the fixture. Illustration 1 has one sticker placed on the end of the fixture for all of the merchandise on the end. Illustration 2 has one sticker placed on each shelf on the end. NOTE: The boxes on the floor in Illustration 1 can be moved in front of the end and be included on that sticker, or if space is available, they can be moved and placed on a shelf.

For every 4 foot section or using the natural breaks of the fixture, place one sticker for every one to two shelves. 14 14 Enter Sticker Ranges Before or during the Inventory, you will need to key the range of stickers that were used in the store. This will be done via the Hart website. 1. Log on to 2. Click on the Client Login button located on the upper right side of the screen. 3. Enter your User Name and Password (both entries must be in lowercase) and press ENTER, or click on the OK button. (Your User Name and Password will be provided to you prior to your Inventory.) 4. Click in the Enter Store Number field and enter your store number. 5. Press TAB to advance to the Enter Password field. Enter your storespecific password and press ENTER or click on the OK button. 6. You will now be connected to the Inventory Overview for your store. Click on Inventory Functions from the menu bar. 7. Click on Enter Sticker Range. Ideally it is only necessary to enter One(1) sticker range for the Sales Floor and One(1) sticker range for the Stock Room. You can key add up to 5 individual ranges for either area. 8. At the field labeled Starting Sticker, key the 9-digit sticker control number of the very FIRST sticker placed in the area you are keying and press the TAB key. 9. Next, at the field labeled Ending Sticker, key the 9-digit sticker control number of the very LAST sticker placed in the area you are keying, and click OK. 10. When finished entering the range, click OK. 11. A confirmation screen will be displayed to indicate that the range(s) have been accepted. Click OK. NOTE: If the range entered was not accepted, an error message will be displayed and the range should be checked and re-entered. 12. When you are finished entering the sticker range(s), press the close button to exit the screen. During the Inventory, you will be able to modify the sticker range(s) based on additions and deletions of sticker numbers used. Each time the sticker range is modified, you will need to follow the instructions noted above.

16 16 Scanning Basics Start a Sticker: After entering the Employee ID, scan the Hart Sticker. Scan Merchandise: After scanning the Hart Sticker, you must scan or key the bar codes for all of the merchandise on that fixture. DESCRIPTION of Item scanned: The Scanner will display the description of the item scanned. MULTIPLE Quantities are allowed: A quantity of one (1) will automatically be accepted, Quantities you must Verify Quantity, hit YES.

17 17 Scanning Basics End a Sticker: After you have scanned all of the merchandise for a particular sticker, you must END the sticker - the Scanner will save all of the data and automatically transmit to Hart. 1. Scan the Hart Sticker again. 2. Select Yes to confirm by either pressing the button on the touchscreen or highlighting it using the arrows and pressing ENT (Enter). Review/Delete Items: 1. If you have lost your place in a sticker, or would like to verify previously scanned items, refer to the Review Grid, located in the center of the Scan Bar Code screen. You can navigate through the Review Grid using the Arrow keys on the Scanner. 2. To delete a scanned item, locate the bar code in the Review Grid using the arrow keys. 3. Highlight the item and press the Delete Item button on the touchscreen. 4. Select Yes to confirm the deletion or press the ENT button.

18 18 Not on File Merchandise: Scanning Basics 1. The Scanner will alert you if a scanned bar code is NOT on the Master File. 2. Try again or move item to Research Area. 3. During the inventory, the person who has been assigned to this area should make every attempt to determine the correct UPC/SKU for the items in this area. Incorrect Keying: NOTE: if a SKU number cannot be found for an item then a Dump SKU has to be assigned to it so the item can be entered into the scanner. Dump SKUs begin with department number 050. To key enter a bar code: 1. Use the numeric Scanner buttons or, 2. Tap the Scanner screen with the stylus and the keyboard will display, as pictured to left.

19 19 Scanning Basics Cancel a Sticker: Press the Cancel Sticker button on the touchscreen and follow the instructions. NOTE: You can only cancel the sticker you are currently scanning. You can not cancel a sticker that was ended. If you keyed information incorrectly, make corrections by pressing the ESC (Escape) button to clear the entire field or BKSP (Backspace) to clear the field one character at a time.

20 20 End a Sticker cont d: Important Messages 3. Write the information displayed on the Scanner screen on the actual Hart Sticker and select OK to continue. Box 1 Employee Number Box 2 Scan Count (Total Units) Box 3 Number of Unique SKUs Once a sticker has been ended, the data is automatically transmitted to Hart. Any data scanned, while out of range of the Access Point, will be saved and automatically transmitted once you are again in range. Pending Transmissions: When you have scanned more than four stickers, check the indicator at the Scan Hart Sticker Screen. The P indicates the number of pending sticker transmissions. If you find that number is not decreasing, bring the Scanner closer to an Access Point. If you still cannot transmit, check the Access Point to ensure all plugs and connections are OK.

21 21 Scanning Basics Review Previous Stickers Scanned: The Scan Hart Sticker screen will display the last six stickers scanned, in the Review Grid pictured left. Create an Empty Sticker: If you encounter a stickered fixture for which there is no merchandise associated with it, you still need to account for the Hart Sticker. Begin by starting a sticker, then immediately scan the sticker again to end the sticker.

22 22 Piece-Counts: Important Messages Based on corporate guidelines, the system will randomly select stickers to be Piece Counted (# of units that were scanned for that sticker). If a sticker has been selected for Piece Count, you will be required to enter a manual count into the scanner after the sticker has been ended. If the entry is correct, the sticker will be ended and the Write On Sticker screen will be displayed. If the Piece Count is not correct, you will be given another opportunity to enter the correct Piece Count. If, after the second attempt, the Piece Count still does not match, the sticker will be cancelled and must be scanned again. NOTES: Tolerances: If less than 100 units are counted there is zero tolerance. If more than 100 units are counted there is a tolerance of 1 (+/-). If the Piece Count entered is within one (+/-) of the actual scan count, it will be considered correct. If 3 out of 4 Piece Counts are not accepted, the scanner will display an error message and require the employee to get a password from their supervisor. This password will be the Supervisor Piece Count Password, 92401, which is also located on Exhibit A in the back of this manual. You will have to key the Supervisor Piece Count Password to proceed with counting.

23 23 Log-Out & Close Scanners End Employee Scanning Session: When an Employee has completed their scanning assignments, they should log-out and return the Scanner to the Manager. At the Scan Hart Sticker screen press the Logout button on the touchscreen and the Scanner will return to the Enter Employee ID screen. NOTE: If there are stickers in the Scanner that have not yet been transmitted, (for example, Employee is logging out while out of range of the Access Point) the Scanner must be brought back into range before the Associate can log out. Close-Out Scanner: If a Scanner is no longer needed for your Inventory, it must be closed out. 1. From the Enter Employee ID screen, press the Close Scanner button on the touchscreen to close the Scanner. 2. Follow the Scanner instructions. The Scanner will return to the Scan Hart ID screen. 24 24 View Reports Throughout your Inventory, you can obtain detailed information by viewing various reports via the Hart website. These reports are very useful in controlling the various aspects of the Inventory. Accessing Online Reports: 1. Log-in to 2. Click on the Client Login button,on the upper right side of the screen. 3. Enter your User Name and Password (both entries must be in lowercase) and then press ENTER or click on the OK button. 4. Click in the Enter Store Number field and enter your store number. 5. Press TAB to advance to the Enter Password field. Enter your storespecific password and press ENTER or click on the OK button. 6. You will now be connected to the Inventory Overview for your store. Your store number and store name will be displayed on the top. Clicking on any of the underlined items will drill-down to more details in that category. 7. You can access additional reports for your store by clicking on All Reports, located at the upper left corner of the screen, and making your selection from the drop-down menu. 8. On the upper right hand side of the report screen is a button to format the report for printing. Click on this link if you wish to print any of the reports. 9. To exit out of one report, click on the CLOSE button at the top of the screen and this will bring you back to the Inventory Overview. NOTE: To Refresh a report you are currently viewing, simply click on the button at the top right of the screen.

26 26 Inventory Overview Types of Reports Displays a summary of your inventory that includes the number of assigned stickers sent to Hart, the number of Missing, Rescanned and Empty stickers, the total units for each area, as well as the total units for the entire store. NOTE: If a Sticker Range was not entered before data is transmitted Inventory Overview will display a message Attention!! You have not entered a Sticker Range. You will need to Enter a Sticker Range before continuing Missing Stickers Report This is the most important report, since it lists all of the stickers that are Missing (have not been scanned and transmitted to Hart). Check the following items on this report: All stickers that are listed under the Missing Stickers column must be either scanned or identified as Not Used. Process any Not Used stickers as Empty Stickers. Reminder: Any stickers that have been scanned but have not yet been sent to Hart may still appear as Missing on this report; therefore, be certain that all Scanners are not displaying any P # s. Cancelled Piece Count Report This report details all stickers that were cancelled due to incorrect Piece- Counts (2x failed). All Cancelled Stickers will need to be re-scanned. Empty Stickers Report This report displays all of the stickers that were scanned as empty. An empty sticker is a fixture which contains no merchandise. This report is used to check that all fixtures that were scanned as empty are actually empty fixtures.

27 27 Types of Reports Sticker Summary Report This report displays the total units scanned on each of the stickers sent to Hart. Once all of the stickers have been sent to Hart, this report will display the Total Units in the entire store. Clicking on any sticker number will drill-down to the Sticker Detail Report for that sticker. This report can be viewed by 1) Backroom, 2) Sales Floor and 3) ALL Areas. Rescanned Sticker Report This report lists all of the stickers that were rescanned (scanned more than once). The most current scanning of a sticker is always the one that is accepted. It is indicated by three asterisks (***). Clicking on the Date/Time of a particular version of a sticker will drill-down to the details of that version of the sticker. NOTE: If you see that an Associate is continually rescanning stickers, especially if there are multiple occurrences of the same sticker, you should follow up with that Associate to see if he or she needs additional instruction. Device Activity Report This report displays the date/time, device number, function (registered or sent data) total stickers, total units and the Associate using the device. Item Locator Report Search for specific bar codes or item numbers and stickers associated with item. On Hand File Control Report This report lists the Total On Hand Records Accepted, Total On hand Quantity, On Hand Quantity of Zero (Memo) and Negative On Hand Quantity (Memo).

28 28 Types of Reports Productivity Analysis Report This report will list the units scanned in the Back Room and Sales Floor, the scanning time for each scanning employee in those areas, as well as the total units and total scanning time. Stickers Scanned by Employee This report can be printed at any time to list all of the stickers that were scanned by a particular employee. The scan count (total units) for each of these stickers is also listed on the report. This report is helpful when you have identified an employee that was not following the proper scanning procedures. You can use this report to check all of the stickers that they have scanned. Sticker Detail Report This report prints a line-by-line detailed listing of every item on an individual sticker - in the order in which it was entered. This report is a valuable tool for ensuring that each employee is following the proper scanning procedures. You can view the report in 2 ways: Go to the Sticker Summary and click on the selected sticker, or select the Sticker detail from the Reports Menu and key the 4-digit sticker number. Department Summary Report This report lists the Total Units and Extended Dollars for every department, even if 0 (zero), and the total of all departments for the entire inventory. The report can be viewed by area: 1) Back Room, 2) Sales Floor or 3) All Areas. Merchandise in Backroom Not On Sales Floor report This report will list the UPC s that were not scanned on the Sales Floor. The report provides the UPC (Bar code), SKU, Style, Description, the sticker number the item was scanned on, the sequence number on the sticker, the units and dollars scanned for that item.

29 29 Types of Reports SKU Variance Report The SKU Variance Report will print out the differences between the physical count (actual) and the system count (On-Hand file) that exceed the acceptable parameters. Before the report can be reviewed the On Hand File must be processed and the Internet reports updated. Your Corporate office sends the On Hand files to Hart Systems on Wednesday morning to be processed. Once the files are received and processed the SKU Variance report on the Internet is updated with the On Hand information. Historically this is completed by approx. 6:00 am. Before viewing the report, it is recommended you print it after all of the merchandise in the store has been scanned and downloaded. This will give you the most accurate reporting of any possible variances. The report is printed by individual SKUs that have variances, and is sorted by the highest dollar amount regardless if it is positive (overage +) or negative (shortage -). Variance Parameters The variance parameters for the report have been pre-set by your Corporate Office and the threshold is based upon extended dollars by SKU. Any SKU with a variance (shortage/overage) of the dollar amounts of the Extended Retail Dollars listed below will appear on the SKU Variance Report. The thresholds listed below are also the five different report options on the SKU Variance Report : $ 1.00 to $ $25.00 to $ $50.00 to $ $ to $ $ and above.

30 30 Close Inventory Once you have finished scanning all of the merchandise on every fixture in your store and all of your data has been sent to Hart and you have reconciled all of the SKU variances, you can prepare to close the Inventory. You should review reports via the Hart website and reconcile your Inventory results. You should have NO Missing Stickers. The system will not allow you to close the Inventory with missing stickers. Close the Scanners As the Inventory is coming to completion and you no longer need the scanners, you can start to close the Scanners. Before closing the Scanners, make sure that you have: Finished scanning all of the merchandise on every fixture in your store. Confirmed there are no Pending transmissions in the Scanners ( P # on screen). The scanner will alert you if you try to close with Pending P s.

31 31 To Close the Scanners: Close Inventory At the Scan Hart Sticker screen select Logout then answer Yes. At the Enter Employee ID screen select Close Scanner answer Yes. The Scan/Key Hart Control ID screen is displayed. (Scanner is closed). Close the Inventory: Go to Inventory Functions When you have verified that the Inventory has been completed, you can close the Inventory via the Hart website. 1. At the main Inventory Overview screen, Select Inventory Functions from the blue menu bar on top and click on CLOSE INVENTORY. 2. Follow the instructions and prompts that are displayed. If there are any Missing Stickers or Stickers Outside the Range, a message will be displayed informing you that one or more of the above conditions exist. Click the Close button at the top right corner and you will return to the Inventory Overview. You must resolve these issues before you can close the Inventory. Contact Hart Client Care for assistance. 3. Once the Close Inventory process has been completed, click the refresh button on the Inventory Overview and the Inventory status will be displayed as Finished and your Inventory Close Confirmation Number for the Inventory will be available. 4. Complete any required information on the Hart Control ID Form. This is your official documentation of this Inventory.

32 32 Ship Equipment Back to Hart After you have completed your inventory, please box all the equipment back into the same box Hart delivered. A pick-up from FedEx is scheduled for Thursday morning after your inventory. Please find the FedEx shipping labels on the underside of the box flap, and affix the shipping label to send the box back to Hart Systems. Tape the box closed. Remember to include all Scanners and chargers.

33 33 PROBLEM/QUESTION What are the major talking points when training Store Employees? SOLUTIONS & TIPS Listen for any error tones. Focus on your area and pay close attention for accuracy. Log-off from Scanner when finished with assignments, or taking a break. Can I use the touchscreen to answer pop-up messages on the Scanner? Yes, you can use the touchscreen or the ENT button to answer pop-up messages on the Scanner screen. What if the Scanner is not updating and sending sticker transmissions? Check the Access Point. It s possible it was disconnected, or check the P numbers on an Associate s Scanner and have Associate walk closer to Access Point to transmit. How do I know if a Scanner has transmitted successfully? The P will indicate pending transmissions. If there are no P# s on bottom of Scanner screen, then all data has been sent. See page 9. I m trying to scan a UPC, and can t get a read even though I m putting the imager close to the bar code. Don t scan too close to the barcode. The Imager works best 3-4 inches from the ticket bar code. If still can not scan, key enter the bar code on the Scanner.

36 36 KITCHEN COLLECTION PIECE COUNT SUPERVISOR PASSWORD After Ending a sticker, a manual piece count may be required. 1. The employee will count how many pieces are on the fixture, 2. Then, at the Enter Piece Count screen, key in the piece count quantity. 3. If the piece count quantity does NOT equal the scan quantity, the scanner will inform the employee there is an Out of Balance condition. 4. The employee will have the opportunity to re-count and enter the piece count one more time. If it still does not equal the count in the scanner, The sticker will be cancelled and the entire fixture will need to be rescanned. 5. If 3 out of 4 piece counts are not accepted a password will need to be entered. The password must be entered into the scanner. Copyright by Zebra / Hart Systems
