1 Setting Up Audio and Video You are now ready to begin your meeting. You and your students should show up to the session at least 30 minutes early. This gives you a chance to work out any technical glitches you may have and to advise students who may also be experiencing some difficulty. It also allows you to test your and your students audio to make sure it is all working. Starting in Outlook Log into the actual Outlook client on the machine you will be presenting from. Go to your calendar and find the meeting: Clicking on the meeting generates the meeting invitation. Click either the Join the meeting link or copy/paste the location address into the URL line in Internet Explorer (ver 7 or higher). 1

2 Live Meeting Client Once you click on that link it will launch the Live Meeting client. 2

3 You may resize the screen to full screen if you want by double clicking the handle bar (the black bar at the top of the window). Audio and Video Setup At least 30 minutes before the start of class, you need to make sure your audio (and video if you are using video) are working properly. Your screen looks like the image below. You should see a microphone and camera icons (circled) but if you don t, click the Voice & Video button at the top. 3

4 Let s start with audio since that is most important. You will see the microphone buttons with a red circle with a line through it. Don t click either of those yet. Look to the right and you see the double arrows pointing right. (when you rollover those arrows it says more ). When you click on it you will see the following: Now click on Set Up Audio and Video You will see this.click Yes 4

5 That will open the following window. In the grayed out area for speaker and Microphone you SHOULD see the name of your headset (mine is the Logitech USB Headset). If you see your headset, talk into your microphone and you should see the volume bar go across. HERE IS A TRICK: with your fingernail, go ahead and quietly scratch the headset microphone. If you see the volume bar move (and even go into the red), then that microphone is your active one. If you do not see the volume bar move, the headset mic is not the active microphone. 5

6 Now click the test button and you should hear sound come out of each earpiece. MAKE SURE IT IS COMING OUT OF THE HEADSET EARPIECES AND NOT THE SPEAKERS ON THE COMPUTER. THIS IS CRITICAL. Put the headset on and press test you should hear the sounds. Take the headset off and press test.you won t hear sounds unless your head is close to the headset. You are now good to go on your audio. But, what happens if you don t pass the audio tests above? Click where it says Default and select Custom. Now you can select your speakers from the dropdown. You can 6

7 also select your microphone from its dropdown as well. Run the same two tests above, one for checking speakers and the other for checking the microphone until you get the ones that work with your headset. Now click the Next > button to setup your video. You should see the Integrated webcam as your choice and the video in the window. If not, click on the Integrated webcam dropdown menu and select the correct video source. 7

8 Now click Finish. NOTE: YOU and YOUR STUDENTS will have to check your audio and video EVERY TIME before EVERY session. To start your video, click the video icon and select Start My Video 8

9 Video Choices Now you have some choices on video. As the leader you can select whether you want it to focus on whoever the current speaker is OR you can have it focus on yourself. Just go to where it says View Current Speaker and make your selection. Here is a hint if you are doing most of the talking have it focus on you. On the other hand if you going to have students participate, let the system focus on the current speaker. By focusing on the current speaker the camera view shifts to whoever is talking. There is a slight (under a second) delay while the system ascertains where the audio is coming from. NOTE: in the current version of Live Meeting everyone will get to see who is talking (in the video window) EXCEPT the person who is talking. If you are talking you won t see yourself, rather, you will still see the image of the last person who talked immediately prior to you. Everyone else, however, will see you. The thinking is, you don t need to see yourself, however the downside is that you aren t sure you are transmitting to your audience since the video is the visual cue. By the way, you will always see yourself in a smaller preview window in the lower right of the video window. That is so you can continue to make sure that you are in frame. The name of the current speaker will show immediately above the video window. 9

10 Using Audio Now to get your audio working, click on the microphone icon above the name and uncheck the mute box, OR find the same icon just below the handle bar and simply click it. Either approach unmutes audio and people in attendance can now hear you. It is a good idea if you are not talking for long periods of time to mute your microphone. That prevents your sneezing or coughing from grabbing the video back and displaying your cough to the class. Your students should mute their microphones too unless they are going to speak. To mute the mic either select the mic icon at the top of the video window and check mute or find the mic icon just below the handle bar and click it. Last revised: :JSG 10
