3 INTRODUCTION PetPoint is proud to announce that Mobile Inventory now includes To-Do List and a Shelter Walk features! The Mobile Inventory Site is available for organizations who have signed up for the Advanced Productivity addon suite. With these new features, you may access your PetPoint information through smartphones and tablets in a streamlined and functional way to complete tasks such as updating animals, inventory and to-do lists. For more information on purchasing this add on, contact enterprise@petpoint.com As part of an upcoming deployment, PetPoint will release the changes and enhancements to your database that are outlined in this document. TO DO LIST A new option has been added on the main menu of the Mobile Inventory Site for To-Dos. This list provides one click access to a list of all animals in all locations that have scheduled Medical, Behavior, or Care Activity Items. The To Do list contains two options: Past Due or Due & Upcoming. Click to see the list, or Search for an Animal using the filter bar at the top of the page. Mobile Inventory Updates Page 3 of 11
4 You can also click the column header to sort the list by Animal Name, Animal #, To Do Type, or Date. The default sort is by To Do Type, with Medical at the top. Click any To-Do to navigate to the screen where the task can be Completed or Cancelled. SHELTER WALK In addition to setting up your Mobile Inventory site, specific Shelter Walks can be set up and performed by staff members to whom they are assigned. The new Admin Setup page, Mobile Inventory, is found by going to Admin Options and is accessible by Administrators and Jr. Admin Setup users. Mobile Inventory Updates Page 4 of 11
5 SHELTER WALK SETUP NAME & ORDER OF LOCATIONS In your shelter, locations/sublocations are listed in an order that is meaningful to you. You may create a new order, that is meaningful for the individual doing the shelter walk, using the Shelter Walk Setup. This can be helpful if the locations they visit follow a path that is meaningful to their specific roll (for example, the vet tech visiting all animals for a brief check, or the exotic animal specialist doing a wellness check on the exotic animals only.) To start building a walk first provide a Shelter Walk Name, this will be what the user selects from the Mobile Inventory Site on their tablet or device. Begin by selecting the first Site, Location, and Sublocation combination where the walk will begin. Provide this with Order # 1. You may reorder the walk at any time by changing the Order #, much like the Admin Options > Add/Edit Field Value screens. There may be locations that you omit from a walk entirely, such as offsite locations or foster care. Click Add once all required fields have been selected and filled in. Click Add Shelter Walk to save the locations that you have added so far. This will add the Shelter Walk Name to the top grid, and allow you to return to this screen at any time to update the setup. 6 At this point, the Shelter Walk has been added to the mobile site, but Person & Schedule details need to be set up in order for any users to be able to perform the Shelter Walk. DUPLICATE SHELTER WALK The Duplicate Shelter Walk button is a short cut to create another Shelter Walk out of the same selections made in the Shelter Walk that has most recently been Added or Updated. This can be a quick way to re-add all of the Site/Locations/Sublocations that have been added in a previous walk under a different name and with different Person & Schedule setup. They can then be reorganized using the Order #, or added to / removed from. PERSON & SCHEDULE SETUP Shelter Walks may also be assigned to Person Records on a schedule, to be sure that walks are completed on time and no defined walks are missed. To allow people to be selected for a Shelter Walk, they need to have the Person Association of Mobile Inventory added to their account. Any user may do this on the Edit Person screen. Select a Person from the drop down menu, then check the rows for each of the days the walk will be assigned to them. Indicate what time the walk should start. Then click Add Person & Schedule. Repeat the steps for any Person that needs to be assigned to this walk. Mobile Inventory Updates Page 6 of 11
7 In order to perform a Shelter Walk, the Person logged in must be the same Person listed in the Assigned to section of that walk. HOW TO PERFORM A SHELTER WALK ON THE MOBILE INVENTORY SITE All users should bookmark the following link to access the Mobile Inventory site from their mobile device. LOGIN PAGE The standard Shelter ID, User Name, and Password that are used to log into PetPoint are also used to log into the Mobile Inventory site. To perform a Shelter Walk, the login used must match a Person that has been added to the Assigned to section of that walk. Mobile Inventory Updates Page 7 of 11
8 MAIN MENU After logging in, the main menu contains these four choices: Locations, To-Dos, Shelter Walk, and Exclusion List. The Shelter Walk and Exclusion List options work together. The process is: The Person performs the Shelter Walk they have been assigned. The animals they do not check off while completing the walk must be marked as an exclusion before the walk can be ended. The Exclusions List is then available from the main menu for any user to review. SHELTER WALK The Shelter Walk page contains all Shelter Walks set up for your organization. Click on a specific walk to see details of that walk. The Shelter Walk locations are all displayed. The Start button at the top of the page must be clicked to begin marking the animals as present or as an exclusion. Mobile Inventory Updates Page 8 of 11
9 Click through each location. If the animals in that location have To Dos the indicator for the type of To Do, Medical, Behavior, or Care Activity, will display near their name. During the walk, you may click on an animal record to do anything that is available in the Mobile Inventory site, such as upload new pictures or mark scheduled To Dos as completed. Mark each animal as present/completed by checking the green check box. Move the animal to the exclusions list by checking the red X box. Mobile Inventory Updates Page 9 of 11
10 When all locations have been opened and all animals are either marked as checked or moved to the exclusions list, you should End the walk. ADDITIONAL ENHANCEMENTS VIDEOS PetPoint users may also upload Videos directly from the animal s record through the Mobile Inventory Site. Click the Video button on an animal details page for any animal to see their existing video data or upload a new video for their account. Videos can be viewed along with adoptable animal s records on Petango.com or through the I-Frame. More information about videos can be found in PetPoint Online Help. 11 Choose a file and click Upload Video to attach a video to an animal s profile. Or you may update the Existing YouTube Video box with a new video ID (from an existing YouTube video), and click Update Video In PetPoint. Finally, click Watch your video if you would like to be navigated to the YouTube app to review the attached video. This may not be available right away if the video you recently uploaded is still being processed. Mobile Inventory Updates Page 11 of 11
