1 Creating a VEX IQ Event in Tournament Manager (TM) I. Download and install the latest version of Tournament Manager II. III. IV. A. Choose Components 1. Select Desktop Shortcuts if desired Launch Page A. Select an option to begin using the VEX Tournament Manager 1. Create a new tournament 2. Open an existing tournament 3. Connect to a remote server B. Select: Create a new tournament 1. Select a name for the tournament 2. If necessary, select a folder to save the file to 3. The default tournament name is My Tournament 4. This file is known as a db file Welcome page A. Click Next Program Type page A. Select the type that matches your tournament B. For this document, select VEX IQ Challenge followed by Next V. Tournament Type page A. Four types/sizes 1. School Scrimmage a) Small, unofficial, in-school tournament 2. Small Tournament a) One field tournament b) Most options will automatically be set 3. Medium Tournament a) Two or more field tournament b) Default settings for a two-field tournament will be used c) There will be the option to make changes to the default settings 4. Large Event/Expert a) Used for large tournaments b) Will provide complete control of all configuration options B. Select the size of the tournament 1. Setting up a Small Tournament will be used for this document 2. For a 1 field tournament, select Small Tournament followed by Next

2 VI. VII. General Setup A. Event Name 1. The event name will be on printed reports and displays B. Tournament Manager Password 1. A password is needed to connect displays to the TM server. 2. Enter a password that can be used on all computers of the network. C. RobotEvents.com Event Information 1. Information in this area allows events listed on RobotEvents.com to upload event results and automatically download the event team list. 2. Enter the Event Code and TM Code if available. League Play A. Mark the checkbox if the event is a part of a league VIII. Game Scoring Configuration IX. A. Ringmaster is the default selection for the season. B. The last 4 games can be selected if desired. Team Setup A. There are 3 sources to select a team list. 1. Download from RobotEvents.com (RE) 2. Use CSV file 3. Simply choose number of teams B. If the RE team list is not available, select the 3 rd option. X. Team Setup XI. A. Select the number of teams that are competing in the event. B. This number will be automatically set when using the team list from RE Final Matches Setup A. This setting will determine the number of alliances in the finals matches B. The default number of alliances is 5 XII. Field Set #1 A. Choose a name for this field set if desired B. The default name is Field C. Fields can be added/removed to this field set if desired. D. Each field must have a unique name E. The default name is Main Field

3 XIII. Skills Challenges A. Skills Challenge Fields 1. Select the number of dedicated skills challenge fields. 2. The default is 0 B. Maximum Skills Challenge Attempts 1. Set the number of skills challenge attempts. 2. The default is 0 XIV. Pit Display Setup XV. A. Multiple pit displays can be set. B. There are 7 displays to choose from 1. Rankings 2. Logo 3. Alliance Selection 4. Elimination Bracket 5. Skills Rankings 6. Schedule 7. Inspection C. The default display name is Rankings Schedule Setup A. This is where you configure the tournament schedule. B. Blocks of time known as Schedule Blocks are added. 1. A Schedule Block is a period of time which either practice or qualification matches are created. 2. Multiple blocks for each type of match can be created on different days. 3. Each schedule has a Match Cycle Time setting 4. The Match Cycle Time indicates how frequently matches will be scheduled. 5. A setting of 5 minutes, 0 seconds means that a new match will begin every 5 minutes. a) A good use of schedule blocks is to configure a block for the first few hours of the event with a longer match cycle time, and then have subsequent blocks move to shorter cycle times. b) This would allow volunteers and teams to adjust to the flow of the competition and stay on schedule. 6. To create a lunch break, schedule a morning block that ends at the beginning of your lunch period and an afternoon block that begins when the lunch period should end. C. Below the schedule window are two indicators that will display the number of matches per team. 1. The goal is to have 8 matches per team for the event.

4 XVI. Create Matches A. There are two button. 1. Create Practice Matches 2. Create Qualification Matches a) These buttons cause Tournament manager to begin computing a match schedule for the teams for practice and/or qualification rounds. b) The process attempts to find a balance between teams playing in matches with different partners as much as possible and not having the same team play in 2 different matches that are too close together leaving little time for repairs from the previous match. 3. Click each active button to generate the match schedule for the event. a) After matches are generated, the number below each button will indicate how many matches were created. XVII. Awards Setup A. This page contains a list of tournament awards that may be given out. B. Each award can be a Team, School/Club, or Individual award. C. This page specifies which award will be given out at the event. D. The awards page is pre-filled with typical awards given at VEX Robotics events. They are: 1. Excellence Award 2. Teamwork Champion (2 awards) 3. Robot Skills Champion 4. Design Award 5. STEM Research Project Award E. Awards with checked boxes will be available at the event. F. Awards listed on this page MUST agree with the awards listed in RobotEvents for the event. XVIII. Web Publishing A. This page allows results of the event to be posted on the Internet in real time as the event progresses. B. Data is published to RobotEvents.com and to VEX Via C. The Tournament Manager computer must be connected to the Internet 1. Check the Matches, Rankings and Skills Challenges boxes to send data to the Internet. D. Data will not be posted live if the boxes are left unchecked. XIX. Setup Wizard Complete A. Click Finish to close the Wizard and open the Tournament Manager Main Window. B. If the Setup Wizard is needed to be re-run, choose Tools Run Wizard from the main Window menu. This will clear out the results of any saved matches. C. To modify settings without clearing out match results, go to Tools Options from the Main Window menu
