2 The Exact Change Report Press Using the report editor to create custom reports The Report Press for Exact Change is a custom report editor that allows you to create your own reports, invoices, labels, and so forth. This document assumes that you re familiar with the Exact Change program. The report editor is a program that s accessible through the Windows Start menu. Under Exact Change is the option Exact Change Report Press. The report editor screen is a template for any report you create. You can add components such as data or images and position them however you d like. Once you ve create a report you can add it to Exact Change so that it appears right along with all of the reports that are already included in Exact Change. All of the reports in Exact Change were created with the report editor, so you can edit any of them and see exactly how they were made. Page 1

3 Overview While the report press screen may appear somewhat daunting at first, the process of creating a report is actually quite simple. The process begins by selecting the data that you want to include in the report. For example, you may want to include only coins that meet certain criteria. The report press is a banded report editor, meaning that reports are divided up into bands, or sections, each of which prints at a different position. A title band prints at the beginning of the report and a summary band prints at the very end of the report. A Header band prints at the top of every page while a footer band prints at the bottom of every page. The detail band is the workhorse of the report because it prints once for every coin that is included in the report. A report may contain all of these band types or it may include only a single band. Notice that when you first open the report press, three bands (header, detail & footer) are displayed. The diagram at right shows how the bands are laid out in a typical report. Each type of band is laid out in the report editor only once. For example, there s only one detail band, but it may be printed many times in a report, once for each coin. Understanding the purpose of each type of band will enable you to place data in the printed report exactly where you want it. For example, since the footer band is printed at the bottom of every page, it s a great place to put a page number. The report components each display one piece of information about the coins in your collection. For example, one type of component displays text such as the coin s year and mint mark, while another component can display that same information as a bar code. Since the detail band is printed once for each coin, any report component you place on the detail band will create a column of data on the report. The location where you place a component on a band determines where it will print on the report. For example, if you place the component on the left side of a header band, that component will be displayed in the upper left corner of every page. You can save your report at any time and it will automatically appear in Exact Change, just like any of the reports that came with Exact Change. Reports are saved into a self contained file which you can then share with other Exact Change users if you wish. The Report Press has many advanced features which are not required for the creation of most reports, but which provide the flexibility to create powerful reports. For example, the calc tab is used to embed Pascal programming code right into the report. This adds nearly limitless flexibility to any report; but it s a feature that few users need concern themselves with. These advanced features help avoid barriers where a report editor simply can t be made to do what you want to accomplish, but they should not intimidate you from utilizing the report editor to create your own custom reports. 4 Selecting what type of data should be included in a report The first step in creating a report is to select the basic type of data the report will contain. The three primary options are coins, series, and prices. For example, if you re creating a report that lists all the coins in your collection you would base the report on coins data. The report would then print one line (or 2x2 insert, picture, etc.) for each coin. If you re creating a type list you would use series data. This report would print one line for each type of coin in your collection. To create a price list you would use prices data so that the report includes one line for each entry in the price list, regardless of weather that particular coin is in your collection. To select the data type for this report, click on Report in the menu at the top of the screen. In the menu that appears, select Data. Just select Coins, Data or Pricing and then click OK. The report you create will include one line (or label, or whatever) for each Piece of data. For example, if you select price list data, the report will include one line for each column of the price list in the selected folder. That is, the folder that is selected in Exact Change when you print the report. If you select folders data, then the report will include one line for each folder within the selected folder. If you choose coins data, then the report will include one line for each coin in the selected folder. Of course, the type of data that you select also determines what information you can include in the report. For example, when using folders data you can include the date range in which the series was minted (i.e ). If you re using coins data, you can include the coin s value. Filtering the data to be included in the report. Once the basic data type for the report has been selected, you ll want to define some rules to distinguish which data is actually included in the report. For example, if you re using coins data you may want to include only coins that you have and not coins on your want list. No mater what type of report you create, Exact Change will always include only information pertaining to the series that is currently selected on the Exact Change series editor. For example, if the Quarters series is selected when the report is printed then Exact Change will automatically include only coins, series or prices that are in the Quarters series or a sub-series such as Washington Quarters. To filter the data click on Parameters in the menu at the top of the screen. In the menu that appears, select Filter data. The window that appears at this point will look different depending on weather the report is based on coins, series or prices data. Page 3

5 Using coins data When creating a report based on coin data, the report will traverse through each coin in your collection and typically will print one line for each coin that should be included in the report. You could base your report on coins data if you wish, for example, to create a report that lists all the coins in your collection. The report entitled Collection list is an example that uses coin data. When you select to use coin data in your report, the Filter Data window displays a set of choices that allow you to specify exactly which coins you want to include in the report Include only the one coin selected on the coins page When this option is selected, the report will always include just one coin, the coin that is selected on Exact Change s Coins page when the user prints the report. Include entries of these types This option allows you to specify which coins will be included in the report. When the report is printed, Exact Change will take all the coins in the currently selected folder (and any folders within that folder), Filter out any coins according to the filters you define, and print the list in the sort order you specify. The Boxes labeled Have, Need, Sell and Sold allow you to specify which coins should be included. A check in the box specifies that coins with that value should be included. For example, a checkmark in the Have box indicates that you want to include any coins with a Have value of 1 or more. The report editor won t allow you to uncheck all these boxes at the same time, since that would mean that no coins would ever be included in the report. You can, however, select more than one box. Include only coins stored here: The Checkbox and list box labeled Include only coins stored here are used to restrict the coin list to just those coins in the collection which have a certain value in the coin s Stored in field. If this checkbox is not checked, this filter is not used. So in order to utilize this filter you must check the box and select a location. The Deliveries Pending report is an example of the use of this filter. It filters out all coins except those where the stored in field says Delivery Pending. Mint errors This option is used to restrict the coin list to include or exclude mint errors. This is useful for reports that list mint errors, but it s also useful in cases like the Series Checklist report where you don t want to count a mint error as a typical example of a given year, mint and variety. Coin tracking This option is used to restrict the coin list to include only coin which are maked as tracked in the Exact Change database, or only those that are not marked as Tracked. This is useful in reports like 2x2 inserts, where you want to be able to select certain coins out of your collection and print a label for only those coins. Select the order to sort the coins in The Sort order boxes provide the opportunity to specify the order in which the coins should be listed. You can sort on up to six fields. The most common sort order is by Year, mint, and variety. This would cause the report to sort all the coins by year with the oldest year first. Each coin within the same year would then be sorted by mint. Coins of the same year and mint would then be sorted by variety. You don t have to sort by six columns. If you want to sort by only one or two columns, just leave the extra sort boxes set to None. If you don t specify any sort order at all, the coins will be listed in whatever order they re currently displayed on Exact Change s Coins page. Add missing coin varieties to the report with zero quantities If this box is checked, Exact Change will add records to the report as needed to assure that every Year, Mint and Variety for the selected report is included. These added records will show a have quantity of zero. This can be useful in reports where you want to include the missing varieties; you may want to show the dates for which you have no coins in your collection. Page 4

6 Using price list data When creating a report based on price data, the report will traverse through the price list and typically will print one line for each year/mint variety that exists in the price list. That is, it prints one line in the report for each column in the price list for the currently selected series. You could base your report on price data if you wish, for example, to create a checklist report that lists each variety and indicates whether you have that variety or not. The report entitled Series checklist is an example that uses price data. You ll notice that this data is a little different from the coins data because, while coins data generates a line for each coin you ve entered into Exact Change, price data generates a line for each type of variety of coin, regardless of whether you have any such coin in your collection. When you select to use the price list data in your report, the Filter Data window displays a set of choices that allow you to specify exactly which price entries you want to include in the report. Include all price entries in the report This option indicates that each column in the price list should be represented by a line in the report; that no price columns are filtered out. Include only prices for coins you have This option indicates that the report should include only those price list entries for the varieties that exist in the collection. In other words, Exact Change will include one line in the report for each column in the price list when the collection includes at least one coin of that variety with a Have value of one or more. This is similar to producing a report based on coins data with only the coins with a Have value of one or more. It s not quite the same, however, because this option would include only one line in the report where duplicates exist. Include only prices for coins you don t have This option is exactly the opposite of the previous option. The report will include one line for each column in the price list, except for those varieties that exist in the collection. Combine grade modifiers into a single entry A check in this box indicates that the report should ignore different grade modifiers as it traverses the price list. It will then include just a single line for each year, mint and variety combination, regardless of the number of different grade modifiers that exist for that combination. This option is useful when creating checklists, so that each year, mint, and variety combination is listed only once. Page 5

7 Using folders data When creating a report based on folders, the report will traverse through the series page on Exact Change and typically print one line for each folder it finds within the selected folder. You could base your report on folder data if you wish, for example, to create a report that summarizes your holdings for each series of coin. The report entitled Type collection checklist is an example that uses folder data. When a report uses folders data, the folders are listed in the same order as they are displayed in Exact Change. When you select to use the folders data in your report, the Filter Data window displays a set of three choices that allow you to specify exactly which folders you want to include in the report. Include all folders This option indicates that the report should include a line for each folder in the selected folder. If you select Entire collection and then print this report, it will include a line for each folder defined in Exact Change. Include only folders with prices in them This option indicates that the report should only include those folders that contain a price list. For example, the Lincoln cent folder would not be printed, but the Wheat cent and Lincoln memorial cent folders would. The folders which contain other folders, but do not themselves contain any price list entries, are filtered out and excluded from the report. Include only folders with coins in them This option indicates that the report should include only those folders that actually contain coins in the current collection. This causes the report to detail only the coin types that the collector is actually collecting. Page 6

8 The Design Tab The Report Press for Exact Change is a Banded report editor. A band is a section of a report that can contain printable information. There are several different types of bands, each with a unique purpose. The five basic band types are: Title band The title band is a strip that goes across the entire page at the top of the report s first page, and only the first page. The title band, as it s name suggests, is typically used to display the title of the report. Header band The header band is a strip that is displayed at the top of each page. Notice that this is different from the Title band, which appears only atop the first page. A header band is typically used to display labels at the top of columns. For example, if your report will be a listing of coins, you may have a column in the report that contains the year each coin was minted. In that case, you could display the word YEAR at the top of the column of years. If both a title band and header band are used in the report, the title band will appear above the header band on the first page. Detail band The detail band is the workhorse of the report. While the other bands may, or may not be, included in a report, you ll probably never create a report that doesn t include the detail band. The detail band is repeated once for each item to be included in the report. For example, if the report lists coins and there are five coins in your collection, then the detail band is printed five times, once for each coin. Summary band The summary band is a strip that is printed right after the last detail band. As it s name suggests, it is typically used to display grand totals. Footer band The footer band is a strip that is displayed at the bottom of each page. It is often used to display page numbers on each page of the report. There are three additional types of bands, which are covered later, that provide more advanced functionality. But these basic band types are used in a majority of all reports you ll probably create. Each band can contain a number of Report components. These components each produce some type of printed output on the report. For example, the label component displays fixed text. So, you can create a label component, place it in the header band, and set it to say My Report. When this is done, each page of the report will say My Report at the top of the page. There are many different types of report components that can be placed on the report bands; each produces a different type of output on the report. The two basic groups of components are Standard components and Data components. The standard components display information that you provide while designing the report. The data components, on the other hand, display information based on the contents of your collection. For example, the standard label component may be set to say hello. It would then write the word Hello on the report. The data label component is linked to some information in the database. For example, if it s linked to the coin year field, it will display the year each coin was minted. Generally, each type of component has a standard version and a data version. Page 7

9 The Standard components The label component displays a fixed bit of literal text. When this component is selected, you can enter any text in the Set value box at the top of the screen. The text you entered is displayed on the report wherever this component is placed. This component is often used to display the name of each column at the top of each page. The memo component, like the label component, allows you to display literal text on the report. The memo component is different, though, in that it allows for multi-line text. This component could, for example, be used to display a paragraph of Fine print on an invoice. Since this component displays multiple lines of text, it provides a text editor in which to enter this text. Click on a memo component with the right mouse button and select Lines from the menu that appears. The RichText component is similar to the memo component, but allows you to change fonts and font colors within the literal text. Since this component displays multiple lines of rich text, it provides an editor in which to enter this text. Click on a RichText component with the right mouse button and select Edit from the menu that appears. The System Variable button displays either the current date and time, or the current page number. This component can be used to display the date and time the report was printed, and to include page numbers on the report. The image component allows you to display a fixed image on the report. You may wish to use this, for example, to display a company logo on a report. The shape component displays basic shapes such as circles and squares. It can be used, for example, to frame the title of a report. The line component displays a horizontal or vertical line. This component is often used to display lines between columns in a report. The bar code component displays one of many types of bar codes. The checkbox component displays a box which can be checked, or unchecked. This is the non-data version of this control. So, you specify whether it should be checked or not while you re creating the report. Notice that there is also a data version of this component which is checked or not, depending on some status of your collection. To check or uncheck a CheckBox, click on the component with the right mouse button and selected Checked from the menu that appears. Page 8

10 The Data Components The DBText component is similar to the label component, but it displays information about your collection, rather than displaying literal text. For example, a DBText component could be configured to display the name of the folder currently selected in Exact Change. The DBMemo component displays multi-line data about your collection. For example, it can be used to display the notes entered about a coin. The DBRichText component displays formatted memos from the database. The only formatted memo in the database is the information in the Info tab of Exact Change s series page. Therefore, this component would be used if you want to display this information in a report. The DBCalc component displays calculations based on the data within your collection. It can be used, for example, to display report totals at the bottom of the report. The DBImage component displays either the obverse or reverse image of a coin, or an image of a receipt attached to a coin. The DBBarCode component displays a bar code that represents data from your collection. You may use this, for example, to encode the inventory number when printing holder labels. Exact Change will automatically go right to a coin when you scan a bar code. The DBCheckBox component displays a checkbox whose state is determined by data within your collection. The Collection Checklist report uses this component to indicate which coins you have and which you don t. Page 9

11 Creating a sample report We ve now covered the basic information we need to create custom reports. In the Report menu, click on Data and select the coins data. The new report will now include one line for each coin. Now click on the Parameters menu and then click on Filter Data. We re going to create a list of coins that we have, so select Include entries of these types. Place a checkmark in the Have check box and make sure that the Need, Sell, and Sold boxes are not checked. We want to include coins weather or not they re mint errors and weather or not they re marked as tracked coins, so leave both of these options set to the default value of Include all coins. We want the coins in this report listed in order of year, then mint, then variety. If the sort order differs from this, just change the drop-down boxes to select this order. On the design page, click the label component and then click somewhere on the header band. The new label component appears where you clicked We don t really want our report to say Label 1 on each page. In the upper left corner of the report editor is a box (Which also says Label1 ) which allows us to edit the text in our label. Click on this box and change the message to My First Report. Your Header band will now look something like this At this point you can see what the report looks like by clicking on the Preview tab. The report editor will display a blank piece of paper with the words My First Report near the top. Page 10

12 The real purpose of a report is to display information about your coin collection, so lets put in some data from our collection now Click on the DBText component and then click somewhere in the detail band. The DBText component appears where you clicked. At the top of the screen, two boxes appear. The first box indicates the data that your report is based on. The second is used to select what data you want to display in the DBText component you just created. Click on the arrow button beside this box to see a list of your choices. Select Coin name from this list. The DBText component will now say Barber dim. It s not big enough to display the entire name of the coin so we ll need to adjust it. Click on one of the black circles that surround the DBText component and drag the circle around with the mouse button held down. As you move the mouse, the size of the DBText component changes. When you re happy with the size, release the mouse button. We can also configure the DBText component to automatically change size so that it s always just big enough to display the text. That way, when we get to Barber quarters the box will grow in width to accommodate the text. Click with your right mouse button on the DBText component, and a menu will appear beside the component. Click on the Autosize option in this menu. The DBText component will resize itself so that it s just the right size to display Barber dime. When we run the report on Barber quarters, it will grow wider to accommodate the longer text. Sometimes, like in this example, you ll want the box to autosize so that it fits whatever text it needs to display. Other times, like when you re printing a data in columns, you ll want to specify exactly how wide a DBText component should be. In that case you may make a column two inches wide. If the text is too wide to fit in that space, the excess is chopped off so that it fits within the column. When you re editing a report, the Report Press uses example data, that s why our DBText component says Barber dime. In Exact Change, it would say Lincoln Cents if the Lincoln cent folder was selected, or Buffalo nickels if that folder was selected. You can reposition any report component by simply clicking on it and dragging it to a new position. Move the DBText component to the upper left corner of the Detail band so we ll have plenty of room to add additional information about each coin. Click on the Preview tab to see how things are coming along. The Example data that the report press uses has 10 identical coins in its collection. So you should see My First Report displayed at the top of the page and then Barber dime repeated down the page 10 times, once for each coin (the sample collection used in the report editor contains 10 barber dimes). 13 There s quite a bit of space between each coin, this is because our detail band is pretty tall. We want to show each coin single spaced, so we need to make the detail band shorter. Click on the gray bar below the detail band, the one labeled ^ Detail. Drag the bar upward until the bar is just below the DBText component. The detail band will now look something like this Click and drag this bar to change the height of the detail band Now take a look at the preview page and you ll see that each of the coins is listed much closer together. Let s add some more data about each coin. Click on the DBText button and then click in the detail band to create another DBText component there. In the data selection box at the top of the screen, select Year and mint. The new DBText component will now say 1893-CC You can continue to add DBText components to the detail band as you wish, each giving some information about the coin. The available choices are listed and described at the end of this section of the manual. The position of the DBText components within the detail band determines where the data will appear on the report. If you wish to rearrange the columns in a report, simply reposition the DBText components into the order that you want them to appear. Since the detail band will be printed once for each coin we have, the DBText component is actually creating a column on the report. Now let s use the System Variable component to add a page number to the report. Click on the System Variable button and then click somewhere in the footer band. A system variable component can display today s date and/or time, or the current page number. By default it shows the date so we ll want to change that. Just as you select data from a database when you create a DBText component, you can select system information in the box in the upper left corner of the screen. Select PageSetDesc from this list. Your system variable component should now say Page 1 of 1. Look at the preview page now and you should see the page number at the bottom of the page. Regardless of how many times the detail band is printed, the footer band is always printed at the bottom of each page so our page numbers will always appear there. Now, place a System Variable component in the title band so that you can display the date and time the report was printed. Dates and numbers can be displayed in a variety of different formats. For example, a date could be displayed as 1/1/00 or Monday, January 1, Either way, the information is the same. It s just being displayed in a different format. To change the way a date or numeric value is displayed, right click on a report component. In the menu that appears, click on Display format. The report editor will display a list of display formats for you to choose from, and allow you to enter a custom display format if you choose. Page 12

14 Now, let s use the dbimage component to add images of each coin to the report. An image is pretty big, se we ll need to make the detail band taller by dragging the gray bar at the bottom of the detail band down toward the bottom of the screen. Now, click on the dbimage component and then click somewhere in the detail band. Select Coin Obverse Image from the available fields listed at the top of the report editor. The image appears on screen, but we re seeing a small part of the image because that s all that will fit in the space provided by the dbimage component. We can enlarge the image by dragging the boxes that surround the image, just as we would resize any report component. Even then, we couldn t be sure that every image would fit. So, we ll instruct the report editor to shrink or stretch the image as needed to force it to fit in the space we provide. Click with your right mouse button on the dbimage component we created. In the menu that appears, click on the option labeled Stretch. The entire coin will now be displayed. As you change the size of the dbimage component, the image will automatically stretch to the new size. If you make the box very wide, you ll notice that the coin will no longer appear round. In order to overcome this, we need to make sure that the dbimage is the same height and width. To accomplish this, right click on the dbimage and select the option labeled Position in the menu that appears. The position box allows you to specify both the size and position of a report component. If we set the width and height to two, our dbimage component will display an image exactly two inches tall and two inches wide. Actually, we can force an image to display with the correct aspect ratio, even if the dbimage component isn t square. Right click on the dbimage component and select MaintainAspectRatio. This will toggle this option on, which forces the image to be displayed correctly even if the dbimage component isn t square. As a rule though, it s a good idea to make your dbimage components square anyway, because the images you ll be printing are typically square. The position box can be used to precisely set the size and position of any report component. This makes it easy to create reports for use on preprinted forms, such as invoices. Page 13

15 Formatting controls Nudge Up Nudge down Nudge left Nudge right The nudge buttons move the selected component a very small distance in the indicated direction. As the name suggests, they re used to nudge the component into just the right position. You can nudge a number of components at one time by selecting multiple components. To do this, click on the first component to be nudged and then hold the shift key down as you click on each of the other components. Then, when you click a nudge button, all the selected components will move together. Shrink width to smallest Grow width to largest Shrink height to smallest Grow height to largest The sizing buttons are used to adjust a number of components to be the same size. In order to use these buttons, you must first select at least two components on your report. Click on the first component, and then hold the shift key down as you click on one or more additional components. Then click on one of the sizing components to make each of the selected components the same size. For example, if you click on the Grow width to largest button, the width of each component will be increased to match the with of the widest selected component. Align left Align middle Align right Align top Align center Align bottom The alignment buttons are used to make sure two or more components are lined up evenly. To use the alignment buttons, you must first select two or more components from your report by clicking on the first component and then holding the shift key down while clicking on one or more additional components. When you click on one of these buttons, all of the components will be aligned with the component that you selected first. For example, suppose you have three components that you want to place on the report such that their left sides are exactly the same distance from the left edge of the paper. Position one of the components so that it is in the proper position. With this component selected, click on each of the other two components while holding down the shift key. When you click the Align left button, the other two components will move left or right, so that their left edge lines up with the left edge of the first component. Space horizontally Space vertically The spacing buttons are used to evenly distribute three or more components across the page. To do this, you must select at least three components on the report by clicking on the first component, then holding down the shift key while clicking on the additional components. When you click on a spacing button, each component is moved so that the space between them is identical. For example, you may use this component if you were creating a list of prices. In that case, you d have a number of DBText components that display a coin s value in each of a number of grades. You could select each of these components and click the Space horizontally button. Each component would be moved left or right so that the columns would be evenly spaced. Center horizontally in band Center vertically in band The center buttons move the selected components so that they are positioned in the center of the band in which they where placed. For example, if you place a page number in a footer band, you could click the Center horizontally in band button to position the page number so that it s centered on the page. Bring to front Send to back When two report components overlap, one of them must be on top of the other. These buttons allow you to determine which component will be on the top and which on the bottom. Note that it s generally not a good idea to overlap report components in most cases because it may limit Exact Change s ability to correctly render the report to an HTML file. Page 14

16 Font controls Any report control that displays text or numbers can be displayed with any font, at any size, and with any font characteristics. Select a component on your report and use any of the following controls to change the appearance of that report component. Font list and font size Select a component on the report and select a font for the component from the font list. To change the size of the text, select a size from the font size list. Bold Italics Underline When a report component is selected, click the above buttons to change the font characteristics used to display the selected component. Click the button again to turn that font characteristic off again. Left justify Center Right justify These buttons control how text is displayed within the selected report component. Font color Background color These buttons allow you to select a foreground and background color for the selected report component. Click on the little arrows beside these buttons to see a list of colors from which you can make a selection. Page 15

17 Draw controls The color controls apply only to the Shape and Line report components. When a component of these types is selected, you can use these buttons to alter the appearance the component. Fill color Line color The Fill color button affects only the shape component. It allows you to select a color to fill the shape with. Click on the little arrow beside this button to see a list of colors from which you can make a selection. The Line color button provides the ability to select a color for a line or the outline of a shape. Click on the little arrow beside this button to see a list of colors from which you can make a selection. File buttons The file buttons each provide the same functionality as one of the menu options. For this reason, some people prefer to hide this toolbar. Others prefer to have the buttons available so that they don t need to access the menus as much. You can use the file buttons or the menu options, either has exactly the same effect. New Open Save Page setup Print This button has the same effect as clicking on the File menu and selecting the New option. It allows you to create a new report This button has the same effect as clicking on the File menu and selecting the Open option. It allows you to open an existing report file for editing. This button has the same effect as clicking on the File menu and selecting the Save option. The current report is saved to a disk file. This button has the same effect as clicking on the File menu and selecting the Page setup option. A window appears which allows you to configure the basic layout of your report. This button has the same effect as clicking on the File menu and selecting the Print. A sample of the report is sent to your printer. Print Preview Shows on-screen how the report will appear when printed Cut & Paste buttons These buttons allow you to copy report components to and from the Windows Clip board. If you want to copy components from one report to another, you can use this copy/paste functionality. 18 Hiding and showing toolbar buttons In the view menu at the top of the report editor is a menu option labeled Toolbars which allows you to specify which buttons will appear at the top of the report editor. If you want to place a label on your report, but you don t see the label button, it s most likely that some of your buttons are not visible. Simply click on the view menu option, and then click on Toolbars. Make sure there s a checkmark next to Standard components. If there s not, just click that menu item to place a check there. The buttons which represent the standard components will now appear on top of the report editor. Typically, it s a good idea to leave all the toolbars visible at all times so that they re readily available. Some people opt to remove, for example, the Standard buttons (New, Open, Save, and so forth) because these functions are available through the File menu. Page 17

19 Group band types and data grouping Grouping is used to break up a report into sections of similar data. For example, suppose your report uses the coins dataset and it is printed with the Small Cents folder selected in Exact Change. Your report would then list Flying Eagle, Indian, Wheat, and Lincoln Memorial cents. You re probably going to want to display the name of each type of coin as your report progresses from one coin type to another, you may also want to print totals for each coin type. To accomplish this, you ll use data groups. A group is a series of detail bands that contain similar data. In the above example, we would group coins by the field called Coin name. Each time the report press prints a detail band, it will check to see if the coin name is different from the coin name for the last detail band it printed. If so, the report press will recognize that it has moved from one group to another. When you create a group, the report press adds two new bands to your report; they re called Group header and Group footer. The group header band is printed at the beginning of each data group and the group footer band is printed at the end of each group. If you place a dbtext component in the group header band and set to the data field called Coin name, you will accomplish our goal of printing the folder name each time the report changes from one coin type to another. To add a group, click on the menu item labeled Report in the upper left corner of the screen. In the menu that appears, click on the menu item labeled Groups. The groups window will appear. Select the field you want to group by from the Groups list at the top of the groups window. Click on the Add button to add this field to the list of groups. Click on the Ok button and look at the design page. You ll see that two new bands have been added to your report, a group header band and a group footer band. You ll typically want to sort the coin data by the same field or fields that you re grouping. If your coins are sorted by grade and you group by coin name, you ll see a group footer band and a group header band every time two coins in a row (based on their grade) are not the same coin type. When you add a group, you can specify additional information about how that group should behave: Start new page: When this checkbox is checked, each group will begin at the top of a new page. For example, Wheat cents would begin at the top of a page. Memorial cents would begin at the top of a new page even if Wheat cents doesn t fill an entire page. Reset page number: This checkbox is only enabled when the Start new page option is checked. It will cause page numbers to start over at one when a new group is started. New page when less than: This option allows you to specify how much space must be left on a page in order to start a new group. For example, a value of 2 here would indicate that a new group should not start within two inches of the bottom of a page. If there were less than two inches, the report would show the new group at the top of the next page instead. Keep group together: This option specifies that a group will start on a new page unless the entire group will fit on the current page. For example, Indian cents and Wheat cents may print on the same page, but Memorial cents would begin on the next page if it would not fit entirely on the current page. This option basically avoids splitting a group of similar coins across a page break wherever possible. Reprint group headers on subsequent pages: This option specifies that a group header band should be reprinted when a page break occurs in the middle of a group. Page 18

20 Creating totals and summaries You ll probably want to include totals at the bottom of your report and perhaps in any group footer bands you create. To accomplish this, you ll use the DBCalc component. This component is similar to the DBText component in that it pulls information from one of the fields in the dataset. However, the DBCalc button is typically placed in a footer, group footer, or summary band where it totals all the records displayed in the detail band. For example, a DBCalc component could be placed in the report s summary band and tied to the coin data s value field. It would then display the total value of each coin listed in the report. There are five types of calculations that a DBcalc component can perform on the data Count: The number of records printed. That is, the number of times the detail band was printed. Sum: The total of the selected field s value from each record printed. Minimum: The smallest value Maximum: The largest value Average: The average value To select the type of calculation displayed, click with the right mouse button on the DBText component and select the Calculations option in the menu that appears. The Reset Group choice allows you to specify that a DBlcalc component should start counting over again when the report traverses from one group to another. For example, if the DBCalc component in a group footer band is set to a calc type of Count, it will display the number of lines printed in that group. When the report is finished printing Indian cents, this component will display the number of Indian cents which were included in the report. The counting starts over again when the report gets to wheat cents, so that below the wheat cents will appear the total number of wheat cents included in the report. In the summary band, which appears at the end of the report, you may want to include a DBCalc component that doesn t restart on each group, so that it will display the total number of coins included in the entire report. The Page Style band The page style band is a special band that is superimposed behind all the other bands on a page. In effect, it provides background wallpaper for the report. To include a Page Style band in your report, click on the Report menu and then click the Page Style option. You could place an image component on this band to display the image under the other bands. For example, if you want to recreate a preprinted form, you can scan the form and place the image on the Page Style band. If you tried the Exact Change demo, you may recall that it prints the word Demo as a watermark across each page of the reports; this was done with a Page Style band. Another common use for the detail band is to simply place fold marks on a page. Place a line component on the page style band and position it 3.66 inches from the top of the band. That is one-third the height of an eleven-inch piece of paper. Place another line component 7.33 inches from the top of the band. When you print the report, you ll see the lines printed exactly where you need to fold the page in order to create a three-part fan fold. Page 19

21 Including user-defined fields In Exact Change you can create any number of user-defined fields which track any information you d like to add about the coins in your collection. For example, you could add a user-defined field labeled Toned and have Exact Change add a check-box to the coins page to indicate which coins are toned and which are not. You can search and sort on those fields just as you can with the predefined fields such as Year, Graded By and Stored In. You can include any user defined fields in printed reports as well. The report that you re creating may be used with any collection file in Exact Change. That is, your report may be used to print coins from a collection file that has a certain set of user-defined fields and then the same report may be used to print coins from another collection file that has a different set of user-defined fields or has those fields in a different order. For example, suppose that you create a report that includes information from a user defined field named Auction ID. If you give a friend a copy of the report you created, their database may not have a user defined field by that name. To associate the data in your collection s user-defined fields with the correct report components, the report editor needs to know the names of the user-defined fields that will be available. Click on the Parameters menu option and select User-defined fields from the drop-down menu. This window displays a list of user-defined fields defined for use in your report. In this example, two fields, Auction ID and Seller ID have been defined. To define a new user defined field, just enter a name on the blank row at the bottom of the list. User defined fields are always added to coins data Once you create a user defined field in the report editor, it will appear in the list of fields which can be included in the report. It will then behaive like any of the pre-defined fields, you can use it to create totals or whatever you d like to do with this data. The names of the user defined fields you create in the report editor should match the names of the user-defined fields you ve added to your collection in Exact Change. This is how Exact Change will match the data in your collection with the fields included in the report. The field names are not case sensitive. If you create a report that includes a user-defined field which does not match the name of any user-defined fields in your Exact Change collection, the report will simply show a blank space where that field appears. 22 Additional report settings The menus at the top of the report editor provide several additional settings that allow you to configure exactly how you want the report to be created: Portrait/Landscape In the report menu, these options allow you to specify whether the page should be printed down the page as normal (Portrait) or sideways, so that it is shorter and wider (Landscape). These options are mutually exclusive, when you select one option, the other will be unselected. You ll notice as you change from portrait to landscape that the width of the report bands increases. This is to accommodate the greater width provided in landscape mode. Cache Pages In the report option, this option determines whether pages should be saved in memory when you move from one page to another. If this option is off (the default), then pages will be redrawn when you move from one page to another. This option really applies only to Exact Change s report preview as pages may be cached when viewed on screen, but are never cached when printed on paper. This option will allow you to move from page to page faster, but can be very memory intensive. Pass Setting The pass setting option in the report menu provides two choices, one pass or two. This determines whether the report should go through the data once or twice before displaying the report. By changing the report to one pass, you ll cause the report to be printed faster. However, some reports will not display correctly when printed in a single pass. For example, a System Variable component that displays the Page set description (i.e. Page 1 of 5) will not correctly reflect the total number of pages. This is because the report will start printing on the first pass, when the total number of pages is yet unknown. Another example would be DBCalc components which are placed in the group header, rather than the group footer. In that case, they would be displaying values for coins that the report has not yet printed. Units The units option in the report menu allows you to specify the unit of measure used for the report. This setting works in conjunction with the position settings for each component. For example, if you select millimeters as the unit, then the position dialog would allow you to specify the position of a component in terms of the number of millimeters from the top and left sides of the band. If you select inches as the unit, the position dialog box will utilize English measurements. You can switch the units setting any time you wish, the report editor will automatically convert measurements as you change this setting. Show Data The show data option in the View menu determines whether the report editor should display sample data in each component, or show the name of the component instead. You can change this option any time you wish, it is used strictly in the report editor and has no effect on the report you produce. Rulers The rulers option in the View menu simply turns the rulers along the top and side of the report editor on or off. Page 21

23 Loading and saving reports The report editor s file menu allows you to save your report to disk, or load an existing report file. When you save a report you ve created, you can use any file name you wish. The name of the report, as it appears in Exact Change, is the name you select as a file name. When the Exact Change program loads, it searches for existing report files. It does this by looking for a Windows folder called Reports which is in the same Windows folder as the Exact Change folder. For this reason, you must save your report files in this Reports folder in order for them to be located by Exact Change. Since Exact Change creates a list of reports when the program first starts, you will not see your report listed in Exact Change right away if you re running Exact Change and the report editor at the same time. When you close Exact Change and restart it, the report will appear in the list of available reports. When you save a report, the report press creates a single file on the drive with whatever file name you specify. If you wish to share the report with another Exact Change user, just provide them with a copy of the file you saved. If they copy the file into their reports folder, the report will be available to them when they load Exact Change. You may freely share any reports you create, but the recipient must be a licensed user of Exact Change. There are a series of reports in Exact Change titled Theme checklist for Bi-metalic, Theme checklist for Birds, Theme checklist for Turtles and so forth. These are actually all one report, from a single report file. When you include in the report s name the word [THEME] (with the square brackets), Exact Change treats the report in a special way. For every collection theme in Exact Change (they re listed on the Info tab), Exact Change will include a copy of any such named report, replacing the word [Theme] with the actual names of each theme. Provided that the report is based on Folders data, Exact Change will automatically skip over any folders that are not part of the theme for each of these reports. The Calc tab The Exact Change Report Press actually contains a complete Pascal language compiler built in, so a Pascal program can be embedded into the report to be run any time a report is printed. This compiler is accessed by clicking on the Calc tab. Adding Pascal code to a report is an advanced process that will be of use only to those who are already familiar with Pascal programming. Its inclusion here, however, allows anyone to make changes to any reports, even if those reports happen to already contain Pascal code. Page 22

24 Data available from each data set The following tables provide a list of data fields available for each type of report data set. The type field indicates what type of information each field displays. This determines the type of components that can display that field. For example, a dbtext component can display text or number fields, but cannot display an image field. Text: A Text field displays a word or words, such as the name of a coin or grading service. Text fields can be displayed with a dbtext or dbbarcode component. Number: A number field displays a numerical value such as a coin s value or the year in which a coin was minted. Number fields can be displayed with a dbtext or dbbarcode component. Date: A Date field contains a calendar date. In Exact Change, the only date field is the coin data set s Date purchased field. Date Fields can be displayed with a dbtext or dbbarcode component. Image: An image field contains a graphic of a coin or receipt. The only report component that can display an image field is the dbimage component. Conversely, an image field is the only type of field that can be displayed by a dbimage component. Memo A memo field is similar to a text field, but it can contain multiple lines of text. It should be displayed in a dbmemo field so that this multi-line capability is supported. Yes/No A Yes/No field, also known as a Boolean field, is one which supplies a yes or no, true or false type of response. For example, both the folder data and prices data have a field called Have one which indicates if such a coin exists in the collection. If this type of field is displayed with a dbtext component, it will display either True or False. Typically, a Yes/No field is used in conjunction with the dbcheckbox. Rich Text: A rich text field is similar to a memo field but contains special, embedded formatting codes to change the font color and size within the paragraph. The only rich text field available is the Folder text field in the folders data set. That field provides the information displayed on Exact Change s Info tab when a series is selected. Since it contains a variety of font types and colors, it should be displayed with a dbrichtext component. Page 23

This is the amount of money someone in 1850 would need to have had in order to have the same buying power as $1000 would give you today. Deviation: Average Number The difference between this coins grade and the value 1.28 derived by averaging all other coins from this series. Deviation: Top Number The difference between the coin s grade and the value derived by averaging the highest grade for each variety in the series. Dividend Number This is the rate of return yielded from the coin s face value to its current value over the coin s age. For example, if the coin had been deposited in a bank in the year it was minted, this is the interest rate (compounded daily) you would need to get in order to have the same amount in your account as the coin s current value. 8.75% Page 24

36 The General data set The general data set is a special data set which, as its name suggests, provides some general information about your Exact Change installation, such as your serial number. When you create a report, you select one of the three main data sets for use in the report. The general data set can be used in conjunction with any of the other data sets and is available all the time. For example, to display your Exact Change serial number, place a dbtext component on your report. In the upper left corner of the report editor is the data field box where you select the field you wish to display. To the left of this box is another box which displays the data set that was selected for this report. Simply click on this box and select the general data set. The list of available data fields will reflect the options in the table below. Name Type Description Example Collection file name Text The Windows path and file name of the collection C:\Coins\MyCoins.ECD database currently in use. Report name Text The name of the report you specified on the Setup tab Collection list of the report press. You could simply retype this name into a label component. But this field allows you to create a standard report header that can be copied and pasted from one report to another. Selected folder name Text The name of the folder currently selected in Exact Small cents Change. This is a little different from the Folder name field in the other datasets. While the other datasets may traverse through a folder and several sub folders, this field always indicates the folder that is currently selected on the series page. Serial number Number This is the serial number assigned to your licensed copy of Exact Change and is unique to each registered copy of the program. Price lists loaded Text The names of all the price lists which are currently loaded into memory. United States, Canada, Mexico Folder count Number The number of series currently listed on the series 596 editor. Prices count Number The number of price list entries currently loaded into memory Coin count Number The number of coin entries in the current collection 1096 Page 35
