1 How to Host a Successful Game Night (to move fabric) 1. Identify the fabric that NEEDS TO MOVE (theme your fabric it increases quilter engagement and likelihood that they will complete the quilt). 2. Select a pattern to use with the fabric. A. Consider pattern give-away vs. patterns for purchase. B Reproducible patterns are great with Game Night. Our most frequently used pattern with Game Night is Pop- Stars runner (right), which uses 2-1/2 squares. 3. Make sample (or use sample with alternate fabric lines). We ve created Pop-Stars samples in Spring/Summer, Patriotic, Fall and Christmas. INVITE THE QUILTERS 4. Send invitations with image of the quilt pattern that will be featured. Inviting by teaches your customers to open their . We invite quilters to Come Play. We show the image of the quilt that they will receive a FREE pattern for. We ask them to bring a pre-determined number of pre-cut fabric pieces (the same size that is used in the quilt). 5. Ask quilters to bring their own fabric (that supports the theme). 6. RSVP registration. We actually keep table charts, like a restaurant, and when customers call to reserve, we mark the reservations on the table charts. A. Consider free participation vs. paid. Our shop is nearly an hour s drive from the nearest large city, so we use free participation to encourage quilters to drive an hour. Another shop requires a $10 registration fee, then gives the quilter $10 of shop credit to be used on game night. This is an excellent strategy to increase sales on Game Night. 7. Allow 1 hour for each session. We like to schedule 4 sessions: 6pm, 7pm, 8pm, and at 9pm, we allow the quilters to bring wine. 1
2 SET UP THE PLAY 8. Play on the sales floor you have nothing to sell in the classroom. Quilters will buy what they can see. Our shop is small, we only have room to put (3) 4-foot tables on the floor. Our fabric cases are on rollers, ad we roll them aside. 9. Feature the products/fabric you want to sell. 10. Have pre-cuts and background fabric ready for a quick sale. Using the Pop-Stars quilt, we precut /2 squares using Accuquilt Studio. Then we prepackage 2 yard putups. The pattern calls for 1-3/8, so we upsell the difference. 11. Have extra dice ready to sell. Trader s Dice can be used to trade ANY-THING. My grandchildren trade their Easter candy. We have also used the game to trade 10 coins even my 3-year-old grandson knows how to trade a penny for a quarter with his 96 year old great-grandfather. 12. What about a snack table? Think about having the quilters provide their own snacks. You can spend a lot of money on a FREE game night when you provide the snacks. We ask quilters to bring their own snacks to share. We place all the snacks on a snack buffet table in a separate room. This provides a place to congregate and socialize AWAY from the games. 13. When quilters arrive, have them sign in with an address so you can the pattern afterwards. This way you are capturing addresses for your social media marketing campaigns. Every once in a while, we come across a quilter who does not have . No worries, we ask if there is anyone else they would like us to their free pattern to. If not, they can still download the pattern from the URL link that we provide after the game concludes. 14. Encourage on-time (not early) arrival. When quilters arrive early, we funnel them to the snack table. We do NOT let them roam the sales floor and shop. They will distract the players during their game night. Treat Game Night like a restaurant: you do not get to wander around a restaurant, looking a patrons food while you wait for your reservation. Early arrivals could also be funneled into the classroom for a qu9ick demo or video. LET S PLAY quilters at a table. You can play with more, but it is easy to get off task. 16. The game lasts 5-10 minutes longer than the number of pieces you are trading. 20 is a good number game lasts 30 minutes, leaving 30 minutes for speed shopping. 17. When trading larger numbers, consider having them pin sets together. Example, trading 20 sets of 5 squares. 18. Identify Right, Left and Across. For odd numbers, pick one person across to trade with. 2
3 SUPERVISE THE PLAY 19. Circulate during the game to make sure the tables are progressing at the same speed. You WANT the quilters to be shopping at the same time (competition for limited product). Quilters spend more when they are competing for product. 20. Invoke the 20-second rule when necessary. Some quilters will spend too much time auditioning their fabrics. We encourage quilters to self-monitor. When someone at their table takes over 20 seconds, they have permission to say BONK. It s fun! 21. Keep an eye on the kitty. If necessary, allow a table to turn the Holds into magic kitty or DOUBLE the play for round. 22. You want the tables to conclude at roughly the same time to avoid distraction and to encourage competitive shopping. CONCLUDE THE GAME 23. The game is over when the kitty is gone. Everyone wins. (Most likely they will count to see who the big winner is.) Because everyone wins, everyone is more likely to buy. 24. Hand out free pattern card with download link. Offer to the link directly. Most quilters will prefer the link. See our example below. 25. Point out that the link expires in 2 WEEKS, and after 2 WEEKS, they will have to pay for the pattern. 26. Most will their friends who will their friends who will their friends. Is this a copyright violation? You bet, but make it work for you! Fabric 52x52 97x97 Light 1-3/4 yds 6-1/2 yds Scrap s (257) 3 squares (833) 3 squares Don t Fence Me In 52x52 or 97x97 Always include the fabric requirements on your pattern card. Quilters will not buy if they don t know how much to buy. Download this FREE pattern in the next two weeks: 3
4 TURN FREELOADERS INTO DOWNLOADERS 27. Insert an image of the quilt and link the pattern on a page that you want the quilters to see. Do not post to a page called Free Patterns. Quilters do not need your link to find the pattern on a Free Patterns page. We change where our pattern is hosted. This determined by what we are trying to promote: BOM, new fabrics, upcoming events or shop hops, etc. 28. Put the link at the bottom of the page so that they have to look at your page first. 29. Keep Google analytic data on downloads. This will help you make decisions about your next Game Night event. 30. Take the link down after 2 weeks train your customer. 31. Do NOT host the pattern on a FREE Pattern page the quilter will not need your link to find it. They will go to the Free Pattern page, download the pattern and exit the site. GET READY TO SELL 32. Have precuts ready to sell if you are cutting your fabric, upcharge it (recommended $3/yard more). 33. It is wise to package backing fabric (upsell yardage). Pre-packaged products are quick grab-n-go. 34. Do you have a cutting device, such as Accuquilt Studio? Have someone available to cut units. Sometimes on Game Night, we ll have our Accuquilt Studio set up and ready to cut the units we have been trading. That way, if someone wants to have yardage cut, we can run it through the Accucut Studio (for a fee, of course). 35. Plan 30 minutes for the game, 30 minutes to shop, then head out the door. 36. DO NOT announce the date for the next Game Night. Tell them to watch the for next date and pattern again, train your customer. 37. Have quick-buys set up near the check out counter. Have a basket of dice ready to sell. 38. Consider breaking out a box of new fabric on Game Night. Quilters love to be the first to purchase the new stuff. 4
5 TROUBLESHOOTING 1. Quilter comes without the required fabric no worries, you will have pre-cuts ready to go. They can purchase your precuts. We have a few quilters who will call to make their reservation, the will have to make a purchase. 2. Quilter comes late, after the game is started. Put them in the next session. This sounds tough, but you need to train your customer. If you allow the quilter to start late, they will disrupt play, and may aggravate potential buyers. I once allowed a table of 4 to start late. I sued the DOUBLE kitty method to catch them up to the other game players. 3. Quilter cheats yeah, they will. Make fun and move on. Try wearing a referee uniform and carry a whistle. Quilters will hide fabric, hoard fabric or try to control the trade. That s part of the fun. REMEMBER, the person who rolls the dice CON- TROLS the trade. They choose the fabric they want to trade for and the fabric they want to give away. 4. Quilter does not show, does not call. Next game night, put them on waiting list status. Train your customer. 5
