Emy Trotz Welcome to the Lincolnland District! I am extremely honored to be Lincolnland s President. Some of you may remember me when I was the Lincolnland President from I am eager to work with all of you in building new clubs and helping to retain members. We all need to work together to continue to spread the word of Exchange. I have been a member of the Exchange Club of Naperville since I did take a break in 1998 but I joined in 1999 and have been a very active member ever since. I have served on the Grand Prix Steering Committee, the Ribfest Steering Committee, served as Membership Chair, Club Secretary for four years, served as President Elect and President, co-chaired Ribfest sponsor tent gates and currently serve on the Entertainment Committee for Ribfest. Giving back to the community is a big part of my life and what better way than through Exchange. This year I am going to ask every member to bring in just one more member. Invite someone to a lunch or to one of your fundraisers. Get new members involved. Let s grow Exchange and let s grow Lincolnland! November 4th Conference Bloomington Save the Date Please join us for the Lincolnland Fall Educational Conference. This year the Conference will be held at the Chateau Hotel & Conference Center in Bloomington, located at 1621 Jumer Drive, on Saturday, November 4 th from 8:30 am 4:30 pm. The Conference is FREE and includes lunch, so do not miss out on training, fellowship and a bit of fun with your fellow Exchangites! 2 Messages: Troy Jayroe, President-Elect I am excited about the opportunity to serve as an officer of the LincolnLand District and am looking forward to doing what I can to help make the District strong and growing. Below is some information about my participation in Exchange and community. I am the immediate Past President of the Exchange Club of Mattoon, and served as the Club Treasurer for four years. Other supporting roles in the club included: organized and chaired the club's 40th Anniversary Celebration, coordinated the Silent Auction function at the annual Pulled Pork dinner fundraiser, chaired the annual Golf Outing/Scholarship fundraiser and implemented and conducted a Super Bowl pool and a March Madness bracket game as fundraisers for the club. Some community activities I participated in outside of the Exchange Club include: Volunteered at the Mattoon Community Food Center helping store, prepackage and distribute food. I currently serve on the Board of Directors as secretary. Volunteered at the Senior Center in the Senior Health Insurance Program helping seniors with Supplemental Insurance and Medicare Part D Insurance. Volunteered at the Senior Center in the Volunteer Income Tax Assistance (VITA) program completing income tax for seniors and low income families. On a personal note, I have a Industrial Engineering degree from Millikin Univ. in Decatur, IL. I have two sons, one lives in the Pittsburgh area and one in a Milwaukee suburb. Since retiring from PPG Industries with 32 years in the Human Resources Dept. I enjoy trying to play golf and travelling around the U.S. as much as I can. National Committees Exchange Club Minute Janet Jacobs Exchange s national bylaws call for a jurisprudence and laws committee, a budget and finance committee, and special committees as needed. The jurisprudence and laws committee, chaired by a past national president, approves the form and language of all amendments to the national bylaws. It also approves all proposed amendments to district and local bylaws to ensure that they do not conflict with the national bylaws or substantially deviate from the standard bylaws adopted by the national board of directors. The current chair is Charlie Braddock, from South Carolina. The budget and finance committee consists of the national treasurer and at least two other national board members appointed by the national president. The budget and finance committee counsels with the chief executive officer, Tracey Edwards, on the annual budget of the National Exchange Club and prepares recommendations for the national board of directors. The committee also selects an independent auditor to conduct an annual audit of the books of the National Exchange Club. The current national treasurer is, of course, our own Jim Ruzon from Joliet. The national president may also appoint any other special committees deemed necessary or as directed by the national board of directors. Some of these special committees are Exchange University, Awards, Programs of Service, Evaluation Accreditation for CAP Centers, Special Events, Large Clubs, and the Berkey Committee, which falls under the National Foundation. We should be aware of these particular special committees because various members of Lincolnland have served, or are now serving on these committees. Page 2 of 5

3 Messages: Scot s Travels July 17th: Visited National Headquarters in Toledo on my way back from Jacksonville. July 31st: Visited the Exchange Club of Champaign, IL, for their 91st Anniversary Celebration. Presented proclamations from National prepared by Gail Weller. After the event, six Lincolnland District leaders reviewed the Alton (IL) Club situation and agreed to divide the membership list for personal phone calls. (Note: We reached out to each Alton member during the week of August 7th, and the unfortunate conclusion is that the club has aged out. The six Lincolnland leaders will re-convene by during the week of August 14th for the final path forward.) August 4th: Spoke at the Exchange Club of Naperville during the National Convention re-cap led by Dawn Portner, Janet Jacobs, and Emy Trotz. August 5th: Participated in the Lincolnland District Board Teleconference. August 7th: Contacted Gary Buck and Jim Cerbie of the Alton Club. August 11th: ed the August President-Elect Update to the District Presidents-Elect. Scot Warren, National President -Elect August 12th: Participated in the Lakes & Prairies and Wisconsin / UP Board District Board Teleconferences, which were scheduled at the same time. Region 3 Vice President Dennis Koch is at the Dakota Territory District Annual Retreat. Dennis called in for the first half of the Wisc / UP teleconference and the second half of the L&P teleconference, and I covered the first half of the L&P call and the second half of the Wisc / UP call. August 15th: Will install the officers and board at the Exchange Club of Aurora, IL. Upcoming Events: September 6th: Will speak at the Exchange Club of Mattoon, IL and install four new members September / October: Will visit the Exchange Clubs of Tri-Cities (IL) and DeKalb-Sycamore Area (IL). The purposes of the visits will be to talk Exchange and identify my replacement as Lincolnland Division 4 Director. 4 Messages: Dennis Koch Region 3 Vice President What s Going on Around the Region? Region 3 has been rockin and rollin since the start of the new year. All four of the districts are hard at work finishing up their three-year strategic plans for submission to the National Exchange Club this month, and those plans are being implemented as you read this. You may wonder why there is such an emphasis on planning this year. The reason is that we re working to ensure that your Exchange Club is as strong and as efficient as possible. As society evolves, Exchange has to make adjustments as well. Exchange will always welcome those who are committed to our vision, our mission and our core values, but we also need to make sure our districts and clubs are fulfilling their purpose of expanding Exchange and making communities better places to live, work and play. Your club plays a part in making these plans a success! Productive organizations, whether private, public or non-profit, plan for their future. Club officers should give serious consideration to creating a working three-year plan for your own clubs. Start with leadership succession and training who is going to lead your club next year and the year after that? What do your project and fund-raising committees look like? Has Bob or Joe or Mary been in the same position for years? Maybe it s time to give someone else the opportunity to lead. It s always easier to not fix what isn t broken, but Exchange was started to help develop community leaders and the only way to do that is to lead. Training opportunities are available throughout the year. For Lincolnland, the Fall Conference in November and District Convention in June are great places to start, and we are fortunate to have six Volunteer Field Representatives that are ready to come to your club to assist you in your training or assisting you in planning. All you have to do is ask. When was the last time your club focused on recruitment? Depending on the size and strength of your club, the recruiting plan will vary, but the bottom line is to bring in members who believe in what we do our programs of service and national project in order to help retain them. Here s a tip take another look at the Generation X folks that were too busy to join when their kids were at home. Many of them are now empty-nesters and have more time and disposable income on their hands. Remember, somebody recruited you to keep the club growing now it s your turn to pass it on. There are recruiting tips available online at in the member section. Finally, I want to thank all of you for your support both at the convention and for those of you who had a hand in nominating me for the Court of Honor. It is a pleasure to serve as your Regional Vice President and I am very humbled and honored to be going into the Court of Honor in October I hope to see many of you there.
