1 Minutes of BCSA Board Meeting Tuesday November 13, 2018 The regular monthly meeting of the BCSA Board was called to order at 6:32 PM CDT by the President. The Secretary was present. Board Members Present: Linda Ramas (President), Kathy Sours (Corresponding Secretary), Suzanne LeRoy (Recording Secretary), Adrian Smith (Treasurer), Robert Tainsh (Member at Large), Barbara Palmer (Member at Large) Late Arrival(s): Lisa Pruka (AKC Delegate) Absent: Danielle Davis (Vice President), Ronni DeLay (Past President) Approval of Minutes: Minutes of the October 9, 2018 meeting were approved by poll. President's Report - Linda Ramas Another Specialty is in the books. I just want to thank Janice Swofford and Karen Marquardt for co-chairing this year s event. We had a great turn out at herding, agility ran smoothly, as always, obedience, rally, and conformation also had a great turn out. Futurity/Maturity was well executed, and everyone enjoyed the event. This year s Top 20 was well received as well. I want to thank everyone that volunteered their time to make this a successful event for our members and non-members alike. Every little bit helps. We are excited that BCSA is going to work with EMBARK for DNA testing. EMBARK is a research partner of Cornell University College of Veterinary Medicine. They are willing to work with us on what we feel is important to the border collie breed. Allison Ruhe spoke on Wednesday night at the Specialty to give us insight as to what EMBARK can do for us and those who attended were excited for this new endeavor. We had the opportunity to have Dr. Sinisi Grozdanic, from Animal Eye Consultants of Iowa, come speak to us about Glaucoma. He has done extensive research on this with Bassett Hounds. He gave a great educational insight on the proper steps to truly confirm the disease which includes a gonioscopy and high frequency ultrasound. He will be providing a list to us of veterinary ophthalmologists that can do both tests so that we can study this disease further and irradiate the disease before it becomes an issue here in the United States.
2 Corresponding Secretary s Report November 2018 Received an from William Birkeness asking where he could find a new puppy within a day s drive of Kansas City, MO. Referred her to the BCSA website for membership application and the breeder page for breeders in her area. Received an from Cathy Sumeracki showing the profit/loss statement and letter that was sent to the BCSA Board after the herding trial in December This paperwork was sent to the Board for review. Received an from Cathy Sumeracki requesting approval for herding trials: March 2/3, 2019, March 15/16, Estimated budgets sent to the Board. Received an from Cathy Sumeracki listing BCSA members who would be at the requested trials. Received an from Diane Finkelstein who wished to volunteer at the Meet the Breeds at the AKC Championship this year. Forwarded her on to Lorna Menaker. Received an from Allison Voehringer wanting to know the order she needed to apply for the versatility titles. Forwarded her to Kari Lavalli for assistance. Received an from Barbara Craig who wished to volunteer at the Border Collie booth at the Classic in Orlando. Forwarded her on to Lorna Menaker. Received an from AKC advising of our Club s dues payment of $25. Forwarded the on to Adrian. Received an from Kari Lavalli asking why our website had not been updated with the new Versatility Forms. Respectfully submitted, Kathy Sours Corresponding Secretary Treasurer s Report: Adrian Smith Financial Statements for October 2018 included below. Significant activity relating to the 2018 National Specialty has been recorded in October (1578 lines in the General Ledger). A summary is included in the October 2018 Profit & Loss Statement. Most of the income for 2018 Nationals has now been recorded, excluding on-site activity, but significant expenses associated with the event will be recorded in November QuickBooks Premier Non-Profit 2019 has been purchased as requested and approved at last month s Board meeting. The requested and approved QuickBooks manual has been purchased and read. BCSA records have been transferred over from Quicken and properly configured in QuickBooks. The useful life of the QuickBooks purchase is 3 years after which time certain key functionality will stop working, so the purchase cost has been amortized over the next 36 months as a depreciating asset. Restricted funds have been set up in QuickBooks as equity accounts, with opening balances (established from existing records) being recorded in October Reports have been sent to the Finance Committee.

5 Unfinished Business BCSA Website Tabled from last month. Change hosting to Bluehost o $2.95/mo o Wordpress pros to help with any issues Purchase new theme o Either buy own Divi Theme ($199) o Search for another theme (I like Envato. Prices vary, usually around $60+ support) o Make sure support is there for any issues Look into a CRM program that makes it easier to keep track of members Work on getting everything connected and streamlined (Wordpress, CRM Program, Google Tracking, Program and any other plugin used so they can all feed each other data on how site is doing) Basic cleaning up of the site Anything that has a link to the old site needs to be updated. Gather new pictures that are appropriate Site will need to stay with Randy until a new one is ready to go live if we use a new theme. If we stay with Divi theme and buy our own account, it should transfer easily to Bluehost and I can work on a new site in the meantime. Need to check with Randy to see if he has an annual renewal time. New Business - Request by Cathy Sumeracki to use BCSA numbers to hold herding trials March 2-3, 2019 and March 15-16, Request revised to March 15/16 Trial by Cathy Sumeracki. Questions regarding trials regarding BCSA numbers. Numbers must be used for clubs not for individuals, all committee members need to be BCSA members, insurance questions, financial distribution goes to BCSA, not to individual. Kathy Sours will Cathy Sumeracki with the following questions: Where will the trial be held and is it owned by an individual or is it being held in conjunction with an event (ie a county fair), what insurance does she have, how much will she personally make on this trial, and are all 5 committee members BCSA members? The distribution must come back to the club. Application must be signed by an officer of the club (Adrian will handle this with payment). - New Member Applications -Bryce Bannatyne, CA -Linda Jackson and Paul Duffield, ON -Susan Plewinski, KY -Kim Stanton, IN -Daniel Flynn, RI -Charmaine Koenig, MO -Leslye Pinnell, GA Charmaine Koenig, MO payment has not been received. Motion by Kathy Sours to accept all members with a stipulation that Charmaine Koenig application is held until her payment has been received. Seconded by Barbara Palmer. 7 2018 Border Collie National is in the books. Time for someone to start on I really feel that this year National went very well. I worked long and hard with Karen Marquardt and Lisa Pruka. It is a tough job and one I am proud to say I tackled. I have to say that I believe it turned out really well. We were down in some numbers of Conformation but up in other areas. I don t really know that we had anything of any nature go bad. Was bombarded with questions about the Top 20 as to how things were going to be run. For next year s Top 20 Chair I recommend having a schedule made up and send to the people ahead of time so that they know exactly how things will be run. Also post that schedule on all the doors of the Purina building. At this time, I don t know any figures for any of the venues. I know I tried to keep my expenses to a minimum. I want to thank everyone who helped us put on this wonderful National. To all of the Chairs you went above and beyond to do your parts for the National. Kudos to all of you.
