4 TIME MANAGEMENT List 5 people you know who are able to manage time: How do you do it? When you re at work work. - Tim Braheem Founder, Loan ToolBox If you re gonna talk the talk, you better walk it. - Kelsea Ballerini Country singer Catch up OR get ahead At the end of most days, do you feel further behind? Too much to do, and not enough time to do it all THAT is the battle cry of managers today, describing their work-life experience. Now, there isn t a magical land of work/life balance. Every task will either get you closer to caught up OR that task can get you ahead. 96 X 15 minutes = 24 hours 15 minutes It s about 1% of your day. A one-hour meeting: there goes 4%. 90-minute commute: 6%. 8-hour training class: 32%. If you have ever tried to manage time you know that at the end of an hour that the hour is gone. To get the most from the time you have, start thinking about the focus line. That is, the duration that you can hold your attention on one task/problem/ project with minimal distractions and maximum productivity. 5 15-minute TASKS I need to finish THIS week: TASKS I need to spend 30-minutes EACH delegating: Your 1% It s not a lot of time, 15 minutes. But, you don t have all that much time anyway; there s more to do than you have time for. There are 3 reasons why it s important plan your work in terms of 15-minute increments: 15 minutes it s about our attention span. Think about how many things that could grab your attention every day. Imagine if you could focus on just one. 15 minutes it s actually a long time. 900 seconds of doing just one thing? You can do more on that thing than if you kind of worked on it while you were distracted by 1 or 2 or 5 other things. A meeting I need to spend 45 minutes planning & organizing: Places I can go and work for 60 minutes without distraction: Blocked time - 90 minutes - I need so I can think about: 15 minutes you get more of them than you think. Every day, something comes up that gets you one more block of 15 minutes. It s like a magic return on the investment called life. Review tomorrow s calendar Do you need to add a few blocks of time? 6 MANAGING INTERRUPTIONS List 5 topics people will interrupt you about or with over the next 90 days: Stop the Madness The average American worker has fifty interruptions a day, of which seventy percent have nothing to do with work. - W. Edwards Deming Engineer, professor, author, and management consultant Can you interrupt them less? When it comes to getting things done, the most important resource you have at your disposal is NOT time It your focus. The ability to sit down and work on ONE thing for 5 or 15 or even 30 minutes is a rare occurrence these days. Do you have a minute? The most popular reason people interrupt you as much as they do is: They do not have a system to hold on to something to tell you until later. And the reason people you so much: They think about something and assume they have to do it right now. If you give your colleagues the gift of THEIR own attention, you just might find you, too, are getting things done more efficiently and more effectively. 7 List 3 people who interrupt you a lot during the day. List 3 people YOU interrupt you a lot during the day. A time for everything. We all know you DON T have enough time for everything. The next time you think of something to ask, tell or share with someone, use these filters: Now. What you have to give to them or ask them is MISSION CRITICAL to the success of what you re working on RIGHT NOW. Please, interrupt them. Next. What you have can wait until your scheduled meeting later today/this week. Add the item to the agenda you have for them, and bring it up the next time you are voice-tovoice/face-to-face. List 3 common topics that people interrupt you with. What think about later system can you build to hold ideas? How could you interrupt 3 people you work with less? Later. Actually, as you think about it, this thing you re thinking about might blow over. It might not be that important at all. In that case, make a note of it in your journal or on a post it. Review it in a couple of hours/days, and see if you really need to talk about it at all. Knowing when you re at your best is crucial to your success as a leader, a colleague, and an individual contributor. It is equivalent to speaking a 2nd (or 3rd or 4th) language; you can call on this knowledge when you need it. When It s Important to Be At Your Best When it s time to be productive, it s too late to get ready. You need to have done the work necessary to be ready. At work, at home, in the office, or on the road, you are in charge of creating the conditions for optimal performance. Three (3) factors to keep in mind: Each condition must be believable. It must be possible for that condition to occur. when I acknowledge progress on a project. As you watch them, you have ideas about how they could be doing it better. Well, the same thing happens if and when someone watches you work. Especially if you work with tools like , word processing or presentation software. Let someone watch you work for a half-anhour, and they will find ways you could be doing it better. 11 List 3 ways technology makes you MORE productive. List 3 ways technology makes you LESS productive. Quick & Easy Wins You lose time when you re interrupted. You also lose focus during what we call recovery time. Every time you re interrupted, you have to (a) respond to the request, then (b) return to the original task. The total time-loss can equal hours a week. Here are three thing you can do to save - and decrease - recovery time. Signatures. When you find, copy, and paste a response you ve used before, create an extra signature so that you can use that information faster. List 3 tools (equipment) you need to learn more about. List 3 tools you need to use more consistently. List 3 ways you can use NON-tech tools to be productive. iphone Shortcuts. Stop typing the same words and phrases in ios; make shortcuts of your most frequent responses. Externalize Reminders. Use your calendar to set and forget a reminder. Hint: Copy the message in to the body of the appointment so that you know exactly what to do when the reminder returns. 12 MEETING MANAGEMENT What 5 factors get in the way of more effective meetings? Purpose Matters Always go into meetings or negotiations with a positive attitude. Tell yourself you're going to make this the best deal for all parties. Natalie Massenet Executive Chairman of the Neta-porter group Where did the time go? There are 168 hours in a week and chances are you spend about 50 of those working. Now, how many of those hours do you spend in meetings? As much as you might complain about having to be in meetings, they are a reality of business. People meet, they talk, they make decisions, they check project status. Are we halfway done, now that we re halfway done? If a meeting lasts an hour, you ll want to set a timer for 30 minutes as soon as you start. When the timer rings, check your agenda list of items to discuss. By now, half the time is gone, have you talked and made decisions about half of the items on that list? If a meeting lasts for 30 minutes, set a timer for 15 minutes. If in a day-long planning session, time-block in sections of 2 hours max. 12 Meeting Management (805) info@getmomentum.com

13 List 3 reasons the last meeting you attended was not effective. What was the one most SIGNIFICANT factor? 3 Different Kinds of Conversations The next time you review the list of people invited to the meeting you re preparing to attend, consider the 3 kinds of conversations you ll initiate: Transactions. At this level, you re discussing the to-dos, status of delegated projects, and any upcoming issues that may impact individual performance and organizational productivity. Relationship Building. Here, you re catching up with one another. The point is to continue the overall trust among the team. What makes effective meetings more productive? Write the names of 3 people who run effective meetings. What can you do THIS week to run a more effective meeting? Opportunity Development. At least weekly, review the calendar days out. When you re talking with one of your team members, ask if there s something that you could be working on NOW to make it easier THEN. 14 TEAM YOU List at least 5 mentors, managers and coaches who have been a part of your journey: It takes a village. What you want in a mentor is someone who truly cares for you and who will look after your interests and not just their own. When you do come across the right person to mentor you, start by showing them that the time they spend with you is worthwhile. - Vivek Wadhwa Tech Entrepreneur, Researcher We re Smarter Together Today, people work just as much with knowledge as they do skill. What you know can make a difference to your life and your career. However, it s not just what you know. Often, the people you spend time around will help you be better, work smarter, lead more effectively and realize outcomes greater than you would have been able to achieve on your own. Who is your who? Within 60 months you will be somewhere new, doing something new, with someone new. Your experiences will come down to the people you meet along the way; the people you talk with, you stay in contact with, and those with whom you dare to share vulnerably your goals, your dreams, your big ideas. 15 Who are 3 people you want to spend MORE time with? Who are 3 people you need to spend LESS time with? Mind Map Your Team Life is a journey, and along the way people have shown up to help you. They ve given you ideas, opportunities and (sometimes critical) feedback. All of that has gotten you here. Draw a Mind Map of the people who will help you achieve more. Who will you have to meet? Who do you need on Team You to succeed. Here are 3 types people you want on your team: The Visionary. The question they ask, And Have you thought about? List 3 people you don t know yet, but need to meet. List 3 teachers or mentors who have influenced you this year. For each person, identify a character trait you aspire to achieve. The Realist. The question they ask, And do you think you can really do that? The Accountability Buddy. The question they ask, And what are you going to do next about that? Each Team You member has a special role to play as you move from where you are to where you ll be over the next 5 years.
