2 General Manager Te Taumatua Whakapapa Manager WHO ARE WE? - KO WAI MĀTOU? WHO ARE YOUR TEAM? - TŌ KAPA Established in 1996, Te Rūnanga o is the organisation that services the tribe's statutory rights and ensures that the benefits of the Settlement grow for the future generations. Everything we do is to build a stronger economic, social and cultural base for people. Throughout the South Island there are 18 local rūnanga (local councils). An elected representative from each rūnanga makes up Te Rūnanga o the tribal council that oversees the tribe's activities. Through this tribal council structure Te Rūnanga o is accountable to the tribal members. Te Rūnanga o has three key roles: Support Te Rūnanga o especially in terms of policy and strategy development; Support and assist the members Papatipu Rūnanga; Provide benefits for both the present and future members of Whānui. 4 WHAT IS THE PRIMARY FOCUS OF THIS ROLE? - TE AROTAHI MATUA Whakapapa continues to exist in its own right in recognition of it being the foundation of Culture and Identity. The Whakapapa Registration Advisor as a primary role to interface with tribal members during the enrolment/registration process where people wish to enrol themselves and their families. The Whakapapa Registration Advisor will oversee the maintenance of the database including the entry of all new enrolments, details on those deceased and those where we no longer have a current address. This role includes oversight of all administration and support duties to the Whakapapa Team Leader. Customer service is a key role for the Registration Advisor as a first point of contact for tribal members wishing to register with the tribal organisation. Key Accountabilities - Ngā Kawenga Takohanga Registration Initiate and maintain the registration process Client contact (written and oral advice) Research Undertake research pertaining to 1848 Kaumātua yet to be allocated a Rūnanga Research information that builds the 1848 Whakapapa files Create a Data Bank of verified Oral Traditions & Histories prior to migration to Te Waka o Māui (South Island) Transfer knowledge of verified Oral Traditions & Histories to a registered members individual whakapapa i.e. bios written about an individual s predecessor Identify smaller known Hapū of and their peoples Contribute to or lead other consented research which contributes to increasing access of whānau to information about whakapapa. Information Storage Ensure the accurate entering of information in both physical and electronic forms Assist with retrieval of Whakapapa information when requested Maintain the beneficial register and Whakapapa files Customer Service Client contact (written and oral advice) Establish and maintain positive, constructive and co-operative working relationships as required Ensure staff coverage is available from 9am 5pm to deal with interviews with tribal members Integrity of Whakapapa Promote understanding and enthusiasm for the preservation of Whakapapa and related matters Page 4 of 5
5 Administration Attends to administrative requirements of the registration process and in support of the Kaiārahi and team members Ensure you are familiar with the Te Rūnanga o Health & Safety compliance Health & Safety All employees have a responsibility to abide by all displayed rules, safety regulations, policies and procedures. Additional Duties as Required Any other duties of a similar type required by the employer. Experience - Ngā Pūkenga A strong awareness of and affinity for the needs and aspirations of Whānui. Whakapapa Manager Whakapapa Registration Advisor Date This position description serves to provide an overview of the primary responsibilities inherent in this role. It also provides a summary of how this position collaborates with other roles within the Te Rūnanga Group. It is acknowledged that in order to remain current, regular amendments will be required. This is to be co-ordinated in association with the relevant Managers and the Group General Manager People and Performance. This document will be supported by the development of a performance agreement which will be drafted by the incumbent in association with their Manager to provide clear goals and objectives, against which individual performance will be managed.
