2 Before we get down to it... Before we go any further, there are 3 things you need to know about what we re doing: 1) I want you to create fabulous success doing what you love, serving people you love. And doing it in a way that s sustainable to have balance and the freedom and in your life that you ve always dreamed of. 2) I believe you can do it even if you aren t sure. 3) I will make this simple, and I ll help you find the time to do it, but to get the results will require you to be extremely deliberate with your time. My intention is to give you a great free resource that includes 4 ½ practical steps to grow your business in a sustainable way. The results of following these 4 ½ steps? 3 Lets Get Started If you are like the business owners I work with, you have opportunities right within your fingertips. BUT if you take on more, your quality will suffer and your quality of life will plummet as you work like a dog to keep up. You may even fear more success thinking how am I going to manage it all and have the time to enjoy what I ve built? It s reasonable and responsible to mull over these thoughts. If you grow the way most businesses do, what you fear is exactly what will happen and is also why so many successful entrepreneurs burnout. I am here to tell you, sustainable growth AND an awesome, balanced life of freedom are possible! The following 4 ½ steps is your roadmap to grow the better way. If followed, I promise you ll make more money in less time, and you ll have the framework to handle all the growth and more success that is right at your door! I forewarn you that some may not act on the information here because it isn t as flashy as bringing in 100 leads this week. But what good are those 100 leads without efficient processes to see it all through? How will you nurture those new leads > convert them to a sale > process the sale > onboard the new clients > start the project/ engagement > deliver consistently amazing results every time???? 4 If fact, I will go as far to say that your business must have these structures in place to scale. if your goal is to get to the next level whether that be making more money in less time, scaling your business to later exit, or somewhere in between. Without the structure, it will get real ugly real fast. Other Outcomes to Expect Maintain or increase consistent quality as you scale. Tasks get accomplished faster by you or your staff Increase your bandwidth to take on more clients and grow while keeping enjoying life balance. Focus. Project starts become a breeze Systems will keep you and your team going on downer days Expanding and selecting your team will be easier, as a result of a created process instead of luck. The job descriptions will write themselves Get better return from your hiring investment New staff can hit the ground running with little time or energy from you with process for them to know exactly what to do and what s required of them. Save money with more effective staff, hired right the first time. Your business will be more profitable and will increase in value. 5 First we ll take a top down overview for Steps 1 and 2. Then we ll take a bottom up approach, building processes for success in steps 3 and 4 to support and catalyze your growth. Since I know you are so busy, I ve added a bonus ½ step to find the time to invest in this important work without adding additional strain. The 4 1/2 Steps: 1. Look From Above 2. Plan Based on Goals 3. Select 1 Process to Improve 4. Document Process Part A: 15 Minute Process Brain Dump BONUS ½ Step: Time TOP DOWN VIEW STEP 1. Look from Above Everything you do in your business can be made into an ordered processes for consistent outcomes no matter who is doing the task. 6 Get a slightly elevated view of your business. Analyze individual components and processes that make your business go. Set the timer for 1 hour and be your own strategist. Get out a giant piece of paper or whiteboard and map out the individual processes that it takes to initially engage with a potential client all the way through to completing a project. Brainstorm to get the big picture out on the table. Creating a mind map may also be helpful. Break it down. Draw arrows and write notes for each process. Don t worry too much about details as they will come out in step 3 as you work on one process at a time. Star obvious areas for improvement and circle any hazards that need to be fixed ASAP. STEP 2. 7 How do you want your business to support your life? In what ways are your current business processes serving or detracting from the direction you stated above? How is it affecting your life? (ie. low sleep, not exercising regularly, feel stressed, not enough time for loved ones, etc.) Which processes are taking a lot of your time? Which processes are causing unneeded stress? Where do you know you should be making more money? What's keeping you up at night in your business? Which projects seem just impossible to get going? Are there any outcomes that are operational hazards? (ie. dropping the ball at the risk of losing clients, not paying bills on time, cash flow issues, etc.) List your processes in order of priority including the stared and circled items first Mandi@MandiEllefson.com. 8 BOTTOM UP BUILD STEP 3. Select One Process to Improve Choose just one process to begin improving from the numbered list above in Step 2. We all love instant gratification, so you might start with an easy one that may take only 10 minutes. Obvious tweaks will lead to easy wins. Easy wins will encourage you to tackle one of the hotspots that are really eating up your profit and your time, preventing you from taking on more clients, and may even be causing screw ups where your loose clients. STEP 4. Document Process Part A: 15 Minute Process Brain Dump Part A to documenting your processes will get you going. Start now. Take 15 minutes. You will be amazed at what you find now that you are on a roll. If you need to find a time with less distractions, open your calendar and schedule 15 minutes to do this within the next 2-3 days. 9 Questions to ask yourself: Is there a good reason to do this besides our comfort level? The whole industry does it this way, but is there a good reason for us to as well? **This is where value and profit innovation starts!** How can we automate this task? On the next page is a flow chart of the whole process. The 15 minute brain dump is where you start. Then you judge against the outcomes you want (ie. leads nurtured into paying clients, payments made on time, consistent communication, etc.). Then you make changes to meet the outcomes you want and innovate for more profit. 10 BONUS 1/2 STEP: Time These tips will immediately help you gain huge time savings very quickly. Once you eliminate a task, estimate and record the daily or weekly time savings to keep you motivated. Ruthlessly eliminate time wasters and tasks that detract from your goals. Keep in the forefront of your mind what a particular time waster is preventing you from having in your life. If I had more time I would spend it... examples: Growing my business, at home with my family, traveling to Italy, mountain biking in Arches NP, scuba diving in the Caribbean, bird watching, studying mating patterns of praying mantis... Print the above statement and tape it where you will see it often. Constantly remind yourself what you are trading to continue in your comfort zone. Some big time sucks . There are endless ways to waste time on , but to point out an obvious area stop spending extended amounts of time responding to prospects who won t lead to revenue. If you really want to help, tell them you re happy to point them in the right direction by answering one question, and spend no more than 5 minutes with them. 11 Meetings. Can some of your meetings be made virtual? Can you plan them all on one day and one location? Having a stated objective for a meeting will make time more productive for both of you. If you re not sure if the interaction will contribute to your goals, consider a 15 minute screening call before you meet in person to see what headway you can make. If someone is not being respectful with your time, escape! It s easier to do so politely on the phone, hence the brief screening call. Reserve your precious time and energy for your business and loved ones. How to Make the Most of Your Time Track Your Time You knew I was going to say that, right? For a day or two track activities for every 15 minutes. You may be surprised how much time is NOT spent on revenue generating activities. Do High Level Tasks and Income Generating Activities During Peak Hours. When are you most alert? How are you spending this precious time? Try to plan admin, , social media, and monotonous tasks for your slump times (afternoons are common for many people). This alone will equate to huge gains in productivity. I personally find that when I work on my high level tasks at my peak with no interruptions, I can accomplish 2x as much as non-peak. Protect this valuable part of your day! Mandi@MandiEllefson.com.
