1 Digital Preservation Analyst Archives New Zealand, Information & Knowledge Services The Digital Preservation Analyst is responsible for ensuring processes are in place to maintain the integrity of the Government Digital Archive including digital preservation policy and strategy, research into digital preservation risks and challenges, preparation and ingest of digital transfers, and administration of the format library Reporting to: Manager System Strategy & Standards Location: Wellington Salary range: $85,163 - $115,220 (Band: IM I) What we do matters our purpose Our purpose is to serve and connect people, communities and government to build a safe, prosperous and respected nation. 2 What you will do to contribute Management of digital preservation strategies and processes Research, design, development, testing and implementation of preservation strategies for the digital material held within the Government Digital Archive (using Rosetta digital preservation system) Regular surveying of the wider digital preservation environment and emerging technologies (media, genres, data etc.), and assessing the impact of these on the material held Conducting analysis to determine the best strategies for any preservation instance Identification and management of the hardware and software requirements (including access, storage, availability etc.) for the digital preservation activities in consultation with business colleagues, and third party vendors Monitor, report on and control risks to the Government Digital Archive, its technology and the digital material held within it. Propose, test and implement practical preservation solutions within accepted service levels, following best practice and adhering to international standards Investigate opportunities for the development of automated preservation processes As a result we will see Preservation strategies for different types of digital material are in place and are followed accordingly Digital preservation trends and community are monitored and followed, latest technologies are tested in regards of bringing benefit to Archives New Zealand Digital preservation research and activities are done on appropriate infrastructure tailored to Archives New Zealand needs Page 2 of 6
3 What you will do to contribute Problem resolution Manage, prioritise and resolve complex technical issues relating to the digital archive, including: Assist with the management, integration and synchronisation of the Format Library with external format validation tools and registries as required Design and develop exception management routines (e.g. for managing validation failures in the system) Support submission, validation and enrichment processes Design and implement preservation reporting as required Support the ongoing operation of internal integration components (e.g. submitter applications, Archway integration and access mechanisms) Manage the technical implementation of preservation policies. Update both internal and external clients and colleagues of the status of all issues on a timely basis. Continuous improvement Ensure that a process of continuous review and improvement is inherent throughout all elements of digital preservation, in particular technical analysis and digital preservation policy. Draw on knowledge of best practice, advances in technology, and relevant research to develop an informed view of opportunities and challenges to transforming the organisation s digital preservation systems As a result we will see Format library in Rosetta system is managed in cooperation with the Format library Working Group Ingest process is not hold up by any format related issues, all issues are investigated and solved in time Integration and synchronisation between Rosetta and relevant tools is monitored and maintained Preservation policies are followed and disseminated across whole organisation There is an input into Rosetta development roadmap from Archives New Zealand New Rosetta releases and new functionality are tested accordingly New tools are developed for data analysis; issue solving and helping other business units Digital preservation concepts and rules are spread across the organisation to support organisation transformation Page 3 of 6
4 What you will do to contribute Liaison and collaboration Work with other digital preservation staff and related roles in Archives New Zealand and the National Library of New Zealand to monitor, become familiar with and communicate formats, metadata initiatives and standards in use and under development Liaise with relevant technical staff where appropriate (for example on virus software, DIA software support and licences, investigating tools and scripts) Work with relevant Archives business staff, digital archivists, agency staff and others as appropriate to resolve issues such as ingest, rendering and technical problems. Contribute to a collaborative environment which enables effective engagement with other groups, to ensure both internal and external customer needs are understood and met Further the understanding of the digital collections, and the ethical, legal and bicultural considerations related to digital preservation Collaborate with and participate in national and global digital preservation forums on technical matters, including other Rosetta system users Develop and maintain a network of professional relationships with other national and international archival institutions and professional associations engaged in digital preservation Analyse and report on technical trends in the digital archive environment Contribute to cooperative investigations, pilots, trials and research projects on behalf of Archives New Zealand Collaborate with government agencies and other organisations, to develop hosting arrangements of third party materials within the digital archives, if required Model behaviours that encourage organisation and government-wide collaboration and learning for the purpose of increasing synergies and maximising effectiveness Health and safety (for self) Work safely and take responsibility for keeping self and colleagues free from harm Report all incidents and hazards promptly Know what to do in the event of an emergency Cooperate in implementing return to work plans As a result we will see Mutually benificial relationship with National Library of NZ Support to internal and external digitisation processes are provided in a timely manner Support for external government agencies with digital preservation and born-digital transfers is continuous and has visible results There is an input into the international digital preservation community in the form of blogs, conference papers and other interaction Archives New Zealand continues to play a major role within the Rosetta User Group and can influence and inform the group decisions Relationship with Rosetta producer ExLibris is maintained and Archives New Zealand makes relevant input into all Rosetta future plans and current issue solving Born-digital transfers occur as business-as-usual and the tools needed for it are constantly updated and maintained A safe and healthy workplace for all people using our sites as a place of work. Keys to Success: Problem solving Critical thinking Interpersonal savvy Navigating complexity Communicating with influence Technical and specialist learning NIL NIL What you will bring specifically Experience: Deep working knowledge of the technical requirements, including tools and processes, of preservation and access issues is essential (particularly related to digital collections in libraries, museums, archives or special collections) Demonstrated knowledge of a range of digital preservation strategies including migration and emulation Substantial experience with file format specifications, codecs etc Experience with XML and the following metadata and interoperability standards: PREMIS, Dublin Core, METS/MODS, OpenURL, OAI-PMH, EAD, etc. Demonstrated experience with creation and/or management of digital objects Demonstrated ability to research and resolve problems using a variety of digital preservation resources and tools, particularly in relation to technical issues Page 5 of 6
6 Your success profile for this role What you will bring specifically Experience in identifying and validating formats (using for example DROID, JHOVE, TIKA) Experience in developing policy in an archive or library, or in an environment with similar challenges Experience in applying research methodology including quantitative, qualitative and mixed-methods research Experience in project planning and project management would be an advantage Knowledge: Knowledge of format registries (e.g. PRONOM) Understanding of the OAIS reference model and its application An advanced level of technical knowledge of computer hardware, software and computer maintenance and an interest in legacy hardware and software Ability to write scripts for data management tasks is highly desirable Knowledge of professional collection management or archival practice and theory is highly desirable Skills: Proven ability to meet deadlines and accomplish goals Excellent electronic, written and oral communication skills Ability to design, execute and put to use the results of practical research projects Other requirements: Degree in computing or a related information management discipline (a Doctorate or post graduate degree is preferred) Academic qualifications in another discipline, with demonstrable experience and knowledge of the digital preservation environment, will also be considered Page 6 of 6
